Neukirch, Assistant Village Manager Trustee Liaison Trustee Jeff Berman Trustee Steve Trilling - present Welcome Linda welcomed the Commission members, new Commissioners Marilyn Alaynick and Lori Boxer, and band members Dan Weinberger and Marty Gabler. Marilyn and Lori were appointed by the Village Board at their last meeting on March 15th. The meeting began at 7:15 p.m. Approval of Minutes, 3/10/04 Correction page 4 — new business — Barbara spoke to a "Commissioner" — not a "Commission". Motion by Herman to approve the minutes subject to the correction, second by Gold. Motion carried. Chair Report Great job to the band and volunteers for distributing posters throughout the community — the band posters look outstanding! Commissioners Reports No report. Buffalo Grove Symphonic Band Band Board • Bonnie reported that Bob Kern, Moto Photo prepared posters promoting the upcoming performance. • The band is considering new levels of sponsorship, for example, a sponsor for each performance. This information will be further discussed and present to the Arts Commission at a future meeting. • Linda indicated that she included information about band sponsorship in the program book as art of her Arts Commission Chair message. • Dan reported the music purchase is complete for the year, with the exception of a few additional pieces that may be purchased for the holiday performances. On average music costs range from $80-$150; it depends on the size and number of parts. For example, Star Wars costs approximately $180; music tunes are in the $50 to $60 range. Linda indicated that the Band should consider selling music at their performances. • Barbara recommended a table for sponsorship at future performances. A discount for sponsors could be offered if a "band-aide" signed up on site. Support the Arts water bottles could be given as a "thank you" for sponsorship. It was indicated that the Band has coordinated this promotion opportunity on at least two occasions; it will be further considered for the May performance. "Pictures in Music" —children's art program — May 16th performance Susan reported that 125 pieces of art from Meridian students will be on display. It was recommended that the list of names be provided to Ghida within the next few weeks so certificates could be prepared. Special thanks to Meridian Art Teacher Mrs. Benkoske for coordinating the program with her students. Lori will contact Mrs. Benkoski and Allison Walis to review the presentation of the artwork at Stevenson High School for the band's performance. Sponsorship - Ghida provided an update on the "band-aides" and expenditures. A copy of the budget was distributed and is available upon request. Dan reported that ticket prices have been increased from last year, plus the May performance will be in the PAC which holds more attendees. As a result, it is estimated that revenue from ticket sales will increase from $4000 the first year, and $5000 the second year, to $10,000 for the upcoming 2004 performance. The business plan and budget forecast will be reviewed after the May performance. May 16th performance. Tickets are on sale! Volunteers to assist with refreshments/programs: Gayle, Susan, Barbara, Lynne, Fred, Linda & Ghida. Michelle will contact Steve Zalusky about taking photographs of the artwork at Meridian to promote the art exhibit and the band program. Special thanks to Lynne for preparing the program book; the draft has been circulated to several individuals for review. Ghida will verify that information regarding the band performance will be featured on the web site. Performance schedule: ✓ 5/16/04 —Sunday. Second Annual Spring Concert. SHS. ✓ 7/4/2004, 7:00 p.m. Rotary Village Green performance —confirmed. $700. ✓ 7/18/2004 — BG Invitational Fine Art Festival, noon. ✓ 8/1/2004 - Deer Park Town Center, 2 pm Dan will e-mail the Band Board to inquire if May 15th is available for the Band's spring performance in 2005; if the band is available on this date, he will follow-up with Susan who will coordinate with SHS about reserving the PAC. Art League Thursday, 4/22 —Glass Blowing demonstration by artist Peter Patterson, 7-9 pm. RSVP's are coming in for the upcoming program. There is no charge for attendees. Ghida will send information about the Art League to Pioneer Press. Fred volunteered to create a portable, freestanding sign promoting the Art League. The estimated cost is $50. "Limelight Cafe" —April 30, 2004, 7:30— 10:00 p.m., at eSkape. Set-up ready and available at 6:00 pm. 7:30 pm — 11:30 pm. $10 per person admission includes pizza and unlimited pop. Admission for performers is $5 per person. Every paid admission receives a free game of bowling at eSkape. The Village has written confirmation from eSkape in this regard. Flyers are available for pick-up at Village Hall — promote this event! Four bands have signed up so far for the Cafe —additional spaces are available. Sam Ash is serving as sponsor for this event; Linda spoke to the manager and they have agreed to donate lights for the Cafe. Lori suggested changing the menu from