2021-08-10 - Buffalo Grove Days Committee - Minutes BG Days Committee Meeting August 10, 2020 Jackie Beegun, Robert Broussard, Alan Danenberg Karen Danenberg, Don Geno, Shari Ginsberg, Paulette Greenberg, Dave Haisma, Chris Krase, Adam Moodhe, Rodney Odelson, Doug Primack, Jane Primack, Brett Robinson, Debbie Rybarczyk, Judy Samuels, Mike Skibbe, JV Springman, Andy Stein, Erika Strojinc, Josh Wallace, Paul Zucker, The meeting was called to order at 7:07 Rodney made a motion to accept the minutes. Don seconded the motion. The motion was carried. Chairman's Report: Paulette Greenberg/JV Springman Paulette and JV had no report. Police: Robert Broussard/Tara Anderson Bobby stated that he had no report. Paulette stated that there will be a booth for the community relations team, with a tent, next to the info booth. When asked, Bobby confirmed that the Donut car will be coming and they will set up a tent. When asked, Bobby stated that there will be no dunk tank this year. Mobile Com: Paul Zucker Paul stated that they are good. They have a few items to discuss with the Police and Fire. They will ship the radios to the fire station and his team will check them out the night before. There will be a cooling tent over by Mobile Com. The tent will be supplied with water and power. The misters will have to be set up each day. Fun and Food: Debbie Verson/ Judy Samuels Judy stated that she has the shuttle signup sheet. Jane will send out an email to all volunteers to sign up. The Village will provide masks for shuttles riders to wear. Mike stated that there will be golf cart training in the parking lot of Village Hall at the last meeting. It was suggested that the courtesy shuttles not stop on Thursday at 10. People could be coming out of the carnival. Fire Department: Joe Welter Joe was not present. Sponsorship: Erika Strojinc Erika was not present. Mike reported for her. Erika has already been working on the website and has raised $20,000+ of the $30,000 goal. Public Works: Dave Haisma/Mike Skibbe Mike stated that there are signs about town now for the festival. The Village is working with Park District for day-to-day updates. Food Trucks: Sarah Lee Sarah was not present but emailed her report to Jane. Here is an update on the food trucks: • She has contacted 51 different vendors. • 12 have said a firm yes, 6 have turned in applications • She has 6 still deciding. Vendor Product? Interested? Paulette said that the Chicken Finger Guy wants to come back this year. He was here two years ago, and also sold hot dogs. He claims to have had the exclusive to sell hots dogs. Luke's also was selling hot dogs but better ones. He requested a packet, asking about how to get back into the festival. JV stated that he will take care of dealing with them. When asked about the process, Peggy will make contact to do the paperwork and inspection. Beverage Sales: Erika Strojinc Erika was not present. Mike gave her report. Mike gave a list of beverages that they will be selling which includes the following: Miller Lite Summer Shandy (Octoberfest if not available, or as replacement if we run out) Revolution Anti-Hero Blue Moon Modelo Mikes Hard Lemonade White Claw (Black Cherry and Mango) Wine (Cabernet and Chardonnay) Truly Freeze Pops Entertainment: Karen Danenberg/ Karen stated that the committee needs to discuss an email received from the Park District. The Park District wants to book their own band from 3:30 to 5:30, Saturday and Sunday. Karen explained that we have to do a load in at the time frame, which takes time. The Park District states that they will pay for the band out of their own funds. Karen stated that 3:00-4:30 would work, but not until 5:30. The Park District is presenting their Big Deal production at 2:00 on Saturday. Mike states that the Park,District is looking to add an opening act. The committee thought that the Park District was trying to get Mike Terson's band to play. Mike stated that he does not believe that to be the case. The Park District is looking to pay $1000 per night. The Park District's reason for wanting to add a band each night is they want to increase beverage sales. Karen stated that the Park Districts request for the 3:30 to 5:30 time slot will not work. She stated that they time slot of 3 to 4:30 would. Mike will contact the Park District Technical Production: Doug Primack/Adam Moodhe Doug had no report. Marketing/Publicity: Alan Danenberg Alan requested the beverage list from the Park District the and food truck list. Alan also asked if there is a sponsor for Buddy Baseball and the Fun and Food program. Alan also asked about a list of in-kind sponsors. Mike asked that red text background is hard to read on the website. Alan stated he will fix that. Clicks and Shutters: Marian Rodriguez Paulette stated that Marian will be on property Saturday only for picture taking. Tara suggested attendees take pictures. Mike said that village was worried about waivers. Jane stated that Hal approached her about showing up at the festival, not on a specific schedule,just to take pictures to share with the committee and the Village. Paulette said it was OK for him to come and taking pictures. Information Booth: JV Springman Paulette stated that JV will do the info booth this year. JV warned everyone to stay on his good side. He will have a signup sheet at the next meeting. Carnival: Paulette Greenberg Paulette stated that the posters have been shipped and should be at Village Hall Thursday. When asked, Paulette stated that there has been no mention of presale tickets. Villa,ve Liaison: Mike Skibbe Mike stated that he has asked Jane to send out the email for committee members to provide the Village with their contact info and email. Mike stated that they are full speed ahead. The only threat he sees is if the governor does something due to COVID. Park District staff is planning on being at the festival. Their staff will be helping with set up with Public Works. They will be staffing the beverage tent. They will be in charge of coordination of the entertainment of things they are running. Paul wants them to sign out a radio so he can be in touch with them if necessary. Karen asked about seeing a contract for the band who will be coming. Doug said that they need to get a stage and mic layout to give to the sound company. Trustee Liaison: Andy Stein/Les Ottenheimer Les was not present. Andy heard rumor the governor will wait until after state fair to make any decisions. The last day of the fair is August 22. Your 2 Cents Worth: All committee members Don asked if there will be any food for the Fun and Food program. Judy stated that usually the food is donated, but there will be no food tent for the party. The clients need the shade. Rodney made a motion to adjourn. Sheri seconded the motion. The meeting was adjourned at 8:07.
