Absent: Rebecca Goldberg Trustee Liaisons Trustee DeAnn Glover - present Trustee John Marienthal Welcome The meeting began at 6:00 p.m. with the group compiling the band folders. Linda welcomed the commission members and guests, Howard Green and his daughter Jenna. Approval of Minutes,7/11/2001 Approved by Ilene Strauss, second by Fred Weissman. Motion Carried. Buffalo Grove Symphonic Band Neighboring Band Support. Ilene indicated that the Arlington Heights (Park District sponsored) Community Band was unresponsive and did not provide their budget or bylaws. Elizabeth indicated the same lack of response from Deerfield. BG Bylaws — Fred obtained the bylaws and constitution from Mt. Prospect. The bylaws were updated to conform to the BG Symphonic Band; the information was distributed in the packet for discussion at the meeting. The following changes shall be made as discussed: a) Members must be 18 years of age or older. If specific instruments are needed, a student under 18 year may join, provided they have approval by their parents or guardian, as well as their high school band director. b) A registration form and waiver of liability, created by the Village, shall be distributed and must be signed by each program participant. The form shall serve as an attachment to the bylaws. Logo selection. Fred will revise the proposed logo and e-mail to Ghida to distribute and poll the Commission for their consideration. Band-Aide. Band-aids featuring a sticker to promote supporters of the Symphonic Band — "Band- Aides" will be distributed at Buffalo Grove Days. Press Release. Robyn will revise the press release and issue to Ghida for distribution to the press list. Timeline • Thursday, September 13, 2001, 7:00 p.m. to 9:00 p.m. Open House, Meet & Greet. Village Hall Council Chambers. Letters will be sent MP Band members, parents of band students (high school and junior high), and those individuals that completed the initial interest survey. • Thursday, October 4, 2001, 7:30 p.m. — 9:30 p.m. First Rehearsal. Meridian Middle School. • Spring, 2002 — First performance! Chair Report No report. Commissioner Reports No reports. Art Fair Ghida indicated that she sent an e-mail to the Commission following a meeting with Amy Amdur to discuss a proposed Arts Festival in Buffalo Grove. A proposal is forthcoming and will be shared with the Commission upon receipt. VILLAGE REPORT Commission Green Cards. Ghida distributed green cards to Commission members that completed their Conflict of Interest and Disclaimer Form. Vehicle Sticker Design Contest. The top three winners were invited to the Monday, August 6, 2001 Village Board meeting to be recognized by the Village President and Board of Trustees for their design entries. The first place winner received a $100 US Savings Bond at the meeting. All contestants received a letter acknowledging their creativity and interest in the contest. Buffaloes on Parade Program - Promotion events: • Buffalo Auction — Four businesses to date have elected to auction their buffalo; plus, the Village received a small, glass encased buffalo by the professional artist, Joseph Burlini. The buffalo will be sold at auction; the proceeds going to the Little City Foundation. The auction will take place on Sunday, September 2, 2001, at 4:00 p.m. The auction will be held during Buffalo Grove Days weekend, outside Village Hall. The Village has retained a certified auctioneer, Ted Cucuro, representing Sheldon Good & Company to serve as the auctioneer. • Photo Contest— Residents and non-residents are encouraged to participate in the photo contest. Photographs will be used as promotional material for the Village. All contest participants will receive a coupon from Photo Magic for either free film or an 8x10 enlargement with the purchase of any film processing. Contest winners will be announced immediately prior to the auction on 9/2/2001. Vote for your Favorite Buffalo — Photos of all the buffaloes are featured on the Village's web site at www.vbg.org, and at Village Hall. The deadline to submit an entry is August 30, 2001. The winner will be announced immediately prior to the auction on 9/2/2001. • Get your photo taken with one of the Buffalo —The winning buffalo from the Vote for your Favorite Buffalo Contest will be the selected buffalo for the photo opportunity. Ghida will provide film and a Polaroid camera at the Arts Commission booth at BG Days. This photo opportunity will be free to the public; donations will be accepted. A volunteer sign-up sheet to work at the booth was distributed. A map highlighting the locations of the buffaloes, descriptions about the buffalo owners, names of artists, and other information is highlighted on the Village's web site. Next Steps To do: ✓ Fred — create band flyer. ✓ Howard — modify bylaws and constitution, as discussed. ✓ Robyn — Press Release. ✓ Ghida - Reserve April 28, 2002 for the first performance at Stevenson High School; another possible date is May 5, 2001. ✓ Ghida — create a registration and waiver of liability form for band members. ✓ Ghida — create sign-up sheet for those that are interested in serving as "Band-Aides". Provide at the booth at BG Days. Submit all information to Ghida prior to the next meeting date. Meeting Schedule . The next meeting will be held on Wednesday, September 19, 2001, 7:30 p.m. AC meetings will be held on the second Wednesday of each month (unless otherwise noted) - Village Hall, second floor conference room. Motion to Adjourn — motion made by Susan Moore, second by Sandy Greenberg. Motion carried. The meeting concluded at 9:35 p.m. Linda thanked the members for their attendance and input.
