The meeting was called to order at 7:00. The minutes of the last meeting were discussed. Jackie made a motion to accept the minutes. Ed seconded the motion. The motion was carried. Chairman's Report: Paulette Greenberg/Eric Gordon Jane discussed the Groupme text group she created. The first text was sent out that day with people needing to respond to be included. Paul had concerns about the group text which would not be monitored by Mobile Com. Jane stated that this was not a social group by an emergency contact group for the entire committee. She will be the only person to send out any text and that will be under the specific instruction of Paulette or Eric only. It was directed that if a committee member finds a lost child or parent, that member must find a police officer or a committee member with a radio, inform the Police and Mobile Com of that fact If Paulette or Eric feel that the committee needs to be informed, they will contact Jane who will send out the text. Police: Michelle Kondrat/Robert Broussard Michelle has everything ready for the weekend Parade: Rodney Odelson/Lee Orlov/Ken Lazar Rodney stated that Lee Orlov, who has helped with the parade for years, is having a rough year medically. Presently,he has shingles. He is hoping for the best this weekend for the committee. Rodney stated that he has 77 entrants in the parade. Rodney stated that he got a call from a Vietnam vet who wanted to be in the parade. Rodney got him in. A barber shop got in at the last minute. Rodney stated that he has taken in $1425 for the Village from the businesses who paid to be in the parade. Rodney stated that he need help this Friday at 5:30 at Bernard and Regent, which is one block east of Arlington Heights Road. He needs help to hand out fliers to the homes on the streets for the staging for the parade. Sunday, at 7:30, he needs people with rubber mallets to place signs in the ground at the staging area at Regent and Bernard. Sunday at 9 AM at the same location he needs the parade marshals to meet to help during the parade. Andy stated that the Trustees will not be using golf carts for the parade. He stated that they will be prepping on festival grounds. He was requesting transportation for the trustees to get to the parade from the festival. Mike stated he would take care of that. Mobile Com: Paul Zucher Paul gave his yearly talk about radio usage. Transmit only when necessary and keep it short and sweet. If you are calling with an emergency, start out by stating so. Start by stating the name of the person you are calling first and follow with stating your name. Wait for a response from the person you are calling before communicating. Keep transmissions short. Blue glow sticks will be issued to anyone with a radio at night. If you find a lost child, find someone with a radio and request the Police to come to your location. Do not allow any parent to come and take the child without the police present. If you find lost parents, take them to the info booth or Mobile Com. That is where the child will be taken when found. . JV reinforced that we should always involve the police when returning a child to the parents. Police should always return the child to the parent. For a medical emergency, Paul stated that they will prompt the caller for needed pertinent info. Fun and Food: Rick Kahen/Debbie Verson Debbie stated that she still has spots for the courtesy carts. She said that this year, they are trying to assign specific areas for each cart to drive Cart A, the long cart will drive in the front area Cart B will go back and forth from the skate park. Cart C a short cart will be picking up the extras. Fire Department: Joe Welter Joe not present Park District: Ryan Risinger Ryan was not present. Public Works: Dave Haisma/Mike Reynolds Dave stated that all is set. If you requested a sign, it will be behind the mini office trailer behind the info booth. Dave needs to talk to Brad and Marc at the end of the meeting. Dave said the tents arrive tomorrow. Sponsorship: Mike Reynolds Mike said that they are doing well this year. They have raised $52,270, $37,770 in cash, and the rest is in kind donations worth $14,500. Food Tent: Sarah Lee/JV Springman Sarah stated that she is good to go. There have been minor changes in some menus She has someone who will make donuts to order and they have added coffee. The coffee truck is not coming this year. Sarah said that she may need volunteers for Monday morning from 8 to 11. She may be getting an in kind donation for the Car Show Monday. She may need help to sell the coffee early at the Car Show. She also has My Sister's Tomato Pizza truck on the field Monday. When asked, Sarah will check specifically for restaurants offering vegan choices. She will leave a list at the info booth of what restaurants can do vegan items. Paulette stated that each committee member will receive 3 food tickets each day Saturday and Sunday. This does not include the not for profits. You will have to pay cash for corn and soda Not For Profit: Mike Reynolds Mike said that all is set and ready to go. He still has a couple of spots from 10-12 at night. These are the last shifts. Beer Tent: Brad Schencker Brad stated that the required training to serve beer in the Beer Tent has been completed. Brad reminded everyone that tomorrow is the soft ball game, the Rick Drasner Memorial soft ball game. It will begin around 6. Dinner will be at Lou's afterwards. It will be played across the street from Village Hall. Business Fair: Brad Schencker Brad stated that they have 22 businesses in the Business Fair. This is up on