Welcome & Call to Order at 7:05pm II. Chair Report • Will be providing updates for Buddy Baseball and BG Days tonight. V. Trustee(s) report • None VI. Staff Liaison report • Update on what the Village has in place in terms of training or supports for interacting with individuals with disabilities o Evan will speak with Officer Mills about coming to the next meeting to share any training or specifics • At the next regular Village Board meeting 8/16 —there will be a proclamation for the 31 st Anniversary of the Americans with Disabilities Act • Evan is looking into closed captioning for Channel 6 VII. Sub-Committee report • Buffalo Grove Days— Judy/Andy/ Les o Mondays program 10:00-11:30am o There will not be food this year o Carnival will have food to purchase (popcorn, lemonade, taffy apples, funnel cake) o Kona Ice has offered to donate slushy's ■ We are still waiting for timing if this will be feasible ■ Recommending handing out raffle tickets at the time of registration to get the free slushy's • Question about charging $10 for families of more than 4 in the past ■ This year we won't charge the fee because we are not serving food • Should we change the name of the event for this year only from "Fun & Food" since we are not serving food? ■ Keep the name the same to keep the branding, but provide information in our marketing publications that there will be no lunch served this year • We can utilize the information booth for registration ■ Registering in cars is not a viable approach due to traffic flow ■ Include a sign that says we won't have lunch or entertainment • Walgreens on Lake Cook Road and 83 will most likely donate water again this year ■ Mark is still working on this, and it is looking good for donation of water for"Fun & Food" and Buddy Baseball • Lexi will work the "Fun & Food" registration Google form uuuui IImVhVh:Iles°//foul°urns-„gl1e/ III°; gllpgAUdll:.:sa 11 S 1b,/ • Signs needed ■ Registration with an arrow ■ 2 Private Event signs • Courtesy Shuttles ■ Judy created a draft schedule for when the golf cart is needed ■ Based off the carnival while also factoring in the music ■ 3 shuttles— only 4 seater shuttles will be available • 1 cart dedicated to the skate park • 1 dedicated to the main parking lot • 1 rover cart ■ Music going from 6-10:30pm ■ Make sure to provide the driving schedule to the BG Days Committee and coordinate ■ Will masks be required on the shuttles? We will follow CDC guidance Is the golf cart defined as public transportation? If so, masks would be required Should drivers be mandated to wear masks? ■ How do we go about shuttle training? • Connect with Paulette or Goeff Tollefson • Motion to approve the BG Days decisions ■ Motion: David Morton ■ Second: Mark Weiner ■ In Favor: Judy Samuels, Marty Sussman, Lexi Robinson, Mark Weiner, Jack Shapiro, Avi Samuels, David Morton, Matthew Dragon ■ Opposed: None ■ Abstain: None ■ Motion approved Buddy Baseball - Dean Klassman • Construction on Aptaskisic Road will be a challenge for our event • Lasalle Street will be the best parking lot for spectators to park Oust south of Aptakisic from BG Road) • Only those with handicap placards and the buddies will be able to use the baseball stadium lot • Wednesday September 1 st—first pitch at 5pm, players to arrive at 4:30pm • Dean secured a DJ this year— Carey Smolensky ■ Dean would like to get a sign for the DJ and Lou Malnati's • Looking for volunteers for parking lot support and traffic support • There was a request to get golf carts to transfer people from Lasalle Street to the field —this is not an option • Thursday September 2nd is the rain date for the game • Signs needed ■ Sponsor sign for DJ and Lou Malnati's ■ Dedication sign for the honorees ■ Private Event sign • Confirm with Dean that Max and Jacob's families agree to the shirt designs • Judy will ask Mara about which shirt vendor was used in the past • Bowling with Buddies— Mark/ Jack/ Beth • Beth is working on the registration Google form ■ Send out to the email list on August 21 It ■ Liability waiver will accompany the registration form, participants will bring it with them to the event— we will have extra copies available, if needed ■ Participants will be given a wristband to show they have registered, they will get their shoes, then be sent to their lane with their lane assignment ■ 3-4 volunteers for registration • Thursday, October 21 It from 6:00-8:OOpm; commissioners show up at 5:15pm at Bowlero in BG • Halloween theme, give candy away at registration, asking Bowlero ■ Costume "contest"— everyone can get a little ribbon or a printed certificate • No shirts for this year based on timing • Put 2 bowlers per lane in the 32 lanes (64 participants total) • There will be a table for sponsors to put their information • Publicity ■ Provide flyer to the Village to share the ■ Jack will contact Roots Autism ■ Mark will reach out to NWSRA, 214 ■ Marty will reach out to 21, 96, 102, 125 ■ District 103— do we have a contact there? • Food ■ In the past we had a buffet—this will not be the case this year ■ 3 tables set up in the middle of every 10 lanes, one person from the committee (masked and gloved) passing out the food 2 commission members covering 10 lanes to take orders and serve the food to deliver to participants ■ Non-participants pay $5 for food, they will also get a wristband ■ No limit for food ■ Pizza, chicken fingers, pretzels, lemonade, water ■ Evan will look into the payment program for the event • Safety protocols ■ All participants and volunteers will be required to wear masks, regardless of vaccination status ■ Hand sanitizer • Signs needed ■ Sponsor signs • Same sign for each 2 lane area with the lane sponsors (16 total) • One large sign listing all the sponsors for the sponsor table Vill. Unfinished Business • Buddy Baseball shirt finalization and approval — Marty Sussman o Should we put logos on the shirts for the two sponsors? — No, there is not enough room on the shirt design o Request to order 80-100 shirts in two colors (yellow and white) ■ Quote for$6 per shirt with text on one side • Identification card update— Marty Sussman o Marty met with State Representative Daniel Didech, but didn't mention the commissions involvement yet as we haven't yet voted on it o Dan is willing to get involved and write the bill o We will vote on this at the August meeting ■ If we want to pursue this, we would need to provide formal presentations to the Village Board to see if the Board is making this official policy • Cling on window stickers further discussion —deferred until November meeting X. New Business • New badges— Marty Sussman o There is a standard template from the Village • Starting 2022 budget process, what types of programs or events would our commission like to budget for? o Fun and Food at BG Days —typical cost $300-$400 o Bowling with Buddies—typical cost$500-$600 o Email the traditional expenses to Evan for budgeting purposes o Discuss at the next meeting XII.
