Trustee Liaisons Trustee DeAnn Glover Trustee John Marienthal Welcome Linda welcomed the commission members and guests, Howard Green. Approval of Minutes, 6/6/2001 Correction page 2, last paragraph; the correction will be made to the Minutes Database featured on the Village's web site at www.vbg.org. Approved by Ilene Strauss, second by Robyn Kove. Motion Carried. Buffalo Grove Symphonic Band Linda provided information about a meeting that took place and involved Linda, Howard Green, Robyn Kove and Ghida Sahyouni. The purpose of the meeting was to further discuss the creation of a community band. Howard presented information regarding the next steps involved in coordinating the band. It was suggested and the Commission agreed to call the band the "Buffalo Grove Symphonic Band". Timeline • End of July— seek approval by the board to pursue the start of the band. • Mid-August— include music & information within folders (coordinate at the next Arts Commission meeting). • "Band-Aide" —seek residential and business supporters from the community. Various levels of sponsorship could be offered. • Thurs., September 20, 2001 (tentative) - Community Band Open House. Coordinate at Village Hall, Council Chambers. • October 4, 2001 — First rehearsal. SD#102 approved the use of Meridian Middle School for Thursday evening rehearsals. • Spring, 2002 — First performance! • July 4, 2002 — Proposal to have the BG Symphonic Band & BG Singers perform at the Village Green off Buffalo Grove Road. Chair Report Linda encouraged all Commissioners to support the AC programs and promote the Commission. The next opportunity to show support will be the recognition of the Vehicle Sticker Design Contest winners. The Village President and Board of Trustees will recognize the grand prize winner and the second and third place winners on Monday, August 6, 2001. The meeting begins at 7:30 p.m., Village Hall Council Chambers. Commissioner Reports Art Fair — Sandy provided information regarding, "What is involved in sponsoring an art fair in the Buffalo Grove Community". Her contact was the coordinator of the Highland Park Festival of Fine Craft; the event was coordinated June 23 &24, 2001 by the Suburban Fine Arts Center. Ghida shared information that she received from Amy Amdur, based in Highland Park. The company coordinates the Port Clinton Art Festival, Fountain Square Art Festival in Evanston, the Chicago Botanic Garden Art Festival in Glencoe, the Gold Coast Art Fair in Chicago, among others. A preliminary proposal was faxed and is available for review upon request. The Commission agreed to determine if the Village Board would support a Arts Festival in the community. Amdur suggested coordinating the festival in conjunction with Buffalo Grove Days, and coordinating the event at Busch Grove Park. Ghida will set-up a meeting with Amy to discuss a proposal, then forward a report and recommendation to the Village Board. The Commission would need to get feedback from the BG Days Committee if the group considers coordinating the Festival in conjunction with the Labor Day weekend festivities. Vehicle Sticker Design Contest The top three winners were invited to the Monday, August 6, 2001 Village Board meeting to be recognized by the Village President and Board of Trustees for their design entries. The first place winner will receive a $100 US Savings Bond at the meeting. All contestants received a letter acknowledging their creativity and interest in the contest. McDonald's donated several coupons that were included in the recognition letters for the top three winners. VILLAGE REPORT New Trustee Liaisons. Ghida indicated that the Village President, Elliott Hartstein issued the report of new trustee liaisons to the approximately fifteen Village Boards, Commissions, and Committees. Trustees DeAnn Glover and John Marienthal will now serve as liaisons to the Arts Commission. Each trustee serves on several committees, and the elected officials rotate their assignments each year. Arts Commision E-mail Address. Ghida indicated that an e-mail address has been established for the Commission —www.BGArts@vbg.org. Buffaloes on Parade Program - Promotion events: Buffalo Auction — Four businesses to date have elected to auction their buffalo. The auction will take place on Sunday, September 2, 2001, at 4:00 p.m. The auction will be held during Buffalo Grove Days weekend, on the main stage. Proceeds for the buffalo auction will go to the charity of the owner's choice. The Village has retained a certified auctioneer, Ted Cucuro, representing Sheldon Good & Company to serve as the auctioneer. Photo Contest— Residents and non-residents are encouraged to participate in the photo contest. Photographs will be used as promotional material for the Village. All contest participants will receive a coupon from Photo Magic for either free film or an 8x10 enlargement with the purchase of any film processing. Contest winners will be announced immediately prior to the auction on 9/2/2001. Vote for your Favorite Buffalo — Photos of all the buffaloes will be taken and featured on the Village's web site at www.vbg.org, and will be placed in Village Hall. The contest will run July 16 through August 30, 2001. The winner will be announced immediately prior to the auction on 9/2/2001. • Get your photo taken with one of the Buffalo —Arts Commissioners will offer interested individuals the opportunity to take their photograph with a buffalo during Buffalo Grove Days - FREE. At the next meeting, a sign-up sheet will be circulated to Arts Commissioners to sign-up to assist with this program. Ghida contacted the BG Days Committee and requested a booth at BG Days so Commissioners can distribute information about the Commission and present and upcoming events and programs. A follow-up report will be provided at the next meeting following confirmation from a BG Days Committee representative. A map highlighting the locations of the buffaloes, descriptions about the buffalo owners, names of artists, and other information will be highlighted on the Village's web site (eff. 7/16/2001). Next Steps To do: ✓ Fred —create band flyer. ✓ available for use in the Meridian Middle School meeting room. ✓ Ilene—contact AH & Deerfield to obtain bylaws, budgets, and supplemental information. ✓ Elizabeth —obtain Glenview By-laws, budget and other supplemental information. ✓ Independence Day celebration, 2002. ✓ Howard, Linda & Fred —write bylaws for the band. Linda —obtain Stevenson Open House Dates. ✓ Ghida—determine if large instruments such as the Timpani, base drum, and others will be Ghida—determine if Rotary has already booked the Glenview Community Band for the Ghida—coordinate meeting with Amy Amdur Productions. Submit all information to Ghida prior to the next meeting date. Meeting Schedule . The next meeting will be held on Wednesday, August 8, 2001, 6:00 p.m. The purpose of the first half of the meeting will be to organize folders for the Buffalo Grove Symphonic Band. AC meetings will be held on the second Wednesday of each month (unless otherwise noted) - Village Hall, second floor conference room.
