2022-08-09 - Buffalo Grove Days Committee - Minutes BG Days Committee Meeting August 9, 2022 Robert Broussard, Arnie Brown, Chuck Burgess, Wendy Friedman, Don Geno, Judy Geno, Shari Ginsberg, Paulette Greenberg, Howard Hoffman, Frank Horbus, Chris Krase Ken Lazar, , Beth Nudelman, Rodney Odelson, Les Ottenheimber, Doug Primack, Jane Primack, Debbie Rybarczyk, JV Springman, Marc Spunt, Josh Wallace, Jim Warnstedt, Joe Welter, Tom Wisniewski, Paul Zucker, The meeting was called to order at 7:03 The minutes of the last meeting were discussed. Rodney made a motion to accept the minutes. Howard seconded the motion. The motion was carried. Chairman's Report: Paulette Greenberg/JV Springman Paulette and JV had no report. Police: Robert Broussard/Tara Anderson/Frank Horbus Bobby stated that they are getting the schedule together for all the staffing. They will be ready to go. Paulette asked about the parking passes. Bobby stated he was waiting to hear from the committee. Paulette stated that she would provide him with a list. Parade: Jackie Beegun/Rodney Odelson The Parade has been cancelled. Community Walk: Evan Mitchell Chuck was reporting for Evan who could not attend. The Blood Drive will be on Saturday at the Alcott Center. Evan continues to plan the community walk. As of now, the plan is for it to begin at Willow Stream Park at 8 AM, cross the bridge to Rylko Park and end at the pancake breakfast tent. Chuck said that there will be a need for volunteers along the route. Chuck had a map of the path they will take There will be signage with a QR code for people to donate to the Highland Park Community Fund. The pancake breakfast will begin at 8:30 AM. Howard asked if there will be people stationed along the way with water as needed. Paul asked if First Aid needs to be present. Judy asked if CERT volunteers will be needed. She also asked about the location of the First Aid tent, which will be near the Info Booth. Paulette asked where the residents who only want to attend the pancake breakfast will park. There will be no buses running at that time. Chuck responded that residents can park in the Buffalo Grove Fitness Center lot. Mobile Com: Paul Zucker Paul stated that he wants more information for Mobil Com and CERT about the community walk. Chuck stated that he would contact Even and get answers to Paul. Fun and Food: Debbie Verson/Judy Samuels Judy emailed Jane stating that neither herself or Debbie could attend the meeting. There are no updates other than she sent Jane the shuttle signup sheet as they still have about 50% of the driving opportunities open at this time. Jane passed around the sign-up list for the Courtesy shuttle. Fire Department: Joe Welter Joe asked about food trucks, how many there were and if there was enough distance between them. It was asked if the vendors were required to get fire extinguisher training. Joe stated that they should know how to use them. When asked, Chuck told Joe that in total for the weekend, there were 5 non truck vendors. Friday would have the maximum number of 4. Joe said that the trucks should have their own fire extinguishers. Joe said he would bring a couple and spread them out over the space for the trucks and tents. It was stated that there is a mandate that food trucks must have a fire extinguisher. For nonfood truck vendors, the Park District needs to make sure the propane tanks are outside the tents. When asked, Joe was told that the BBQ challenge would run Saturday 1-5. He stated that he has received no notification for fire extinguishers. He will provide some. Don said that the set up would be the same as in 2017, a horseshoe format. So far, Don has 10 grillers spaced 10 feet apart. Joe also said that he would bring the main stage fire extinguishers. Sponsorship: Wendy Friedman/Mike Terson Erika sent in her report to Jane. The Park District has raised $35,500 from 25 donors, with a few outstanding payments. There is one "in kind" donor to the Beverage Tent. Wendy's cut off date is August 20 for money received for them get their name on the board of donors. Money will be accepted past that point with noting of the donation only on the website. If the committee has any leads on potential sponsors not yet reached, please let Wendy know. A full list of sponsors can be found on the website. They met with the Village of Buffalo Grove on signage needs and they should be all set. Public Works: Chris Krase Chris stated that things are progressing as they should be. Paulette asked about the feather signs. Chris stated that some of them look worse for wear. He is not sure if he will be using them. Food Trucks: Amanda Busch/Megan Baird/Don Geno The Food Trucks are booked. We have created a waitlist for trucks trying to get in and will let them know if they have any cancellations and/or open space, but at this point, they are maxed out as far as layout is concerned. Chuck