The meeting was called to order at 7:03.
The minutes of the last meeting were discussed. Rodney made a motion to accept the
minutes. Rhonda seconded the motion. The motion was carried.
Chairman's Report: Paulette Greenberg/JV Springman
Paulette welcomed Gowri Magati, the newest committee member and explained what BG
Days will be this year.
Police: Robert Broussard/Tara Anderson
Paulette asked if the Special Olympic donut car could be on campus for the festival
weekend. Bobby said yes.
Mobile Com: Paul Zucker
Paul stated that he checked with fire department chief, who can't get radios, Brett said that
he can get radios. The last festival, we got 30 of them., Paulette suggested 25 radios. Brett
stated that he will get them. Paul stated that no repeater will be needed. Paul stated that
they will set up Mobile Com Thursday night or Friday morning, but he is not sure when.
He asked if we are getting a trailer for Public Works. Dave said yes.
Dave presented the layout map for the festival.
Fun and Food: Debbie Verson/Judy Samuels
Debbie emailed Jane her report.
Fun and Food will be having the carnival but they don't have a DJ. They may be looking
into that. The also may be contacting Culver's and McDonald's for donations but have not
made that decision yet.
Judy stated that they have moved the Buddy Baseball game to Wednesday September V.
Thursday is the rain date. It will begin at 6:00.
For the Monday Fun and Food program, they will have a car drive up for wrist bands.
Judy asked and Paulette confirmed that there will be no food trucks on Monday. Kona Ice
is willing to come and make a donation for the program. Food trucks are coming at 3
Friday through Sunday. The Carnival has some food. Judy said that there will be no
organized lunch this year. Without the tent, McDonalds and Culver's will not work.
Paulette mentioned that it would be hard to get the wheelchairs up onto the grass.
The handicapped shuttles are a question. We will have a limited number. Alan will put
the CDC guidelines only on the website.
Gowri offered to reach out to people in her network for food fro the program.
Sarah asked about masks. Tara and Bobby said that it is the parent's choice of using masks
and the police will not be doing any enforcement of mask wearing.
The handicapped parking lot will be by the fitness center.
Fire Department: Joe Welter
Joe was not present.
Park District: Erika Strojinc
Erika was not present
Mike stated that she is working on the beverage side for the Park District commitment.
She is working on the permit to do so including serving alcohol. Alan asked about what
beverages they will be serving. Mike will get back to him on that.
Sponsorship: Erika Strojinc
Mike stated that the Park District has raised money in sponsorship.
They have sponsorship from Dorlfer's, Nino's Pizza, and Woodman's.
Mike stated that the Village has a 50/50 agreement with the Park District. The Park
District will be taking 50% of the money raised. They will also assume half of the liability
and half of financial responsibility of the event.
Public Works: Dave Haisma/Mike Skibbe
Dave stated that he is working on the typical needs, the restrooms, buses, and power are all
set. He said that he will have a trailer for an office and the police.
The buses will run three routes. One from Twin Grove middle school, one from the Metra
station, and one from the FedEx building on Lake Cook Road. When questioned, Dave
stated that the number of parking spots near Village Hall and Public Works is limited,
especially since the golf coarse will be running an event that weekend.
The question of masks on public transportation was discussed. Per the stated, masks will
still be required on buses until September. Dave said that it is the bus company's
responsibility to police the mask issue.
Dave introduced Chris and Jeff, new Public Works employees, who have been assigned to
the BG Days festival. They will be attending the meetings, as well.
Alan asked about the bus hours. Dave will get back to Alan regarding that.
Judy questioned Dave about the transport of people with special needs. Dave stated that he
will have a floater bus that is handicapped accessible that floats around as needed. It does
not have a route. Judy asked about how to call the handicapped bus. Paul said that that is
something Mobile Com can help with.
