Rhonda Norman, Alan Nudelman, Beth Nudelman, Rodney Odelson, Doug Primack, Jane Primack, Mike Reynolds, Marian Rodriguez, Eric Smith, Marc Spunt, Andy Stein, Debbie Verson Nancy Winter, Paul Zucker, The meeting was called to order at 7:05. The minutes of the last meeting were discussed. Rhonda made a motion to accept the minutes. Nancy seconded the motion. The motion was carried. Chairman's Report: Paulette Greenberg/Eric Gordon Paulette stated that we have two months to go before the festival. Paulette said that if you need a name badge, fil out the form she is passing around. Also sign up for t-shirts on a separate form. They are polo shirts in men's sizes. You can get 2 shirts plus one Fun and Food shirt. The Fun and Food tie dyed shirts run small Eric had no report Police: Michelle Kondrat/Robert Broussard Bobby had no report. Parade: Rodney Odelson/Lee Orlov/Ken Lazar Rodney stated that he had 41 entrants in the parade including 5 commercial vehicles. Rodney said that he is still looking for help Friday night, Sunday morning and as parade marshals during the parade. Mobile Com: Paul Zucher. Paul stated that besides the usual radios, he asked if anyone else needed radios. He asked if the Public Works people would need radios. If you need one, see him. Paul also asked what changes were being made in the layout. He was told that the layout was only being "tweaked"... He said that he needs it when it is available. He was told it is almost the same as last year. Alan said that Comcast is coming to provide WiFi for all festival goers this year. They can provide WiFi for Mobile Com also. Paul said that they would use their own WiFi. When Paul asked, it was confinned that the times for the festival are the same as last year. Fun and Food: Rick Kohen/Debbie Version Debbie said that last year the response forms for the Fund and Food program were sent to an email that Rick had to sign into with multiple steps. He is asking if they can simply send the response forms to his Village email for easier access. Mike said that would not be a problem. Debbie said that they have their meeting tomorrow night. Lexi worked on the form, but only had to change the date. It will probably be good to go... Alan made it into a google doc last year and a link to connect to the form. He can do that again this year. Debbie will get it to Alan. Fire Department: Joe Welter Joe was not present. Park District: Ryan Risinger Ryan was not present. Public Works: Dave Haisma/Mike Reynolds Mike had no report. Sponsorship: Mike Reynolds Mike reported that Matt has 14 committed and/or paid sponsors. Food Tent: Sarah Lee/JV Springman Sarah could not attend but emailed her report to Jane. Sarah continues to field inquiries about the food tent and she has additional vendors with verbal commitments. Once she has the signed letter of intent, she will share the names. She has 6 signed letters of intent as of this morning. Sarah asked that if you know of a Middle Eastern, Asian, Polish or other restaurant, let her know and she will reach out. She has enough pizza, Mexican and all American foods as of now. She is looking to add some more variety. She has several food trucks waiting for letters to come back. Not For Profit: Mike Reynolds Mike stated that he has 7 groups signed up with applications for the beverage/corn booths. Last year he had 13 groups... Mike stated that there will be no field tent this year. Beverage and corn booths will be in the Food Tent. Discussion occurred about how unusual last year was and Andy said that there is a need for beverages in the field. When he manned that tent as a Boy Scout leader, their sales were great. Mike will talk about alternates with the group. Mike will consider a pop up tent on the field, if needed. Beverages will be on both side of the Food Tent. . Beer Tent: Brad Schenker Brad was not present Business Fair: Brad Schenker Brad was not present. Set Up/Take Down: Marc Spunt Marc had no report Arts Fair: Jackie Beegun/Sharon Borstein Sharon stated that the applications went out last week. She has heard from 2 artists who responded. She will be sending out her second tier of applications next week. She will begin to build the jury. Kids Craft Tent: Jane Primack/Carol Irvin Jane said that she continues to need cans and tiles. Jane asked Mike about the discussion last meeting about the tiles. Mike may have a source. It was also suggested that she contact various tile shops. Most stores throw away returns and may be willing to donate them. Paulette stated she will come up with a thank you letter for the donation. Grilling Challenge: Ed Bjes Ed was not present. Paulette stated that the aprons have been ordered. Paulette did not know the sponsors yet. Entertainment: Karen Danenberg/Marlene Kozak Karen had no report. Everything is good. Technical Production: Doug Primack/Adam Moodhe Doug stated will need a riser moved from the Bingo Tent to the Kid's Entertainment. When asked by Rodney, Doug said that Bob said he will help out with the sound for the parade. Marketing/Publicity: Alan Danenberg Alan stated that the website is up and running. The brochure is in process. He still needs information from a number of sub committees. *He needs the Carnival pricing. Paulette said she has it. * He asked about the shuttle bus routes and stops. Mike confirmed that there are no changes. *Alan asked if there are any changes in the parking lots. There are no changes. *Alan was told that they are tweaking the grounds layout. He said that if affects the brochure,he needs it soon. Paulette stated that the Arts and Crafts will be changed to the Art Fair. *A discussion ensued about naming of the parking lot used by volunteers. A possibility was Festival Staff parking. *Alan stated that he needs the Art Fair info. *He also needs info from the Fun and Food program. *Alan asked about a parade sponsor. Rodney stated that he had Buffalo Restaurant. Mike stated that Woodman's may be the sponsor for the parade. This is to be decided. *Alan needs the Car Show info. *He also needs the food vendors as Sarah gets them signed up. *Ne needs the Business Fair vendors from Brad. When asked, Mike confirmed that Matt is looking for a Car Show sponsor. Clicks and Shutters: Marian Rodriguez/Randy Kittell Marian had no report. Car Show: Cody and Diane Bartlett Diane has the flyer completed and will get it to Alan, Crown Trophies is working on the new plates for the trophies. She is looking for new take aways for this year, maybe a keychain bottle opener. Information Booth/Ice Man: Marc Spunt Marc wants to find out if beans will be used for the markers in bingo. Last year they used . markers and the cleanup was easier. If they use beans, it takes a lot longer. Alan wanted it on the record that the Rotary helps with the conversion/clean up as they did last year. . Carnival: Paulette Greenberg Paulette stated that the Carnival wanted to do an express pass to make more money... The committee decided not to do it. You will only pay one price Thursday and Monday for$27. Saturday they will also sell the wrist band for the same price but is good only 1 to 6 PM. Ticket prices are increasing for the first time in 10 years. A single ticket will cost $1.50, 20 tickets will cost $25, and a 50 ticket sheet will cost $60. The Mega Pass this year will be $65 and will be good for the entire weekend. The Carnival suggests that we stop sales on Saturday night for the Mega wrist band. . Village Liaison: Mike Reynolds Mike had no report. Trustee Liaison: Andy Stein/Eric Smith Andy had no report. Eric S had no report... Your 2 Cents Worth: All committee members Paulette stated that she has a new subcommittee and needs a new sub chair. The booths from the Art Fair will be empty on Sunday and Monday. These booths will be given to not for profit organizations. Paulette needs someone to run an information booth to organize, complete the paperwork, answer any questions and run the booths for those 2 days from noon to dusk Sunday and 10 to 2:30 on Monday Arti volunteered. Debbie asked about the tables being cleaned by the cleaning crew so they are ready on Monday for the Fun and Food. Paulette stated that the cleaning crew comes in at night to do all the cleaning. Alan N asked about the date for the golf cart training, Paulette will look into it. Rodney made a motion to adjourn. Jackie seconded the motion. The meeting was adjourned at 7:42.