will get an updated one out as soon as completed. Beverages/Beer Sales: Dani Hoefle/TJ Wilkes The alcoholic beverages will be $6 each and non-alcoholic will be $3. On tap there will be Modelo, Anti-Hero, Miller Lite, Summer Shandy, and Blue Moon. They will have the mini bottles of Pinot Grigio and Cabernet Sauvignon. There will also be Mikes Hard Lemonade, White Claw mango & black cherry. They have not yet determined if they will also have a RTD (ready to drink) option. We will make a determination in the next week or so. They are working with Liquid Love to see if they could provide a jockebox to serve their beer. Right now, they are willing to sell their Oktoberfest style beer. The Park District has ordered their supplies (cups, wristbands, tickets). Howard asked about water for the volunteers. Chuck said there would be water for the volunteers. Chuck said they are trying to do a hard cider but it cannot be run through the same tubes as the beer. Chuck said he is pretty sure they will be selling on Monday. A couple of Park District people have volunteered to work those days. Business Fair/Arts and Crafts: Brad Schencker Brad was not present. Wendy stated that she talked to Brad who told her there were 20 vendors, more craft based, some business based. They lowered the application fee to get more registrants. Set Up/Take Down: Public Works Chris stated that it is under control. Kids Craft Tent: Lindsay Grandt/Brian O'Malley/Jimmy Mix/Jane Primack The Kids 90 is going well. The kid's crafts, face paint and balloon animals will be under three pop-ups (2 for crafts, 1 for contractors). The entertainers have been booked and performances will be from 1:30— 2:15 pm. Saturday Nanny Nikki will be performing and Ben Tatar and the Tatar Tots will be performing on Sunday. Big Deal/Studio 83 performances will run from 2:30— 3 pm. Grilling Challenge: Jackie Beegun/Don Geno Don stated that he has 10 grillers with 32 plates. The question was raised as to how many judges does he need. Paulette stated that they can only judge 2 items as in the past, people ended up with an upset stomach when judging too many items. Entertainment: TJ Wilkes/Mike Terson Erika emailed Jane that there was nothing new. Technical Production: Doug Primack/Adam Moodhe Doug stated that we will have sound and video walls. Doug said that he and Adam are working with Erika on info for the video walls. Doug said that the video switching equipment was approved for rental and Sound Works, the sound company will provide the needed equipment. Marketing/Publicity Mike Terson/Jennifer Johns/Wendy Friedman/Marc Spunt All updates have been made to the website. They are waiting for final marketing information/pieces for Sunday's activities (the walk and the pancake breakfast). Wendy stated that she will be taking pictures all weekend. Clicks and Shutters: Marian Rodriquez Marian was not present. Car Show: Marian Rodriquez Marian was not present. Paulette stated that Marian has passed out flyers at various car shows. Prizes have not yet been ordered. Information Booth Debbie Rybarczyk Jane will create sign list for the Info Booth. Carnival: Paulette Greenberg Paulette stated that the prices for tickets and wrist bands have been uploaded to the village website. Village Liaison: Mike Skibbe Mike-was not present. Trustee Liaison: Andy Stein/Les Ottenheimer Les said that he has no comments. Your 2 Cents Worth: All committee members Chuck stated that the August 30 meeting will be held at the Alcott Center, 530 Bernard Drive, for safety training for all committee members. It will be held in rooms 10 and 11 and will be at 7:00. It will be an overview for big festivals for safety in light of recent problems with large public gatherings. Bobby asked who was listed for the Police to run this training. Chuck responded that it is Tara and the police department Areas for Volunteer Help Back Stage Help: 2 Volunteers each shift, Duties: help bands load in/out, make sure coolers are stocked, general backstage help with main stage team 6 -10:30 - Friday 3:30— 7 pm- Saturday/Sunday 7 pm - 10:30 - Saturday/Sunday Food Truck Check-in: 1 Volunteer each shift, Duties: check-in food trucks upon arrival, ensure they park and set-up in the correct location, help them with general questions/needs 5 PM—Thursday 5 PM—Friday 12 PM— Saturday 5 PM— Saturday 12 PM— Sunday 5 PM— Sunday 8:30 AM— Monday 11:30 AM— Monday Beverage Tent: 1 Volunteer each shift, Duties: help serve non-alcoholic beverages under the beverage tent (if TIPs trained, they could help with all drink service) Shifts are still being worked on, but overall, you would be looking at a very similar timeline to food truck check-in above. Monday is still TBD. Joe asked if in the large tent, there will just be tables and chairs. He asked about no smoking signs. Public Works will put them in. Rodney made a motion to adjourn.