Judy asked and Dave responded that there will be handicapped golf carts. We are only
getting 4 seaters ones as we ordered them later than usual. Paulette stated that we will
have 8 golf carts in total. There will be 4 for shuttles in general use.
Food Trucks: Sarah Lee
Sara presented the list of food truck vendors she has talked to and who has committed. No
one has paid any fees yet. She is telling them to be at the festival site at 3:00 and be ready
to sell by 4:00. They have an option for electricity that will cost extra. They have to bring
their own tents this year. There will be no tables or chairs for people to sit and eat their
food.
When asked, Sarah said that there will probably be no volunteer food tickets this year. The
food trucks will not want to honor them since they are serving for such a short time with
less of a profit available.
Paulette said that there will be no dinner Monday night. There is not enough activity to
warrant it and Monday is a Jewish holiday..
When questioned, Sarah stated that each truck vendor must get a special use permit from
the Village. The permit costs $25. That starts the process to apply to serve at the festival.
There is a charge of$150 for a spot, with an additional $100 for electricity.
Beverage Sales: Erika Strojinc
Mike will find out what they are selling for beverages and give that info to Alan.
Entertainment: Karen Danenberg/
Karen stated that we are having a modified BG Dyas this year n regards to music. Her
budget is very small. The stage is smaller this year. The bands will be fun and family
friendly, with high energy.
She expects the field to be full on Saturday night.
The Main Stage line up is as follows.
Friday Wedding Band 7:30-9:30
Saturday 7th Heaven 7:30-9:30
Sunday Gone 2 Paradise 7:30-9:30 a Jimmy Buffet tribute band
DJ each night 5:30-7:30
Karen stated that we will have a video wall this year, where we can post sponsorships and
get close up with the bands.
Karen stated that there will be no entertainment on Monday.
The Park District will have their one season show, around 3:00 on Saturday on the Main
Stage.
Technical Production: Doug Primack/Adam Moodhe
Doug said that he did not have much to say. The only entertainment will be on the Main
Stage. The sound company takes care of that. He will be helping back stage this year.
Marketing/Publicity Alan Danenberg
Alan stated that the brochure from each year in the past will not be produced this year, due
to limited funds for printed advertising. He will be advertising and sharing information
through our website and our Face Book page.
Clicks and Shutters: Marian Rodriguez
Paulette stated that Marian may be here. Paulette will call her to confirm. Paulette may
have her come only one day.
Information Booth/Ice Man: Marc Spunt
Marc was not present and emailed his "no report"to Jane.
Paulette stated that since there is nothing going on at the festival earlier in the day, we will
not be staffing the Info Booth until 3:00. There will be only 2 volunteers for 2 hour shifts.
Paulette expects lots of complaints this year.
Carnival: Paulette Greenberg
Paulette stated that the Carnival would be open as follows:
Thursday&Friday 6-1Opm
Saturday & Sunday 1-llpm
Monday 10:30-noon private event
Monday 12:30-6:30pm
Alan will put all the info pluc prices on the BG Days website.
Village Liaison: Mike Skibbe
Mike thanked the committee for moving the entire event back to Rylko park.
Trustee Liaison: Andy Stein/Les Ottenheimer
Andy was excited that everyone is here and we will do something for BG Days. Les was
happy we are giving it a shot.
Your 2 Cents Worth: All committee members
Jane stated that the Kid's Craft Tent has been taken off the agenda as she pulled the event
the day after our last meeting. She said that the target audience for the Kid's Craft Tent is
4-12 years old, the group of kids who are not eligible for the vaccines yet. Since there is
no mask mandate, she was thinking that a large number of the kids would show up without
masks as it is an outdoor event. Even so, the kids pack in closely at the tent, with each
other and with the kids running each craft table. She did not want to put her volunteers in
harms way, or the kids attending the event in harms way. She did not want the Kid's Craft
Tent of BG Days to become a super spreader event. She will be back full force next year.
Rodney made a motion to adjourn. Jackie seconded the motion.
