The meeting was called to order at 7:01.
The minutes of the last meeting were discussed. Rodney made a motion to accept the
minutes. Debbie seconded the motion. The motion was carried.
Chairman's Report: Paulette Greenberg/JV Springma

Parade: Jackie Beegu Rodney Odelson
Mike stated that the Village Board made the decision to cancel the parade this year. This
was after consideration of the safety of the volunteers, the parade units, and the
homeowners along the route.
Mike stated that our energy will be directed into 3 events that day. It will start with a
community walk. The village is moving the blood drive to the fitness center on Sunday.
The Rotary is interested in bringing back the pancake breakfast.
The Village will make it official after hearing back from the Rotary on Thursday.
They are thinking of an honor Highland Park fund raising event but they need to find out
where Highland Park wants the money to go.
Evan Mitchell is the point person for planning the community walk. They are not sure if it
will be a fund raiser or an interfaith walk.
Mike stated that they are 90% of the way to finalization of the Sunday morning activity.
There will be an 8 AM start for the walk. Judy asked about need for courtesy shuttles.
She said that the shuttles start 1:00 and it is hard to fill in the spots. Since there are less
volunteers this year on the committee it will be harder to fill in the schedule.
Paul said that this will be a big impact on Mobile Com. He may need more radios,
It will also impact on CERT.
The pancake breakfast will be in the table tent, with cooking in the area of the BBQ
Challenge.
Paul said that the walk is more concerning as it has a larger footprint.
It will start at the Rt 83 overpass, with a little bit of police presence at this point.
Breakfast will run 8-12. The walk would kick off at 8:00 AM.
Tara said they have 3 different routes for protestors in the past. We could use one of those
routes for the walk.
Rodney stated that the bands have been contacted about the parade cancellation. Rodney
stated that he spoke to all the applicants by phone. He emphasized that he wants them
back for next year.
Mobile Com: Paul Zucker
Paul stated that this year will have a different dynamic for them. Paul will need to change
the rental equipment they will need. He is not sure yet what to rent. He needs to decide by
August 10"'
Paul stated he put together a schedule of the festival from off the website. He needed it to
see when Mobile Com will need to be staffed.
Thursday there is nothing going on so so Mobil Com will not need to be there.
Friday, Saturday, and Sunday they will be there from noon to 11 PM.
Monday they will be there from 9 am to 6:30 PM
JV stated that on Sunday they need to be there earlier due to the community walk.
Paulette stated that the carnival starts at 6:00 on Thursday.
JV suggested 4 radios on Thursday, 2 for courtesy carts, one for Paulette and one for the
Info Booth. JV stated that he or Paulette will lock them up in trailer. Paulette and JV will
sign them out and be responsible for them.
Paulette stated that the carnival starts at 5:00 on Friday. Nothing is open until after that so
Mobil Com does not need to be there at noon. Buses don't start on Friday until 5:00 PM.
Paul needs info about the courtesy shuttle schedule.
CERT will need a golf cart.
Public works purchased the mount for the camera and the Park District will allow it to be
permanently mounted on their property.
Fun and Food: Debbie Verson/Judy Samuels
Judy said the registration link is up and running and they have their first family registered.
Judy gave thanks to Mike Terson for making it happen.
Tom has the Buddy baseball shirts. Buddy Baseball will begin to arrive at 4:00 on
Saturday. The game one is at 5:00.
Fire Department: Joe Welter
Joe was not present.
Mike stated that the fire chief will work with carnival on set up.
Sponsorship: Wendy Friedman/Mike Terson
$34K has been pledged so far with $6500 in payments outstanding. Wendy continues to
seek out more.
If the committee has any leads on potential sponsors not yet reached, please let Wendy
know. A full list of sponsors can be found on the website.
Paulette stated that the Park District has raised a good amount of money
Adam asked about potential commercials for the video board. They are working on it.
Adam confirmed that they can do video or audio commercials.
Paulette asked if Woodman's is sponsoring anything. Mike Terson said no. Woodman's
has changed how they do sponsorship now.
Public Works: Chris Klass
Chris stated that everything is progressing as normal.
Chris stated that he needs sign requests by August 8' to have them ready. There will be a
sponsor schedule board on the island by the food trucks.
Tom stated that the items for the BBQ Challenge have been approved.
Tom stated that it was approved for the increase in the number of tents and tables The
aprons have also been approved
Tom said the Car Show has been approved for the prizes and trophies.
The clam shells and silverware for the BBQ Challenge have already been ordered by Tom_
Food Trucks: Amanda Busch/Megan Baird/Don Geno
Erika emailed her report to Jane.
The following trucks did not submit their applications by the 7/18 deadline, so they are
counting them out for BG Days.

They reached out to the 7 trucks who indicated on their initial survey that they were
available/interested in attending BG Days on Monday and so far, 4 of them have agreed.
After speaking with the Village, they decided to hold off until after August 8 to submit the
vendor paperwork to the new health inspector.
They still have 3 other vendors that have reached out expressing interest in attending, but
they do not think they will have space for many more at this point. They will be discussing
the final layout in the coming week.

