2021-07-27 - Buffalo Grove Days Committee - Minutes BG Days Committee Meeting July 27, 2021 Tara Anderson Jackie Beegun, Robert Broussard, Karen Danenberg, Shari Ginsberg, Paulette Greenberg, Dave Haisma, Howard Hoffman, Chris Krase, Gowri Magati Hal Norman, Rhonda Norman, Rodney Odelson, Les Ottenheimer, Doug Primack, Jane Primack, Debbie Rybarczyk, Judy Samuels, Mike Skibbe, Andy Stein, Paul Zucker, The meeting was called to order at 7:05. The minutes of the last meeting were discussed. Jackie made a motion to accept the minutes. Howard seconded the motion. The motion was carried. Chairman's Report: Paulette Greenberg/JV Springman JV was not present. Paulette stated that if you need a name badge, she needs it on the list tonight. Please give her how you want to the badge to read. Police: Robert Broussard/Tara Anderson Tara is working with Debbie on Buddy Baseball about parking for the game. Mobile Com: Paul Zucher Paul had no report Fun and Food: Debbie Verson Judy said that they will be meeting tomorrow to discuss some of Alan's questions The start time for Fun and Food has been moved up to 10 instead of 10:30. Tom, with the Carnival said he would start at 10. Mike stated that they may break down early if nothing is going on. Judy asked how many carts they will get for the weekend. Paulette stated that 8 carts have been ordered, with 3 of them to go for courtesy shuttles. Judy stated that Buddy Baseball would like a golf cart due to parking issues at the site. Paulette stated that the carts will not be delivered until Friday so they will not be available. Even so, the cart cannot be driven that far off the festival campus. Judy asked about Kona Ice providing treats. There is no contract yet. Sarah will check tonight to see about the contract. Fire Department: Joe Welter Joe was not present. Public Works: Dave Haisma/Mike Skibbe Dave said the they are on schedule. Mike stated that there has been some questions about the Lake Cook Road bus stop. It is north of Lake Cook Road. They looked at other parking areas in Cook County,but there were limited parking spots in parking areas close to the event. They try to keep the bus routes short. The Lake Cook Road bus stop is at the Fed Ex parking lot with plenty of parking. All routes will be express routes. The committee agreed to maintain the three stops as presented. The green lot at the Fitness Center will be for volunteers. Sponsorship: Erika Strojinc Erika could not attend but emailed her report to Jane. The Park District has secured sponsorship from Buffalo grove Bank, Nino's, Dorfler's, and Woodman's. They have an additional four sponsors lined up and are awaiting contracts, and a few more that should be secured in the next week. Food Trucks: Sarah Lee Sarah could not attend but emailed her report to Jane. Vendors are sending in applications and we will provide a list at the next meeting. I am waiting for confirmation from Mark at Kona ice regarding the food and fun event. Paulette said the Dorfer's is officially out. Beverage Sales: Erika Strojinc, Erika could not be present but emailed her report to Jane. The Park District is working on securing both the local and state liquor license for the BG Days Beverage Tent. The local license will be signed tonight by the Park Board president at the Park District's board meeting and then brought to the Village for completion, Upon receipt of the Village license, the Park District can then apply for the state license. The Park District has secured the beverage trailer from Kloss Distributers, They will be having a meeting with a Kloss rep soon to discuss past liquor sales and select the alcoholic beverage options. The;nonalcoholic beverages will be Coke products. Paulette asked if there will be wrist bands for the alcoholic beverages. Mike said they are working that out. He also said that the Park District has a contract with Coke so will be selling those products. Entertainment: Karen Danenberg/ Karen said that she has the bookings done for the 3 bands. She has secured the DJ. Cary Solinsky productions. They will play for 30 minutes before the band concert and an hour after the band finishes. There will be a video board. They will be able to take crowd shots to put up on the screen. Doug asked Karen if the DJ had contacted the video wall people about the needed connections. Karen said he had. Technical Production: Doug Primack/Adam Moodhe Doug just asked his question. Marketing/Publicity Alan Danenberg Alan could not attend but emailed his report to Jane. The web site is up-to-date and live. Alan has started to add content to the Facebook page, and will add further details as we get closer. In regards to the sponsor info from the Park District, so far, he has received one "medium" sponsor, 6 "small' sponsors. He does not know how that translates into dollar investment levels. He still needs the following details for the web site: CRD Fun Day, aka Fun & (No) Food including the link for pre-registration He is looking for confirmation that we are still limiting persons with a disability to no more than 4 immediate family members or caregiver living in the same household; that each additional person will be charged $10. Judy said that they may not have to charge $10 for the extra people since there is no food Final confirmation of Shuttle Routes On-site parking What is open to the public. Where is handicap parking. List of beverages the Park District will be selling What Food Trucks will be there. Once Sarah has the full details he can add a list of food trucks to the website. May not have to charge $10 for the extra people since there is no food Clicks and Shutters: Marian Rodriguez Paulette suggested Marian come on Saturday only since it is a slower BG Days this year. Information Booth: Marc Spunt Marc was not present. Paulette stated that the Info Booth will not open until 3 in the afternoon. The food trucks will come in then and will start serving at 4. She suggested 2 hour shifts for the booth. We will not need lots of people at the booth as in years past. Two to three people per shift are all that is needed. Carnival: Paulette Greenberg The Carnival opens at 1:00 on Saturday and Sunday. Thursday and Friday it opens at 6. The Info Booth those days at will open at 5:00. Dave said that food trucks may show up earlier. It was decided that the Info Booth shifts start at 1:00. Paulette asked the Carnival how the attendance has been this year. They say the business has been very good, with record numbers. There have been no complaints or concerns about cleanliness of the rides. There have been no spikes in cases. Village Liaison: Mike Skibbe Mike announced that he has requested Jane send out an email to all committee members to update their contact info with the Village. This is for the volunteer reception in February. Trustee Liaison: Andy Stein/Les Ottenheimer Andy is hoping nothing happens to shut anything down. Your 2 Cents Worth: All committee members Paulette stated that if you need a name badge, let her know. She asked Judy if she needs one. Paul asked Judy whoever is driving the courtesy carts, he would like naives and phone numbers to be able to contact them. In the past, Mobile Com has numbered the carts to identify them. Judy has started the chart for the sign up and will get that info to him. Karen stated that she needs help behind the stage. Paulette stated that we will also need help at the info booth, help to drive the courtesy shuttle and to direct traffic. Paulette will order shirts for anyone needing one. Tara had an idea unique for this year, a photo contest. Prizes could be from local restaurants. #BG Days photo. People are not as active this year. We could work into a sponsorship for the prizes. Paulette liked the idea and will work on it. She said that there is a lot of stuff in the cage with the BG logo on it. Those could be prizes. Tara suggested a free class from the Park District or the Park District could donate the room for a party. Mike will talk to Erika about all of this. Rodney made a motion to adjourn. Jackie seconded the motion. The meeting was adjourned at 7:37.
