2015-01-27 - Farmer's Market Committee - Minutes FarmersMarket Meeting 1/27/15 In attendence: Paulette Greenberg Chuck Posniak Tess Baker Larry King Ed Muldoon Fern Russell Mickey Katz Peggy Starczowski Not in attendence: Lea Pinshower Mike Terson Meeting called to order at 7.05pm. Paulette summarized her meeting w/the Village Officials yesterday. (the Village Meeting included Peggy, Jenny, Chuck, Matt Skibbe, Mike Reynolds, Chris Stalling and Tim Beckman) We will have use of the trailer again this year. Village will bring to the market area on Friday afternoons. We will be supplied w/emergency numbers to call if the trailer is not delivered on time. Also a phone number to order supplies (garbage bags). Advertising this year for the Farmer's Market will be with the Daily Herald and via Facebook. The Daily Herald will run it's special Farmers Market edition the end of May. And we will purchase 5-6 ad package, the same as last year. Price should be around $300. Facebook- the `likes' were plentiful and many shoppers advised they had read our facebook page. The `boost' was done several times with good results on the number of readers. Last year we spent under $100 for the additional `boost' fee' but needed to have authority from the Village in advance. Jenny agreed we could go up to $300 in spending w/o advance approval. No t-shirts will be ordered this year. The sign shop will make us a few new signs that we can plant in front of the farmers market on sat night or Sunday morning. Pub Tables- approx 4 ft high, fold up and are made of a plastic type material. Cost is around$100 each. Village ok'd purchase up to 4 tables. Will need to submit 3 estimates and have Village approval before ordering. Opening day is Flag day. Decorating the midway w/small flags was well liked. The beer-wine tasting.Village is ok with this but still a few more hoops to jump- for full approval. Preference will be for Illinois vineyards as they will need Illinois licenses a Village license and proof the employees have `Bassett Training' certification (to pour the sample tasting) We agreed to issue a `letter' of intent' or speak to local vineyards to see what kind of interest there is for them to attend the FM on a weekly or monthly basis. Currently the micro brewery in Buffalo Grove is still securing licenses etc and have not yet started production of the beer. Unknown when they will be ready.. If we have enough interest, then the Village w/proceed with the licensing and rules for this type of vendor. Tim from the park district is on board w/the tastings if the Village gives the overall approval. We also discussed checking w/ other FM's in the area who may do wine tastings and ask them about the vendors/customer reception. Other events planned for the FM this year: The Green Fair will be 6/28/15 per Debi Moritz. Park district will have various events-we have not been advised which ones or what dates. Car Show- I have begun making inquiries for contacts and info for such show. Next Chuck went over with the committee the By Laws he has revised a few parts. We discussed not allowing a vendor to return but by laws say we cannot discriminate unless the vendor will direct adverse another vendor's sales. We all agreed vendors should contact us by 6am on Sunday if unable to attend. Either by calling Paulette's cell# or via our Buffalo Grove Market gmail account. This will be put into the bylaws. All agreed the fees of$225 annual fee (up from $200) was ok. The other suggested prices also confirmed. A few other verbage changes. Chuck will make the changes and submit to Village attorney and Peggy for approval. We hope to have this approval by mid- February so the applications can be sent out by the end of February. Flag day/opening day(June 141h) . All agreed of having small flags decorating the vendors booths. Ed will price/purchase such flags. Costs will be under$1 each. He will secure the flags with a story stick, from his workshop, so all the flags will be at the same height. This will make a great photo of the midway. Pub tables—Ed will secure prices and then we will submit to the Village for approval and purchase. This year's passouts? Discussion if we need to passout anything to customer. Does it bring in more shoppers? Tess suggested perhaps kitchen gadget things that we can put in a bowl and random shoppers can take. No tote bags etc this year. Fern& Tess will check catalogues for ideas. Maybe something just to pass out to kids? Chuck reported he did go visit Lynfred Winery on Milwaukee Rd in Wheeling yesterday, they are interested in participating in the wine tasting if all the approvals go forward. He has also contacted 1-2 more in the area, awaiting their response. Car show- Paulette has contacted Steve Balinski (now the police chief in Kildeer)he is involved in the `cars & cigars show' in Long Grove. Will secure info if this can be held at the FM this year?? (Park district was ok with this) New Vendors- Chuck advised he has 30 new vendors in addition to last year's vendors to issue applications to. Most applications will be sent by email. About 12 will be sent regular U.S.Mail. Paulette advised she found out about a Visual Arts Fair being held on June 141h. Not sure of other details yet. (location, time, 1 or 2 day show?) Next meeting was agreed for Monday March 16th 7pm downstairs in Village Hall. **If we need to meet in February for the By Laws approval, after the Village attorney completes his review-we may choose a date for such meeting** meeting adjourned 8.15pm