pizza for future events. Fred suggested surveying the attendees to obtain their feedback to improve future programs. Thanks to Gayle, Bonnie & Linda for distributing flyers throughout the community. Linda will write a letter to the Editor for both newspapers describing and promoting the program. Bench Program — "Sittin' Pretty in BG" Ghida reported that the dimensions of the bench are available if anyone wants to view the bench. A program overview report was distributed to the Commission; information from Lori's 4/7/2004 e-mail to Ghida was incorporated into the rules of the program. The Commission prepared the following proposed timeline for the program: At Village Hall One bench which will be painted to "kick off" the program. Immediately Promote program to artists to design one bench. May 10 Artist sketches due to the Village Manager's Office. May 12 Next AC meeting —Commissioners make a recommendation to select a submittal for painting of one bench. The selected artist will paint the bench based on their proposed design. June 1 Village Board provides final approval on the artist design for the prototype bench. July 1 Artist to complete bench painting and deliver to VBG. July 1 Begin promotion of the sale of benches, "Sittin' Pretty" program to the community— residents/businesses. December 1 Deadlien to order a bench February, 2005 Benches delivered to paid participants June, 2005 Painted benches must be delivered to the Village for display. Part of the Arts card On March 26th, letters promoting the program were sent to every business in the 21 shopping centers in Buffalo Grove. The deadline for businesses to sign up is April 16, 2004. Michelle reported that four businesses have signed up to participate in the program thus far — Z's Martial Arts, Dunkin Donuts, Cold Stone Creamery, The Best Salon & Spa. Buffalo Grove Invitational Fine Art Festival, July 17 & 18, 2004 The Letter of Understanding between the Village and Amdur Productions is expected to be on the next agenda for Village Board approval, 4/12/2004. The Letter was presented to the Village Board on March 15th and two recommendations were made 1) regarding sponsorship levels and the number of sponsors; and 2) the concern with too many business booths, as opposed to artist booths, based on the sponsor solicitation letter sent on behalf of Amdur Productions by the company's public relations contractor. A copy of the proposed Letter is available upon request. Volunteer meeting- May 12th, 6:00 p.m., prior to the AC meeting. E-mail and hard copy invitations have been sent to all past art festival volunteers. Ghida reported that letters to all businesses in the Town Center were sent a letter to advise them of the festival. Fans have been purchased featuring the Village logo and "fan of the arts". 250 fans were purchased at a cost of $1.85 each. Motion by Herman to sell the fans for $5.00 each, second by Schneider. Motion carried. This is the same cost as the 2003 festival. Cost estimates for volunteer t-shirts were obtained and the lowest cost was from Ad-gift specialities. 120 volunteer shirts have been ordered featuring the LaSalle bank logo (sponsor) on the back,and the Art Festival logo on the corner chest area. Discussion took place among Commissioners regarding a Saturday night party. Considerations included hold a program at eSkape, India House, Art Fest Office, Lou Malnati's and Village Hall. The group discussed a free program for artist, as opposed to charging them for admission for food and beverages. It was recommended that this discussion continue at the next meeting. Ghida reported that the former Baby Town space will be used as the Art Fest office. This is the only space that is available at this time. Ghida will coordinate the logistics for the site with the property management company, Arthur Goldner&Associates. Old Business No business. Village Report The Annual Report will be provided to the Village Board at their next meeting, 4/12/2004, 7:30 pm. Next Steps Barbara spoke to Larry Reiner who indicated that the park District manages the artwork that is displayed on their art wall; the Reiner family donates funding for the program, but does not oversee the contract for artwork. Barbara had indicated that Mike Rylko and Dan Schimmel were the contacts to discuss the possibility of the Art League displaying work at the BG Fitness Center. Lynne indicated she would follow-up and obtain further information from Rylko and Schimmel. New Business Linda spoke to Andrea Siegal, the Arts Commission Chair at Skokie. The two individuals shared information about the art programs coordinated by each group. Linda recommended inviting her to our next meeting so the two groups can share information and program ideas. Meeting Schedule The next meeting will be held on Wednesday, May 12, 2004 at 7:00 p.m. AC meetings will be held on the second Wednesday of each month - unless otherwise noted. Meetings will be held at Village Hall, second floor conference room, unless noted. Motion to Adjourn — Motion by Herman, second by Alaynick. Motion carried.
