MEETING MINUTES

Welcome
Linda welcomed the Commissioners and special guest Jan Obrand (Art Festival 5-year
volunteer). The meeting began at 7:05 p.m.
Special recognition was provided to Chair Linda Rosen for being honored with the Rotary, Bill
Reid Community Service Award. Linda will be presented with this prestigious award at the
Independence Day celebration on July 4, 2006 at the Rotary Village Green.

Commissioner's Reports

Buffalo Grove Symphonic Band
Overall, the May 21 st concert was excellent. Bonnie thanked the Arts Commissioners that
assisted at the performance. The turnout of the performance was disappointing; approximately
300 individuals attended the concert; the band was anticipating 500+. The Band Board had
discussed moving the Spring performance from Sunday evening to Saturday evening, preferably.
Susan Mann and members of the band were checking with Stevenson High School if a Saturday
date was available. Suggestions were made to increase attendance for future years:
•Offer complimentary tickets to music students; they must be accompanied by a parent (the
parent or guardian would be required to purchase a ticket).
•Provide group ticket discounts and promote the performances to various groups including the
senior facilities in the Buffalo Grove area.
Bonnie reported that three summer performances are confirmed — Cantigny on June 25th, Rotary
Village Green on July 4th, and Wheeling on July 19th.
Limelight Cafe
The May 19th Limelight Cafe was very successful with approximately 175 students in attendance.
Band's performed every half hour from 7:30 pm to 11:00 pm. The 2006/2007 has been confirmed
with eSkape: November 3, February 2, 2007 and April 27, 2007. The Commission will continue
to charge $5 per person for admission with $1 going back to the Arts Commission as fee
revenue. An additional dollar was negotiated with the owner of eSkape although he had
indicated once again that the revenue does not offset his costs for the event, including the
potential for the rooms to be reserved for private parties.
Community Calendar Program
Ghida reported that she met with Evan Hill recently and the calendar is progressing very nicely.
The project is on schedule to be complete within the next month, then sent to the printer, then
mailed to homes in August, 2006. Ghida distributed a draft, proposed front cover for the
community calendar.
Buffalo Grove Invitational Art Festival
Plans for the art festival are underway. Special thanks to all Commissioners for attending the
6:00 pm volunteer meeting. There are three new volunteers that will be working the festival
weekend. Ghida will send an email to all veteran volunteers to remind them to sign-up for shifts.
Ghida noted that the July/August newsletter is currently at the printer, and promotion for the
festival is included therein.
New in 2006 are the following programs:
1) A car has been donated by Fields Auto and will be the feature program in the family art
tent. Attendees will have the opportunity to paint the car the festival weekend. Paint supplies are
being donated by Blick Art.
2) The Village is working with the Chamber on a Thursday Preview Party at the Indeck
Building. Amdur has secured four artists to preview and sell their work at the event. The party
will be by invitation only since the lobby of the facility is limited to occupancy of approximately
150 attendees. Music will be provided by Arnie Martin. Several restaurants will be secured to
provide appetizers/drinks. Lynne indicated that the Chamber is interested in charging $10 per
person; the proceeds would be used for an Arts Scholarship. After much discussion, the
Commission agreed that the language on the invitation should be "Suggested minimum donation
$10.00". It was stated that many people are likely to give more than $10 if the language is
detailed as recommended.
3) It was agreed that the Village's buffalo should be brought to the festival and painted.
Marilyn will oversee this project.
A sign-up sheet for the art festival for Commissioners was distributed.
Village's 50th Anniversary Committee Update
Barbara reported that the Committee is getting organized. Monthly activities will be planned
beginning in March, 2008. The Committee is being chaired by Village Clerk Jan Sirabian. A
March 6th formal dinner is planned at the Arboretum. Other possible events include a car shock,
sock hop, 50th's theme party, calendar, and more.
Commissioners suggested a number of ideas to compliment the Committee's plans to honor our
community.
1) It was suggested that at the art festival, attendees would have an opportunity to paint
rocks and the rocks would be set-up in a garden.
2) A public art display was suggested.
3) After much discussion, it was suggested and the Commission agreed that we should
research the cost to obtain plaster mini-buffaloes that the Commission would sell at the 2008 art
festival. Attendees would paint the buffaloes, and the top 50 would be placed on display at
Village Hall. Fred will research the price for the plaster buffaloes.
Old Business
Kids' Talent Night
Robyn reported that venues are being researched for this event. Possible considerations
include Ivy Hall, Trip, and Cooper. Robyn and Susan are contacting these schools to inquire
about the Village utilizing their gym/open space for a Kids' Talent Night, preferably on Friday
night, October 20 from 7:30 pm — 9:00 pm. Most of these schools do not yet have their
schedules available for the fall; it was suggested that we follow-up in July. A report will be
provided at the next Commission meeting.
New Business
Linda indicated that as part of her Bill Reid Community Service Award, she is given a $500
grant to be donated to the charity of her choice. She expressed an interest in donating the grant
to the Arts Commission to start an Arts Scholarship. It was stated that future funds from the
scholarship program might be obtained from the revenue from the Limelight Cafe. Ghida
indicated that she would share this proposal with the Village Board for their consideration, and
also talk to legal counsel about the logistics. Lynne indicated that the guidelines for the
Chamber's scholarship program could be used as a model for the Arts Commission scholarship.

Meeting Schedule
The next meeting will be held on Wednesday, August 9, 2006. AC meetings are typically held on
the second Wednesday of each month. Meetings will be held at Village Hall, second floor
conference room, unless noted.
