MEETING MINUTES

Welcome
Linda welcomed the Commission members and special guests Howard Green, Cam Reisner
and Marilyn Alaynick. The meeting began at 7:10 p.m.

Motion by Schneider, second by Pervos. Motion carried.
Chair Report
Linda referenced an e-mail she sent to the Commission concerning a bench program; the web
site address is www.womensclubofwilmette.com. Photos of the benches that were displayed
throughout Wilmette were distributed to the attendees.
Commissioners Reports
No report.
Buffalo Grove Symphonic Band
10/25/2003 performance.
• Bonnie reported that ticket sales are going well. Howard is anticipating a sell-out.
Bonnie indicated that publicity is also progressing well. Press releases are being conducted by
Steve Robinson; posters have been distributed throughout the community. Dress
rehearsal/final rehearsal prior to the performance will be October 23, 2003.
• As a reminder, the following Art Commissioners and staff have volunteered to assist at
the 10/25 performance: Linda, Gayle, Fred, Lynne, Susan and Ghida. Volunteers will sell and
accept tickets, distribute programs, assist with the concession stand, and oversee other areas.
Volunteers were asked to be at the school at 6:15 p.m.
• Lynne reported that the program is complete! Ghida will bring the printed programs to
the performance.
Band Board
1) Bonnie indicated that the Band is working on scheduling December concerts.
Commitment forms are being distributed to band member to determine their participation at
potential December performances.
2) Board elections took place and the same Board has been re-elected. Congratulations!
Sponsorship - Ghida provided an update on the "band-aides" and expenditures. A copy of the
budget was distributed and is available upon request.
Upcoming performance schedule:
✓ 10/25/03—Saturday. Second Annual Fall Concert. BGHS. 7:00 p.m. Advance tickets,
$7;Students with identification, seniors, and door sales are $9.
✓ 5/2/04—Sunday. Second Annual Spring Concert. SHS.
Other issues
Linda indicated that the Park District conducts an annual survey of BG Singers members to
obtain their feedback and satisfaction regarding the performance schedule, operations, new
ideas, requested music, etc. The Singers receive a 25-30% return from members of the
surveys. Members have the option of including their name or they can complete the survey
anonymously. Howard indicated he would discuss this idea with the Band and develop
questions for the survey. Ghida will develop a draft survey, although the Band's input is strongly
recommended. Lynne volunteered to help Ghida with the draft. Howard will provide suggested
questions for the survey by the next meeting.
Proposed Art League
Gayle indicated that Lori set-up a meeting for next week Thursday with several artists; Marilyn
indicated that she also planned to attend the meeting. The purpose of the meeting is to discuss
the artwork that will be displayed at the upcoming 10/25 Band performance. Linda suggested
that Lori or someone else contact BGHS to advise them of the display.
Bench Program — "Sittin' Pretty in BG"
Ilene reported that after extensive research, she recommends a bench product "that we could
do the most with". The proposed contracted company Jamestown Advanced Products based in
New York. The company representative has provided a quotation in the amount of $144 per
bench for the purchase of 1-10 benches. The cost includes 2-3 slats on the back; 1 slat on the
back is recommended since the bench would be painted. Any kind of paint, acrylic, oil, other
base, can be adhered to the bench; the artists would place a finish on the bench. This is the
company that the park district purchased benches from approximately 20 years ago. The cost
reflects a 6' bench; 8' benches would cost approximately $150 per bench. This "economy"
bench comes galvanized with 2" x 12" nominal treated pine lumber, pad mount. Frames should
be anchored on a concrete pad. Ghida provided Ilene with company information from NuToys
based in LaGrange, Illinois. Ghida met the company representative at a recent Illinois Municipal
League program; the company has worked with a number of organizations including Chicago on
painted bench programs. It was requested that this company be contacted to determine their
cost estimate for a comparable bench. Ilene will follow-up with this company then provide a final
recommendation to staff. A total cost for the project is recommended so the AC can determine
how much to sell the benches to the public, i.e. bench, hardware, delivery, etc.
Ilene contacted the Wilmette organization that coordinated the bench display in their
community; she is awaiting a response call. She believed that a volunteer/contractor built the
benches for Wilmette.
Following Linda's request, Ilene indicated that Menards and Home Depot would not be able to
donate benches at this time. She stated that they are not able to commit at this time of year; the
first quarter is preferred. Ilene further noted that their benches are not ideal for this type of
proposed program since their benches are more ornamental, rather than "park" benches.

Ghida indicated that information regarding this proposed program has been provided to the
Village Board.

Village Report
BG Invitational Fine Art Festival 2004. Ghida noted that the July 17 & 18 are recommended for
the 2004 art festival dates. Ann Arbor is coordinating their festival the last weekend in July, and
due to the great number of artists that attend this festival, it is not recommended that we
compete for artists during this weekend.
Meeting Schedule
The next meeting will be held on Wednesday, November 5th at 7:00 p.m. AC meetings
will be held on the second Wednesday of each month - unless otherwise noted. Meetings will
be held at Village Hall, second floor conference room, unless noted.
New Business
1) Ilene reported that she bought a book regarding grant opportunities offered by the
"government". She will review the book and contact Ghida so grant applications can be pursued
for the proposed sculpture park.
2) Gayle indicated that she has tried repeated times to contact Bill Feldgreber representing
Eskape regarding an open-mic night for youth. Ghida indicated that she would follow-up with Bill
and report back to the Commission.
