2022-08-16 - Buffalo Grove Days Committee - Minutes BG Days Committee Meeting August 16, 2022 Tara Anderson Megan Baird, Jackie Beegun, Robert Broussard, Arnie Brown, Jenn Foreman, Don Geno, Shari Ginsberg, Paulette Greenberg, Howard Hoffman, Ken Lazar, Adam Moodhe, Alan Nudelman, Beth Nudelman, Rodney Odelson, Les Ottenheimber, Doug Primack, Jane Primack, Debbie Rybarczyk, Judy Samuels, Mike Skibbe, Andy Stein, Debbie Verson, Josh Wallace, Jim Warnstedt, Joe Welter, Tom Wisniewski, The meeting was called to order at 7:02. The minutes of the last meeting were discussed. Rodney made a motion to accept the minutes. Debbie seconded the motion. The motion was carried. Chairman's Report: Paulette Greenberg/JV Springman Paulette stated that this is the last meeting for BG Days. The next meeting is the safety briefing. Police: Robert Broussard/Tara Anderson/Frank Horbus Bobby stated that everything is going really well. They are working on the parking passes. The schedule is also going well. He stated that he has a number of questions. He asked if the Park District will be having parking attendants. The Park District will check to see. Bobby stated that an attendant is needed to check the passes for the Green lot. In regards to the food trucks, he asked if there are any vendors that need to dropped off food or will they be stacked with what they need. Bobby stated that they did have drop offs last year. Bobby asked if the Buddy Baseball will need assistance with traffic. In the past, they have provided traffic direction, due to construction. The setup is the same as last year. They will have all the signs posted. Bobby wanted to know if they need someone this year for traffic control. Debbie stated that they really need someone just for drop offs. Public Works will put out the signs Parade: Jackie Beegun/Rodney Odelson Cancelled Community Walk: Evan Mitchell Bobby stated that everything is fired up for the walk. They have coverage for police presence. The course is .6 mile. This is more for security due to the short route. Mike stated that they are looking for volunteers to be placed along the path. They will be starting right at the pool in the north parking lot. Mobile Com: Paul Zucker Paul was not present but emailed his report to Jane, Paul stated that a headset is ordered for Paulette. Fun and Food: Debbie Verson/Judy Samuels Debbie stated that she will need a mic for buddy baseball. She questioned how to get it. Adam will give it to Dean or reverse. Debbie asked if there is there a separate sponsor sign for Fun and Food. They have always had one for Buddy Baseball. Paulette stated that she does not remember a sponsor banner for Fun and Food. Debbie will contact Chris for a sign. Debbie stated that she will need 2 8-foot tables for Buddy Baseball. Debbie asked about the wrist bands for the Fun and Food program. Paulette will get them. Debbie asked if they were getting ice. There was no response from the committee. Judy stated that she has 9 slots left for the courtesy shuttle schedule. Fire Department: Joe Welter Joe asked when do the food trucks arrive. He was told noon on Saturday and Sunday. Joe stated that all food trucks need to have their own fire extinguisher. He will check with the trucks. Sponsorship: Wendy Friedman/Mike Terson Erika emailed the report to Jane. The sponsorship is up to $36K with a few outstanding payments. Public Works: Chris Krase Josh said everything is good will start next week to set up the signs. He stated that everything is coming together. Food Trucks: Amanda Busch/Megan Baird/Don Geno Erika emailed the report to Jane. There is nothing new. They have received a couple more inquiries and have added them to the waitlist. They met with the Village of Buffalo Grove to discuss layout to ensure it meets the needs of the Public Works in regards to electricity and Fire Department in regards to spacing. They also met with the new health inspector and everything is ready to go. That was a suggestion he received after family night out. Beverages/Beer Sales: Dani Hoefle/TJ Wilkes Erika emailed that there is nothing new to report. Business Fair/Arts and Crafts: Brad Schenckner Brad was not present. The Chamber will coordinate in and out for the vendors. Set Up/Take Down: Chris Krase Josh had nothing new. Kids Craft Tent: Lindsay Grandt/Brian O'Malley/Jimmy Mix/Jane Primack Erika emailed her report to Jane. They are working with Doug and Adam on needs for the Kids 90 performances. They have confirmed with the sound company that they will be there and ready for a 1:30 pm start time. They have updated the website to include Children's Entertainment under the Activities section. Grilling Challenge: Don Geno Don stated that he has 37 plates from 11 entrants registered. He still needs judges. Josh will ask the Public Works guys if they want to judge. He stated they are always up for some good food. Entertainment: TJ Wilkes/Mike Terson Erika emailed that there is nothing new to report. Technical Production: Doug Primack/Adam Moodhe Doug stated that they are in pretty good shape. They are working with the Park District figuring out the requirements for the Kid's entertainment. Mics are the only things needed right now. Nanny Nikki may need to be down on the grass instead of the stage based on videos of her previous performances. The risers are coming from the Park District for bingo. They will use those same risers for the kid's entertainment. Marketing/Publicity Mike Terson/Jennifer Johns/Wendy Friedman/Marc Spunt All updates have been made to the website for Sunday's activities. Please send an email to marketing(r)c,bgparks.org for any changes/updates. The Park District is working with Marc Spunt on Social Media pushes. Marc could not attend but emailed his report to Jane. Marc will continue to share the Park District posts and create more event reminders on the BG Days Facebook page. Clicks and Shutters: Marian Rodriquez Marian was not present Car Show: Marian Rodriquez Marian was not present. Paulette stated that the trophies have been ordered. Marian told Paulette she is passing out flyers. Information Booth Debbie Rybarczyk Debbie has a sign-up sheet for the Info Booth Carnival: Paulette Greenberg Paulette stated that the Carnival will be there. Village Liaison: Mike Skibbe Mike talked to the Shriners and the Little People groups, about cancelling the parade and were receptive to reason. Trustee Liaison: Andy Stein/Les Ottenheimer Andy had no comment. Les had not comment. Your 2 Cents Worth: All committee members Judy asked about how many came for training for golf carts. The answer was. 4-5 came for training. The safety briefing will be for the BG Days committee, along with the Park District, the Business and food vendors. There will be a BG Days meeting after the safety training. Tara stated that the safety meeting will be less than an hour. It was decided that the committee will wear their blue shirts for the group picture. Paulette made comment that no one from the Rotary has been present. and there is no one to report on Bingo or the pancake breakfast. Erika emailed to Jane. Safety Training will be Tuesday, August 30 at 7 pm. It will be held at the Alcott Center at 530 Bernard Drive in Rooms 10 & 11. Volunteer Help— The Park District received the following list of names for volunteers. They will be reaching out to them directly. They can use more people if anyone is interested in helping with back stage or Food Truck/Vendor Check-in.
