Linda welcomed the commission members and special guest Jim Osters. The meeting began at
7:15 p.m.

Commissioner Reports
Buffalo Grove Symphonic Band
Shirts
Ghida received the shirts from Marathon Sportswear — they look outstanding! Checks can be
made payable to the Village of Buffalo Grove. Shirt costs are $30 for AC shirts and $24 for Band
shirts.
4/28/2002 performance— promotion has been on-going.
Two tickets were given to each sponsor as appropriate, Village Board members, and the copyright
attorney. Ghida will mail invitations to other dignitaries such as state reps and senators, county
reps, school officials, etc.
Ilene will sell tickets at the Senior Expo. 10:00 a.m., 4/23/2002 at the Grove Banquets (Schwaben
Center). Ghida will provide an instruction sheet, cash box, and a sign.
Gayle suggested that a hospitality committee follow-up and send thank you notes to Jan Prahl and
Jeff Slepak at Stevenson High School following the performance; Jim Osters will coordinate this.
Handicap seating will be available. Fred will bring a wheel chair from home to transport interested
individuals from the parking lot to the auditorium.
Water — 5 gallon containers will be borrowed and set-up for band members the evening of the
performance.
Volunteers for 4/28/02. The Commissioners below are responsible for the following specific areas:
Ushers Fred. Ushers should wear black and a white shirt.
Those interested in ushering should contact Fred.

Refreshments Linda, Gayle, Robyn

Fred will contact Ghida with the list of names the week prior to the performance so name tags for
the ushers can be made.
Jim reported that a video contractor has been retained for $300; videotapes will be made available
for $15 each; DVD's will also be available $69 for one or $50 for two or more. Ghida will assure
that a check will be ready so payment can be made the evening of the performance. Ghida will
prepare a sign-up sheet so interested audience members can order a videotape or DVD.
Publicity.
Robyn contacted the Daily Herald and Pioneer Press. The DH indicated they would include info in
the newspaper. Robyn will following with PP.
Band Board Report—Jim Osters
The Band is ready to play —4/28 performance.
The plans are being finalized with Stevenson HS.
Timeframe:
4:15 p.m. Band Board, percussion and director will arrive.
5:15 p.m. Video contractor arrives for set-up

Returning of Band music.
Following the legal copyright opinion, it was agreed that the music that was purchased could be
returned; store credit at Karnes Music is available in excess of $900.
Rehearsal location
The Band is researching the possibility of relocating the rehearsal site to Cooper. Bonnie is
coordinating this issue.
Buffalo Grove is making their band room available for July and August; however, for the rest of the
summer, the Band is having a difficult time finding a regular rehearsal location.
Proposed Performance, July 4, 2003
The band is interested in performing on Independence Day 2003 at the Rotary Village Green.
Ghida will talk to Bill Balling, Village Manager and Buffalo Grove Rotary member to confirm this
request.

✓ BG Days —Saturday, August 31, 2002. $200. Waiting for confirmation.
Web Site
Information was provided to Phil the update the web site; Ghida will follow-up with Phil.
It was suggested that a link from the Village's front page be included to the Band.
VIP Reception
Rotary approved the Arts Commission coordinating the VIP reception during the concert on
6/27/2002. The performance will begin at 7:00 p.m.; the reception would begin at 6:00 p.m.
Pastabilities will serve as major sponsor for the event. Dessert and soda would be purchased.
Sponsors received preliminary information about the VIP reception when they received their tickets
in the mail. A separate mailing will be provided to sponsors to provide details of the program as
the date approaches.

Buffalo Grove Fine Arts Invitational
The jury took place Thursday, April 4 at 1:00 p.m. The following people served on the jury: Amy
Amdur and staff, Ilene Straus, Elizabeth Radtke, Sandy Greenberg, Suzie Goldner representing
ownership of the Town Center-Arthur Goldner & Associates, and Pam Stein - co-owner of Eclectic
and Shoes for the Soul and two artists that reside in Buffalo Grove.
One hundred and eighty artists have been selected to participate in the festival. It is estimated that
20 to 30 will decline due to conflicts.
Volunteers. Approximately one dozen people have called and expressed an interest in
volunteering the weekend of the festival. These volunteers will be invited to the next meeting so
roles and responsibilities can be discussed. Amy will also be invited to attend. The staff team will
be meeting in June.
Patron sponsors. Ilene reported that a suggestion by Amy whereby the Village would sell Patron
sponsorships — an opportunity for interested individuals to purchase a gift certificate to be used at
the art festival; it would be a confirmation that they would buy artwork at the festival. Their name
and affiliation would be promoted; this program provides enhanced credibility to the art festival; i.e.
500 patron sponsors. The Commission members expressed concern with this type of program.
The program will not be pursued.
Sponsors needed! Ghida indicated that the Village has received a $1,000 sponsor from Melrose
Pyrotechnics. More than 100 businesses have been contacted by the Village, and although the
businesses are responding favorably to the festival, they are unable to provide a financial
sponsorship.
Ilene indicated Bob Chins is considering a sponsorship.
Fred contacted Merryl Lynch.
Robyn is working with an associates regarding possible sponsorship by IPA.
Gayle contacted the Ice Rink owners, an art gallery, Eclectic owners, TDC, Never Enough Shoes,
and a few other businesses. Several businesses indicated they could provide a raffle prize, but
were unable to support financially.
It was suggested that volunteers be used to work and obtain sponsorship. Linda indicated that
many Arts Commissioners do not have time nor do they enjoy contacting businesses for funding.
Ghida expressed great concern with individuals not recognized by the Village Board to solicit
funding from businesses. Talent Bank applications are used to consider individuals for
appointments to Commissions and Boards so the Village has an opportunity to review the
applicant's background and interests.
Those interested in pursuing sponsors for the art festival should continue to pursue funding for this
event through May 15; thereafter, Ghida will present an alternate funding proposal to the Village
Board.
Design a Village Flag Contest
Two entries were submitted. The Commission agreed to send thank you letters to the applicants;
however, not to recommend a first place winner for the Design a Flag Contest.
Village Report
1) Trustee Appointment. At the last Village Board meeting, Steven Trilling was sworn as the new
Trustee to the Village Board. Trustee Trilling had been serving on the Plan Commission.
2) Red Barn Centennial Celebration. Lou Eisenberg, a Board member on the Crossings in Buffalo
Grove sent an e-mail to Trustee Glover and indicated that the red barn on the Crossings property
was built in 1910 and the Village may want to consider planning for a Centennial celebration. Ilene
indicated she would contact Lou to find out the history of the property. Given the great timeframe
for the anniversary date, it was suggested that this issue be discussed in a few years. The Village
could consider placing a photograph of the barn on the vehicle stickers, or possibly coordinating
other events such as the band performance, etc.
New Business
Linda suggested that the Arts Commission sponsor a middle school music festival during the
summer at the Rotary Village Green. Teachers would be responsible for their own sound system.
Ghida will inquire about the permit process. Three school districts would be invited to participate;
one district would perform per night. If approved, the festival would be held in the spring, 2003.
The question was raised if anyone can use the gazebo area without a permit. Ghida will research
this question and follow-up.
Meeting Schedule
. The next meeting will be held on Wednesday, May 8th at 7:00 p.m. AC meetings will be held on
the second Wednesday of each month (unless otherwise noted) - Village Hall, second floor
conference room.