average from year to year. They have some new businesses this year. Paulette state that if committee members wish to serve or drink beer, they have to change out of their committee shirts. Set Up/Take Down: Marc Spunt Marc asked how many people are coming Thursday night to set up. With a show of hands, Marc said he will have enough help. Marc said to come to the Bingo Tent between 9 and 9:30 and bring work gloves as some of the tables can have slivers. Arts Fair: Jackie Beegun/Sharon Borstein Sharon stated that they are ready to go. She asked that committee members stop by and support the Art Fair and maybe even buy something. Not for Profit Booth Management: Arti Sinha Paulette stated that she has 18 booths Sunday and Monday. She has one that is hovering. She explained to committee member that we are recycling the Arts booths for use Sunday and Monday morning. Kids Craft Tent: Jane Primack/Carol Irvin Jane stated that she went to Floor and Decor for tiles for the Kid's Craft Tent. She spoke to the manager who walked the floor of the store until he found the size tile she was asking for. He donated 2 full boxes, full price to the event. In return he only wants pictures of the event. Jane also said that for the first time, she is good with volunteers. They are good to go. Grilling Challenge: Ed Bjes Ed said that he is all set. He has his team meeting tonight. He has 12-13 teams with 50 entries. Ed said that if you want to judge email him tonight. Ed said that the awards will be given out at 5:30. Ed said that anyone is welcome to come out and help break down at the end for the event. Karen stated that she has a big band playing on Saturday. She said that the grillers cannot hang out late to party. Ed stated that he plans on having everyone out by 6:30. If they want to stay, they have to move their cars and their tents have to be down. They need to be packed up. Entertainment: Karen Danenberg/Marlene Kozak Karen stated that she is ready and she has a great weekend lined up Karen gave thanks to the Police Department and to Dave for all of their work. The stage comes in Friday and the sound equipment will be delivered the same day. The first beer tent band Friday starts at 6:15. Saturday night A Night with Queen will perform. Back stage, she will have a wrist band of different color each night. The bands come with an entourage of people. The wrist bands will limit the issues of people trying to get behind stage. Karen stated that committee members are allowed behind the Main Stage. The merchandise table is up front to the right of the stage looping at the stage. Karen said that Queen will not have any merchandise. They will not have a meet and greet. Technical Production: Doug Primack/Adam Moodhe Doug asked Dave if there was going to be a generator for the Grilling Challenge. Doug needs the contact person who is videotaping the parade. Bob Boxer needs to coordinate with them. Rodney stated that is is the same as last year, Comcast. Doug said that he will need a couple of people Saturday around 3 to load in He will also need more people at 8:30 to get the drum set for the Gingers off the stage quickly to get Queen up and running. Doug said that everything will be in place Friday. Marketing/Publicity: Alan Danenberg Alan D stated that the brochure went out with the village newsletter to arrive in the residents mailboxes this week. Alan stated that he continues to update the website with changes in menus, in kind donors and not for profits and Business Fair sponsors. Alan said that he has a report about online wrist band sales which are lower than last year. He thinks people are waiting to see what the weather will be like. Alan said that he and Paulette were interviewed the Daily Herald which will be in Friday's online edition Clicks and Shutters: Marian Rodriguez/Randy Kittell Marian said they got cameras, they took the picture. They are all set. Car Show: Cody and Diane Bartlett Diane stated that she picked up her stuff yesterday. She needs volunteers Monday starting at 7:00 to help check in entrants. From 11 to 2 she will need help at the registration booth. Information Booth/Ice Man: Marc Spunt Marc stated that the information booth will be next to the Police and Fire, the same as last year. Marc said that if you have nothing to do, come to the information booth. You will be assigned to places as the need arises. Marc reminded everyone who helps at the information booth, to be kind and respectful to anyone seeking information. Carnival: Paulette Greenberg Paulette stated that they are already here and setting up Dave asked and Paulette confirmed that the testing of the rides and games will be on Thursday morning. Paulette said the walk around is scheduled for around 11 to 12. Village Liaison: Mike Reynolds Mike had no report. Trustee Liaison: Andy Stein/Eric Smith Andy said that he is looking forward to another weekend of great entertainment Eric stated that he wanted to thank everyone on the committee for all the hard work Eric stated that he will put in for a raise for everyone. Your 2 Cents Worth: All committee members Paulette stated that she has the parking passes. Take down on Monday around 3:30. We will have help from the boy scouts. Paulette stated that she has ordered extra chairs and tables this year. We will have a total of 1100 chairs. We will have a lot more chairs to find. Paulette stated that we will have good weather. Eric reminded everyone that all we do is all about Monday. It is about the kids and letting them have a great time. Wear tie dyed shirts on Monday. Rodney made a motion to adjourn.
