The meeting was called to order at 7:05 PM.
Approval of Minutes
A motion was made to approve the minutes from the 7/8/09 meeting by Marilyn Alaynick and
seconded by Barbara Herman. The motion was unanimously approved.
Chair Report
Linda congratulated all on a wonderful Fine Arts Festival. She offered a special thanks to all
those who volunteered during the weekend and to the Village staff who assisted with all
aspects of the festival.
Buffalo Grove Invitational Fine Art Festival
The committee felt that the festival was a wonderful example of how our community came
together for this event. The commission members were very pleased with the result and felt
that the fest had a certain "vibe" that carried through the entire weekend. Several of the
commission members attended the North Shore Festival at Old Orchard and Art at the Glen.
They spoke to artists who also exhibited in Buffalo Grove. Most came back with the comments
that the volunteers were very friendly and they are what make our fest special.
The commission offered a special thanks to President Hartstein and the trustees for all their
attendance and support over the weekend.
Ghida Neukirch, Deputy Village Manager, had requested feedback from the AC members on
the festival:
Dogs — Our policy is that no dogs are allowed. Many visitors and some artists
brought their dogs to the event. If they are not allowed this should be enforced by
the Police Department.
Area around the main stage/food vendors clogged — The flow of the festival was
hampered by a lot of visitors gathering around this area. This was especially true
during the Limelight Program/Suzuki Strings concert. A suggestion was made to
push the food vendors a little out toward the parking lot. This would still provide
them good visibility but allow space for their clients without hampering the flow of
traffic.
• A first aid kit should be available in the Village portion of the Art Festival office.
• The information booth should have a walkie-talkie for emergencies. Artists,
volunteers and guests all seem to come to that booth when they have questions.
Visors — The visors were not worn and did not serve the purpose of identifying
volunteers. The committee members strongly encouraged the purchase of shirts or
some better form of identification for the volunteers.
Family Art Tent — The paint-a-tile and decorate-a-pretzel projects were
successful and very well received by the community. The committee felt that there
was still a problem with the location of the Family Art Tent. The committee would
like to be closer to the center and have more signage directing people to their
location.
• Several volunteers should station themselves close to the Information Booth so
that those who need booth sitters will easily find them.
• One of the artists suggested that the Village hold a silent auction as part of the
festival and ask all participating artists to donate a piece of art. The committee felt
that this was a good idea however they did not want to put any other restrictions on
artists.
The committee thought the breakfast for the artists was great and well received.
Thanks to all who volunteered and those who donated products for this event. A
special thanks to the Buffalo Grove Symphonic Band for their participation.
Preview Party — Attendance at the party was lighter than previous years. This
fact was attributed to the economy. The Chamber is considering changing the
amount of the admission fee and possible coordination of a program with local food
pantries which may encourage attendance. Those who attended provided positive
feedback on the local artists that were present at the event and also the scholarship
recipient who displayed her work.
The Suzuki Strings and Limelight performers were wonderful and very well
received by the community. This is definitely a program we want to continue.
A special thanks to Cirrus Falcon who worked on the sound system with our
Limelight participants and the Suzuki Strings.
Linda relayed a question that was asked by Trustee Stone in regards to the coupons that were
part of the welcome bags that were given to the artists at check-in. Trustee Stone was under
the impression that the coupons were not only given to the artists but also the volunteers. After
questioning all that were at the meeting the committee confirmed the coupons were in the
bags plus there were about 20 additional coupon flyers that were in the office on the Amdur
Productions desk. At no time were there coupons available on the volunteer and Village staff
check-in table on site or any distributed to the volunteers. Edgemark, the owner of Town
Center, created coupons for the Town Center businesses which were available to people at
the information booth. The Village was not involved in the solicitation, designing or printing of
these coupons.
Buffalo Grove Symphonic Band
The fall 2009 Symphonic Band Concert will be held on November 81h at Buffalo Grove High
School. The theme of this concert is "Fire and Ice." Concert tickets are $10 in advance at the
Buffalo Grove Village Hall (check or cash), $12 at the door, $8 at all times for seniors (55+)
and students with ID.
The band has been successful in securing new recruits. Sandy Greenberg will attend the next
board meeting in Bonnie's absence.
Lynne Schneider volunteered to do the program for the performance.
Little Limelight
Little Limelight program is scheduled for October 2n1 for the auditions with a performance
scheduled for October 161h at Tripp School.
Flyers will be provided to the school districts for distribution and also posted around the
community.

Limelight Cafe
The date of 4/30/2010 has been established for this event at eSkape.
Bloomin' Buffalo Grove
There was no report from the committee. Twelve (12) pieces were donated by artists from the
Fine Arts Festival for the program. It was suggested that the committee contact both the
Buffalo Grove Park District and local high schools to see if there are any "budding artists" who
would like to donate a piece to this project.
Artists with Disabilities Event — Chris Gibson reported on her meeting with the Commission
for Residents with Disabilities who will be working with the Arts Commission on this event. The
art fair will be held in conjunction with the Fall Symphonic Band concert at Buffalo Grove High
School.
The art fair will be held from 6:OOPM-7:OOPM, prior to the concert and also at intermission.
Chris and the volunteers from CRD will be going to Buffalo Grove High School to work out the
logistics. All proceeds from the fair go directly to the artists.
