The meeting began at 7:20 p.m. Approval of Minutes, 4/7/04 Motion by Herman, second by Mann. Motion carried. Chair Report Linda welcomed back Ilene to the Commission! We missed you. Michelle and Linda acknowledged the great press that the Daily Herald has provided for all programs, including but not limited to the Limelight Cafe and Art League programs. Thank you Michelle and Steve Zalusky! Commissioners Reports No report. Buffalo Grove Symphonic Band Band Board The band is getting ready for the May 16th performance. A suggestion was made to create a flyer highlighting all arts programs in the community and sending flyers to pizza establishments in the Buffalo Grove area so they can include the flyer on all pizza boxes that they deliver. The band was not able to pursue this idea for the May 16th performance so it will be pursued at a later date. "Pictures in Music" —children's art program — May 16th performance Set-up will begin at 3:30 pm. for volunteers. Sponsorship - Ghida provided an update on the "band-aides" and expenditures. A copy of the budget was distributed and is available upon request. May 16th performance. Cam reported that concessions are ready; a band volunteer will be working the concessions. Arts Commission volunteers to assist with refreshments/programs: Gayle, Susan, Barbara, Lynne, Fred, Linda & Ghida. Volunteers — please arrive at 6:15 pm. Wear your yellow polos. Tickets are on sale! Sales are not as "brisk" as the Band hopes. The majority of ticket sales have come from band members. It was reported that Howard and Linda participated in an interview from the Chicago Tribune — the article will run June 28th. Performance schedule: ✓ 5/16/04 —Sunday. Second Annual Spring Concert. SHS. ✓ 7/4/2004, 7:00 p.m. Rotary Village Green performance —confirmed. $700. ✓ 7/18/2004 — BG Invitational Fine Art Festival, noon. ✓ 8/1/2004 - Deer Park Town Center, 2 pm Art League 1) Marilyn reported that the League is interested in a "Sunday in the park with Art". Lori suggested in an email to the League that the event should be coordinated on May 23rd. Artists would be encouraged to bring their easels and supplies and create their artwork "in the park". The community would be invited to observe in the park. 2) A calligraphy workshop is planned for Saturday, June 19th, at the Community Center adjacent to Village Hall. A cost will be charged to cover materials and the presenter fees. Linda complimented the League on their creative ideas, although it was recommended that programs be planned to provide sufficient time for publicity. Fred suggested that the League establish a calendar and plan the next three months of events. Ghida indicated that she would promote programs on the Village's web site, newsletter, cable, and the marquee. A publicity representative should be identified so they can contact local newspapers and conduct the majority of publicity. Gayle recommended that Michelle serve as the contact for the Daily Herald and she would contact Pioneer Press. Robyn indicated that she could assist with publicity. Any information for the July/August Village newsletter should be sent to Ghida by the end of May. Linda reported that she spoke to Dan Schimmel about the art on display at the fitness center. They are amenable to displaying artwork in their art corridor. The art work must be "happy" and promote good health. Displays can be accepted anytime after July 5th. Sandy suggested issuing a call for artists promoting show space available. A jurying program can be established — the artists would provide slides to be considered for the display, plus a small processing fee for the jury program. Sandy volunteered to assist with this program; she will follow-up with Dan at the park district on Friday. "Limelight Cafe" Gayle reported that the 4/30 Limelight was a tremendous success. Approximately 170 students attended the event. The event generated $1325, and the Village made $265. Ghida indicated that the Park District has agreed to allow the AC to utilize Willow Stream Park for the next Limelight. The event will be held on July 7th; the program must end at 10:00 pm. Susan indicated that Meridian has a stage the Commission could borrow, but it is very difficult to move. Ilene suggested utilizing Lions Park, east of BGHS for the location. A band shell is located at the park and electricity is also available. Gayle and Ghida will coordinate the details for the event and follow-up to the AC with details. Bench Program — "Sittin' Pretty in BG" Linda reported that the bench is located in the Office of the Village Manager. No proposed renderings were submitted for painting of the bench. Ghida suggested contacting Joe Burlini, the renowned artist who painted the Village's buffalo. Ilene indicated that she may provide artwork in the next week; Ghida will follow-up with Joe is nothing is submitted by the end of the month. As a reminder, the following timeline was established at the April meeting: At Village Hall One bench which will be painted to "kick off" the program. Immediately Promote program to artists to design one bench. May 10 Artist sketches due to the Village Manager's Office. May 12 Next AC meeting —Commissioners make a recommendation to select a submittal for painting of one bench. The selected artist will paint the bench based on their proposed design. June 1 Village Board provides final approval on the artist design for the prototype bench. July 1 Artist to complete bench painting and deliver to VBG. July 1 Begin promotion of the sale of benches, "Sittin' Pretty" program to the community— residents/businesses. December 1 Deadline to order a bench February, 2005 Benches delivered to paid participants June, 2005 Painted benches must be delivered to the Village for display. Part of the Arts card Michelle reported that twelve businesses have submitted applications for the VIP Arts Card. Michelle requested that each Commissioner contact five to six businesses about participating in the program. Linda indicated that Dist. 96 just rolled out their discount card - $10 donation. It was recommended that different businesses be contacted than on the Dist. 96 and the SHS card. Commissioners were asked to e-mail Ilene with three to five businesses that they will contact about the program. Ilene can be reached at krcam67 aol.com. Buffalo Grove Invitational Fine Art Festival, July 17 & 18, 2004 Volunteer meeting- May 12th, 6:00 p.m., prior to the AC meeting. An overview of the 6 pm meeting was provided. A detailed, written report is available upon request. Ghida reported that the mini-fans have arrived; the AC agreed to sell the fans for $5.00 ea., similar to last year. Fans should be considered for sale at community concerts, Limelight Cafe, 4th of July, and the art festival. Volunteer t-shirts are on order. Fred suggested that the "Chalk around the Block" should not be done on the sidewalks where the public won't walk and the artists store their materials. It was recommended that the chalk art be done on the street where most of the pedestrian travel will take place. Ghida indicated that if there is great interest in the program, the "chalk" can take place around the town center, including in front of the Rotary Village Green off Buffalo Grove Road. Blue t-shirts — Barbara inquired if the blue t-shirts, which were attempted to be sold last year for $10 per shirt, should be distributed at no charge to all artists. Ghida suggested charging something for the shirts to offset a portion of our costs. No final decision was made by the Commission. BG Days Booth The Commission discussed if the AC wants a booth at BG Days to promote AC activities — band, Limelight, VIP card, Sittin' Pretty program, Art League etc. Ghida indicated that the Art League was given an application to participate in the Arts & Crafts Fair— artists would sell artwork from one "Art League" booth. Ghida indicated that if other Commissions wanted a booth at BG Days, then the Commission could take turn volunteering 1-2 hours the entire holiday weekend. If coverage is required for the entire weekend, it was agreed that the AC would not pursue a booth. Gayle, Marilyn, Barbara, Fred indicated they could volunteer if the AC had a booth. Old Business No business. Village Report The Interest Disclaimer & Economic Disclosure Statement forms for 2004 were distributed to each Commissioner. It was recommended that these forms be read and signed by the end of May. Please return the forms to Ghida for submission to the Village Clerk's Office. Meeting Schedule The next meeting will be held on June 30, 2004 at 7:00 p.m. AC meetings will be held on the second Wednesday of each month - unless otherwise noted. Meetings will be held at Village Hall, lower level conference room, unless noted. Motion to Adjourn — Motion by Kove, second by Alaynick. Motion carried.