Mike Terson stated that people are not happy the standard restaurants are not included in
the list. Ninos and Dorflers do not have the staff to participate in BG Days this year. Mike
stated that anyone serving food cannot do onsite cooking.
Paulette stated that she is looking for donations for water for the Info Booth, the Car Show,
the BBQ and crafts. Mike stated that all will have water.
Beveraizes/Beer Sales: Dani Hoefle/TJ Wilkes
Ericka emailed her report to Jane.
As of right now there does not seem to be any supply issues, however costs are going up
for the products.
On tap there will be Modelo, Anti-Hero, Miller Lite, Summer Shandy, and Blue
Moon. They will have the mini bottles of Pinot Grigio and Cabernet Sauvignon. There
will also be Mikes Hard Lemonade, White Claw mango &black cherry. It was suggested
by Kloss to have an RTD (ready to drink) which has liquor in it as they are very
popular. A High Noon would be an example and there are others from Two Brothers and
Dogfish Head.
Liquid Love would need to find their own way to pour using a jockey box and cannot use
the taps on the trailer(from K1oss). They are looking at providing a sour and an
Oktoberfest style beer.
Marc asked if members will get bands for beer. Erika will get a list of volunteers for that.
Business Fair/Arts and Crafts: Brad Schencker
Brad was not present.
There was no report.
Set Up/Take Down: Public Works
Chris said that people just need to get sign requests in. There will be a meeting on site for
power in a few weeks.
Marc asked and was told that no volunteers are needed this year for set up/take down. The
Public Works will take care of it.
When Paulette asked, Chris confirmed that the cleaning service has been hired. They are
working on the hours now. Paulette asked who is the contract person for the cleaning
crew. Paulette asked if the cleaning people would be wearing shirts to be able to identify
them, as has been done in the past. Paulette asked who would be point person for the
cleaning people. Chris stated he would be. Paulette asked about the cleaning of the field
Friday, Saturday, and Sunday. Chris was unsure who or when that would be done. He will
check into it.
Paulette reminded Chris that the Car Show comes in on the field on Monday morning at
9:00. The field will need to be clean by that time.
Paulette asked who would be responsible for garbage removal. Public Works will take care
of that. The cleaning crew will keep the porta pots clean.
Paulette asked about who cleans up after someone get sick. Mike stated that Public Works
person onsite will get someone to get it to clean it up.
Kids Craft Tent: Lindsay Grandt/Brian O'Malley/Jimmy Mix/Jane Primack
Erika emailed her report to Jane. Lindsay was present to give the report.
Kids 90 is coming along well.
The team had a meeting with Jane on July 14t1i that was very productive. At that time, they
discussed the crafts and the budget. The layout has yet to be determined.
The entertainers have been booked and performances will be from 1:30— 2:15 pm
Saturday and Sunday. Nanny Nikki will be performing on Saturday and Ben Tatar and the
Tatar Tots will be performing on Sunday
Big Deal/Studio 83 performances will run from 2:30— 3 pm.
The kids' crafts will be in the table tent or under the farmer's market tent somewhere on
the field.
Grilling Challenge: Jackie Beegun/Don Geno
Don stated that he got several applicants. He now has 21 plates, with 7-8 grillers.
Don asked where the judges are going to sit. It was suggested that he use the pop up for the
kid's crafts, which should be empty by that time. Paulette is concerned that the kids in the
craft tent not be located too close to the grills.
Tom stated that Melon Inc has donated the imprinting for the shirts.
Entertainment: TJ Wilkes/Mike Terson
Mike said that there is nothing new. They will be using the NWSRA space for the interior
green room(inside Fitness Center) and set up a 1Ox10 tent with a table and chairs outside
by the sidewalk behind the stage.
Technical Production: Doug Primack/Adam Moodhe
Adam stated that they are in progress. They were approved for the camera system which
will allow them to project the entertainers on the video wall.
Adam said that there will be ads between band performances.
Doug asked Brett about the duck race.
JV asked if we have ability to pop a message up on the board if there is a missing child.
That will be dependent on where Adam or Doug is at the time.
Marketing/Publicity Mike Terson/Jennifer Johns/Wendy Friedman/Marc Spunt
Mike stated that all updates have been made to the website. They are waiting for a final
decision on Sunday's activities in lieu of the parade. Once those are finalized, they will
post them on the website.
Erika asked to please send an email to marketingkbguarks.org for any changes/updates to
the website.
Marc stated that he posted one event on Facebook for bingo that has generated lots of
interest. He has also posted about the parade cancellation without too many complaints.
People just want to know why it was cancelled.
Clicks and Shutters: Marian Rodriquez
Marian was not present.
She will be there with her camera and has a friend to help.
Car Show: Marian Rodriquez
Marian was not present.
Paulette reported that Marian has passed out 250 flyers at various car shows. She stated
that the Mt. Prospect car show is coming up. She was hoping the Public Works guys
would help to pass them out.
Information Booth Debbie Rybarczyk
Debbie has no report.
Carnival: Paulette Greenberg
Paulette states she has the layout for the carnival. There are no changes. In the parking lot
closest to the food trucks, there will be the merry go round, the Ferris wheel, and one more
fast ride. The rest of the rides will be in the further parking lot.
Paulette stated that the carnival is self-run with no involvement of the committee once it
has been set up and inspected by the fire department
Paul stated that if there are any accidents with carnival, he needs to contact the owner of
the carnival.
Tara stated that the wrist bands sales are all on line. They can also purchase on site. There
are no presales at Village Hall. Presale are only through the carnival company website.
You will save $5 per wrist band if you buy them on their website. You can only buy the
tickets on site.
Mike said that this would be put it in the village newsletter.
Village Liaison: Mike Skibbe
Mike stated that he discussed the Sunday morning activities previously. All is good.
Trustee Liaison: Andy Stein/Les Ottenheimer
Andy was not present.
Les has nothing specific. He said it is nice to see it all coming together.

Judy asked about the courtesy shuttle training for new people driving. Paulette stated that
she will work it out.
Rodney made a motion to adjourn. Marc seconded the motion.
