Neukirch, Assistant Village Manager Trustee Liaison Trustee Jeff Berman Trustee Steve Trilling Welcome Linda welcomed the Commission members and special guests Howard Green and Marilyn Alaynick. The meeting began at 7:10 p.m. Approval of Minutes, 8/13/2003 Motion by Strauss, Second by Greenberg. Motion carried. Chair Report No report. Commissioners Reports Lynne reported that she was in Mackinaw recently and an art program was being promoted whereby they displayed painted moose, similar to the Buffaloes on Parade program. Buffalo Grove Symphonic Band Recent Band performances were very successful: Mt. Prospect, Deer Park Mall and the Arts Festival performances were excellent. BG Days parade was great except for the rain. The performance on Sunday was cancelled due to weather. In the future, language will be placed in each contract regarding cancellations. 10/25/2003 performance. Tickets will be distributed to each band member; posters will be posted throughout the Buffalo Grove area. Village staff sent tickets to all sponsors. Band Board 1) Howard reported that a new idea was identified to promote art, incorporate youth involvement and market the band. An audio tape would be provided to educational facility serving Buffalo Grove; the audio tape would include a piece that is planned to be performed by the Band at an upcoming performance. The youth would be encouraged to draw artwork identifying their interpretation of the piece. The artwork would then be judged, subsequently displayed at the band performance. It was recommended that the idea be implemented for the spring concert. 2) The band recommended AC volunteer assistance at the 10/25 performance. Linda, Gayle, Fred, Lynne, Susan and Ghida will volunteer. Volunteers will sell and accept tickets, distribute programs, assist with the concession stand, and oversee other areas. It was suggested that the Band members (or family members) should sign up to volunteer for a committee/activity during the year. 3) Elections for Band Board members will be held the first week in October. Business Plan. The Proposed Business Plan was distributed to the Village Board following the last meeting. Ghida reported that the Plan would be re-distributed with the Commission's annual report at following the year-end (most likely March, 2004). Sponsorship - Ghida provided an update on the "band-aides" and expenditures. A copy of the budget was distributed and is available upon request. Upcoming performance schedule: ✓ 10/25/03—Saturday. Second Annual Fall Concert. BGHS. 7:00 p.m. Advance tickets, $7;Students with identification, seniors, and door sales are $9. ✓ 5/2/04—Sunday. Second Annual Spring Concert. SHS. Proposed Art League Gayle reported that she, Linda and Lori met recently to discuss the proposed Art League. The group suggested meeting with the four artists that are interested in participating in the league and identifying what type of program they would be interested in. A report will be provided at the next meeting. Bench Program — "Sittin' Pretty" Ilene provided an overview of the research she conducted. It was noted that bench costs vary from $100 to more than $800 per bench. Discussion took place regarding the quality of various types of benches — installation requirements, structure type, style, weight load and manufacturers. It was noted that the City of Windsor, Ontario sells benches and gives residents an opportunity to purchase a bench for use throughout the community; the owner of the bench has their name featured on it; the cost is $200 per bench. The Chicago Botanic Garden also sells benches; the estimated cost is $1000. The City of San Francisco sells benches at a cost of $5,000 per bench. A subcommittee was created to conduct further research on this proposed program. Fred volunteered to serve on this sub-committee with Ilene. Linda suggested that the cost of the bench to the business/resident should be no more than $500. Proposed Commission Goals 1) Art Auction, coordinated by a professional organization. 2) More volunteers should be obtained to assist with projects. The volunteers could work on sub-committees, then report to the Arts Commission at their monthly meeting. 3) Work with organizations such as the boy/girl scouts to coordinate joint programs and to assist with programs such as distributing posters for the band performances. 4) Increase publicity outside of Buffalo Grove —events such as other band/symphony performances, marquees, businesses, senior facilities. 5) Create marketing sub-committee. 6) Teen-cafe—a place where youth can perform at an open mic. It was suggested that this would be a good venue at eSkape. Gayle will follow-up on this proposed program. 7) Ilene recommended that the meeting minutes should provide more detailed information. Old Business Discount Card, "Be a PART of the Arts". Michelle conducted research on this proposed program: • Overview—to provide a tool that will raise awareness for the arts as well as raise funds for the AC. • Advertisers would be featured on a 4-color"VIP Arts Card" that would be promoted for sale at various community events. The card would entitle the purchaser to discounted services as established by the participating business owner. • The Daily Herald has donated their creative services for this program. • 42 advertisers would be featured; their opportunity to be included on the card would be made on a first come first serve. The card would offer a discount or free service at the participating business. The cost of printing 5000 cards is $1000. The cost for the business to participate and be featured on the card would be $25.00. The card would be sold to the general public at a cost of $5.00. If all 5,000 cards are sold, the AC would generate approximately $25,000 in revenue. • Expiration date —one year. It was recommended that the AC avoid the Stevenson Patriot card sales of March 15th. Marketing —a letter would be drafted by the AC to all local businesses inviting them to participate in this program. A "Participation Agreement" would be signed by the participating business acknowledging their participation in the program for a one-year period and the use of their logo on the card. Village Report • The Indian Trails Public Library has issued a Call for Exhibitors - they are seeking artists that are willing to display their artwork at the library during the 2003-2004 season. Interested artists can contact Chris Gibson for further information, 847-459-4100x222 or via e-mail at cgibson@itpld.lib.il.us. • The Barrington Area Arts Council Gallery Walk took place on 9/5 and 9/6. Fiberglas horses were painted and displayed throughout their downtown area. A contest was coordinated whereby individuals that viewed each horse at the 17 locations could be entered into a contest for a prize. The host business housing the horse would stamp a punch card identifying their presence at the location. • The College of Lake County Performing Arts and Cultural Events Calendar for the 2003/04 season was distributed. • The program book from the 15th Annual Long Grove Art Fest was distributed. The fest was held on August 16 & 17, 2003. The fest was coordinated by the Long Grove Art Fest Committee to benefit Kildeer Countryside School. Meeting Schedule . The next meeting will be held on Wednesday, October 8th at 7:00 p.m. AC meetings will be held on the second Wednesday of each month - unless otherwise noted. Meetings will be held at Village Hall, second floor conference room, unless noted. Motion to Adjourn — Motion by Weissman, second by Pervos. Motion carried.
