Neukirch, Assistant Village Manager Trustee Liaison Trustee Jeff Berman Trustee Chuck Johnson Welcome Linda welcomed the Commission members and special guests Howard Green and Myra Citon (volunteer of the Art Fest). The meeting began at 7:05 p.m. Approval of Minutes, 6/30/04 Motion by Schneider, second by Gold. Motion carried. Chair Report Linda congratulated everyone on an outstanding art festival. She referenced an article that she wrote to the Editors of Pioneer Press and the Daily Herald. She also referenced the most recent Limelight Cafe which unfortunately was upset due to the rain, but there was good attendance and the program was still well received by the bands and attendees. Linda referenced a letter written by Randy Gollay of Buffalo Grove to the newspaper on August 2, 2004 titled, "Might be better ways to spend our money". The article referenced the Art By Purchase program and incorrectly referenced "thousands of dollars" that were spent to purchase artwork at the festival. Fred volunteered to work with Ghida to draft a letter in response. Commissioners Reports No report. Buffalo Grove Symphonic Band Band Board • Bonnie reported that the performance on Sunday at Deer Park went well. It was noted that the shopping center needs to do a better job promoting the performance. • The Band is preparing for the fall performance. • The Band is preparing for fall elections to the band board. • The band is also discussing 1) revisions to the bylaws (rehearsal time periods and other logistical information); and 2) purchasing instruments (percussion, synthesizer, bass clarinet, and others). • It was noted that the Band is interested in coordinating another survey for members; giving the members an opportunity to comment on the band's operation gave them an additional sense of ownership of the band. Bonnie will work with Ghida on the survey development and administration. Sponsorship - Ghida provided an update on the "band-aides" and expenditures. A copy of the budget was distributed and is available upon request. Performance schedule: ✓ 9/5/04— BG Days, 3:30 pm ✓ 9/5/04— BG Days parade, Dixieland Ensemble. ✓ 10/23/04—Third Annual Fall Concert, BGHS. ✓ 5/15/05 —Annual Performance, SHS "Limelight Cafe" Gayle reported that three bands have confirmed for the 8/11/2004 Limelight Cafe. The Cafe will be held at Willow Stream Park and will begin at 6:30 pm. The Park District will sell concessions. Sam Ash will not be asked to provide lights due to the shorter period of performance time. Limelight Volunteers —Gayle, Linda, Lori, Marilyn, Robyn, Fred. Please arrive at 6 pm for set-up. Fans will be sold to attendees. Next Limelight — Gayle penciled with eskape the next Limelight Cafe: Friday, November 19th, 7:30 pm — 11:00 pm. $5.00 admission; proceeds benefit the Arts Commission. Bonnie will check BGHS for event dates so future Limelight's do not conflict with school functions. Ghida will subsequently coordinate a Letter of Understanding with the management staff at eSkape. A motion was made by Boxer to contract for a sign to be made to promote the Limelight Cafe not to exceed $65, second Alaynick. Motion carried. Myra indicated that her grandson has a band and their group has performed throughout the Chicagoland area, including performing at Bumpers in BG. Their CD is coming out this year. The teens are 18 years old. Most band members reside in Vernon Hills; one student is from BGHS. Buffalo Grove Invitational Fine Art Festival, July 17 & 18, 2004 Ghida indicated that she has requested post-event staff reports from Village Departments. A letter was also sent to all businesses in the Town Center asking for their feedback; unfortunately the written feedback received by a few businesses was negative — lower sales, problems with parking, booths blocked business access, etc. A meeting has been scheduled with Amy Amdur next week to recap the Arts Festival and begin planning for 2005; Linda has been invited to attend this meeting. A follow-up meeting will be coordinated with the property manager of the Art Festival to discuss the 2005 festival. AC Feedback: • Program — include web site addresses of artists. • Have a master copy at the info booth of company names — not the artist names. • Band concert— people next to the family tent couldn't hear the band due to the kids in the tent. • Enhance signage for the entertainment. • The best one yet! • Designate more handicap parking — concentrate it in one place and have the shuttle travel more frequently. • Family Art Tent was successful. • Concern about the news press and focus on Judaic art. • Feedback from the artists was that sales went well. • It's not desirable to move the festival —great location —great configuration. • Increase the width of the walking lanes between the artists. • Open later than 5 pm — publicize the later hours of operation. • The crowd along the drive creates a good, positive synergy. • Volunteer support is outstanding. • Communicate more with the merchants and encourage special promotions the weekend of the festival. • There was less walking traffic along the north side; create a "break" or draw at this end of the festival. • ESkape should coordinate kids' games at the north end to create a draw. • It was difficult to keep elderly people from sitting on the bench. • Chairs were weak; one gentleman fell after the legs collapsed on the chair. • Art Purchase Program —set a percentage aside each year of money collected so a large piece of art could be purchased. Create an "Art Reserve Fund" for larger items such as sculptures. • West side booths are set-up partly on the curb so pedestrians were often tripping. • The Band really liked the location — much better than previous years. • Have a list on a bulletin board of all the TC businesses. • First Aid volunteers will wear different shirts next year. Bench Program — "Sittin' Pretty in BG" Ghida reported that information about the Sittin' Pretty program will be included in the next Village newsletter. The cost of the bench will be $600. A copy of the flyer promoting the program is available upon request. Lori distributed a "call to artists" that she and Marilyn prepared; the information is available upon request. The flyer would be issued to artists seeking their participation in the program. Ghida requested an electronic version of this flyer to include additional information. Robyn noted that most bench buyers are likely to paint the bench using the assistance of a school group, or they will paint it on their own. The "Call to Artists" is a good idea, but not too much focus should be spent on trying to obtain 50+ artists. Sunday in the Park. Plans for the program are well underway — Sunday, 1 — 3 pm at the Rotary Village Green. Information about the program has been promoted via the Village's communication and information was sent to the newspapers. Old Business No business. Village Report Ghida indicated that Youth Commission will be restructuring. Commissioners were invited to join an Ad Hoc Committee and also encouraged to participate in existing village Commissions. The Arts Commission was highlighted specifically for its work on several programs that involve youth — Limelight Cafe, Art Festival (family tent), and others. Next Steps Linda encouraged everyone to serve on a subcommittee so all activities of the AC are represented by two or more "chairs". BAND LIMELIGHT SITTIN' PRETTY RTS FESTIVAL Lynne Gayle Lori Barbara Lori At the next meeting, everyone should come prepared to identify what Committees they want to chair. Meeting Schedule The next meeting will be held on September 22, 2004 at 7:00 p.m. AC meetings will be held on the second Wednesday of each month - unless otherwise noted. Meetings will be held at Village Hall, second floor conference room, unless noted. Other Business Gayle suggested coordination of an outdoor Music Festival in the summer. The bands would not be paid; they would volunteer to get publicity. Motion to Adjourn — Motion by Alaynick, second by Pervos. Motion carried.
