2022-06-14 - Buffalo Grove Days Committee - Minutes BG Days Committee Meeting June 14, 2022 Tara Anderson Jackie Beegun, Robert Broussard, Don Geno, Paulette Greenberg, Howard Hoffman, Frank Horbus, Chris Krase Rodney Odelson, Les Ottenheimber, Doug Primack, Jane Primack, Debbie Rybarczyk, Mike Skibbe, JV Springman, Marc Spunt, Andy Stein, Erika Strojinc, Debbie Verson, Josh Wallace, Jim Warnstedt, Tom Wisniewski, Paul Zucker, The meeting was called to order at 7:06 The minutes of the last meeting were discussed. Rodney made a motion to accept the minutes. Marc seconded the motion. The motion was carried. Chairman's Report: Paulette Greenberg/JV Springman Paulette said that there has been a lot of movement in the committee this past month. JV stated that the Park District and Village are now running BG Days. We, as volunteers, are there to assist them. The committee will continue to run the parade and the grill challenge Due to construction on Bernard this year and next, the parade has been moved to Checker Drive. The Park District will be in charge of Kids activities. All entertainment will be contracted and scheduled through the Park District. Doug and Adam will help behind the scenes as the Park District needs. Marketing will be run by the Park District. Marc has direct access to the Facebook and other social media channels for posting. He will coordinate overall event messaging with Park District's marketing team, who will be updating the website. JV stated that as of right now, there is no car show. The committee will also man the Info booth. Police: Robert Broussard/Tara Anderson/Frank Horbus Bobby stated that his team had a good meeting about the parade and feel they have it on the right track. Parade: Jackie Beegun/Rodney Odelson Paulette stated that the Parade will be planned by Rodney and Jackie this year. Jackie stated that she met with police department already. She created a google doc,put it on the website and already got 3 hits. She has also posted on the BG Facebook page and on the website. So far, they have 10 floats. Jackie said that we will be using the same route as the pride parade, but no barriers. It will start east of Arlington Heights Road at Carry to Ridgefield Lane. Bobby said that there will be buses to get residents from the parking lot at the train station to the parade route. It is suggested that residents come 1 1/z hour prior to the parade, for transport to the route location. The Parade starts at 11. Doug asked if the parade will be recorded for the BG Channel, as in the past. Doug noted that all of the equipment to record moved to Colorado with Bob Boxer who supplied it. They will need someone to announce. Mobile Com: Paul Zucker No report from Paul Paul stated that if the Park District needs radios, they need to reach out to him. Fun and Food: Debbie Verson/Judy Samuels Debbie stated that she talked to Dean and Buddy Baseball will be on Saturday afternoon, which in the past has been at 4:00. They are working on getting Lo Malnati's pizzas again this year. They are approaching Walgreens for water for their Monday Fun and Food program and Saturday for the Buddy Baseball program. Monday, they are planning bag lunches in case residents can't get to the table tent Debbie said that there should be accessible seating for the entire BG Days event. The tent is smaller this year. Mike said that the seating number is the same. Another consideration is a smaller tent for handicapped accessible seating nearer the pavement. Mike stated that they are thinking about getting new picnic tables with handicapped accessible ends. Erika stated that they have secured Kona Ice for Monday. They are doing it for free from 10 am- 12 pm, and then will charge from 12 pm on. They informed Kona that they needed to work with the committee/village on logistics. Fire Department: Joe Welter Joe was not present. Mike confirmed that Joe continues to be the Fire Department liaison. He will contact Joe about any report he may have. Sponsorship: Wendy Friedman/Mike Terson Erika stated that currently they have 11 sponsors. They have received $9000 so far, but still have a couple coming in including $1000 from the Friends of the Park Foundation. Public Works: Chris Krase Chris reported that progress has been made on securing contracts for equipment and generators on site. They continue to work on the overall site layout. There is a follow-up meeting scheduled for later this month. They have the trailer Business Fair/Arts and Crafts: Brad Schencker Brad was not present. Paulette stated she has not heard from Brad. Erika stated that Brad has rolled it out the Chamber's Main Street of BG event. The Park District sent out letters to their own crafters they have used. Set Up/Take Down: Public Works/Park District They are progressing. Kids Craft Tent: Lindsay Grandt/Brian O'Malley/Jimmy Mix/Jane Primack Erika reported that the staff met with Jane to discuss the tent activities. They plan to have a Kids Hour from 1:30— 3 pm that involves main stage performances. The Main Stage acts will be Big Deal acts. Discussion ensued about possibilities for kids crafts in the Table tent. Grilling Challenge: Jackie Beegun/Don Geno Jackie stated that they have sent out applications to previous contestants and they have received 4 responses The aprons and the trophies have been ordered. The event will officially run Saturday from 1:00 to 5:00. Many grillers come in earlier to set up and begin grilling. Jackie stated that there are 30 spots available with 1 table per griller. Paulette requested charcoal trash bins, from Public Works. Paulette stated that the judges will need tables and chairs. The tent will be from the farmer's market. Judging will begin at 5:30. Rob from Kansas City Barbecue will be there as a judge. Discussion occurred as to where the announcements of the winners will be made. Entertainment: TJ Wilkes/Mike TersonAll bands have been booked (minus the kids show). Erika stated that the schedule for entertainment is as follows: Friday 6 - 8 pm Oh Yes 8:30 - 10:30 pm Hi Infidelity Saturday 1:30 - 3 pm Kids show TBD 3:30 - 5 pm Six On Friday 6 - 8 pm Voyage 8:30 - 10:30 pm Mr. Blotto Sunday 1:30 - 3 pm Kids show TBD 3:30 - 5 pm Triadd 6 - 8 pm Pino Farina Band 8:30 - 10:30 pm Spazmatics Technical Production: Doug Primack/Adam Moodhe Doug stated that they have most of the technical riders for the bands. They will forward that info in the sound company in the next few weeks, Erika stated that they will need people back stage for crowd control and to provide water to the entertainers. When Paulette asked, Erika confirmed that there will be Park District staff behind the stage. Erika stated that they have ID 2 people per shift. There will be access to the back door to the fitness center for the green room. There will be no trailer this year. Marketing/Publicity Mike Terson/Jennifer Johns/Wendy Friedman/Marc Spunt Erika stated the new website is pretty much complete,however, they need further details on the supporting events throughout the weekend, specifically, day/time/contact info for the parade, the BBQ Challenge,the Car Show, and Food&Fun. Clicks and Shutters: Marian Rodriquez Marian stated that she has asked friends to volunteer to take pictures for the festival and for the Car Show. Car Show: Marian Rodriquez Marian stated that she has to add the BG logo onto the flyer, She is starting to solicit sponsors and prizes. She has a schedule of area car shows to hand out flyers After discussion, it was decided that on Monday registration will run 9-11. The show officially runs 11:00-3:00 then awards at 2:30. The voting at the end will occur at 2:00. Cars up to 1990 will be allowed in the show. Information Booth Debbie Rybarczyk Debbie has no report. Your 2 Cents Worth: All committee members Jane asked for clarification about location of the BG Days committee meetings. It was confirmed going forward that meeting will be in the conference room on the lower level of the Public Works building. Rodney made a motion to adjourn. Marc seconded the motion. The meeting was adjourned at 8:12.
