2019-06-11 - Buffalo Grove Days Committee - Minutes BG Days Committee Meeting June 111 201 Robert Broussard, Alan Danenberg Karen Danenberg, Shari Ginsberg, Eric Gordon, Paulette Greenberg, Ken Lazar, Sara Lee, Noopur Mehrotra. Rhonda Norman, Alan Nudelman, Doug Primack, Jane Primack, Mike Reynolds, Brad Schencker, Vikas Shah, Arti Sinha, Eric Smith, Debbie Verson. Nancy Winter, The meeting was called to order at 7:03. The minutes of the last meeting were discussed. Alan made a motion to accept the minutes. Karen seconded the motion. The motion was carried. Chairman's Report: Paulette Greenberg/Eric Gordon Paulette introduced Bobby Broussard, the new Police liaison. Police: Michelle Kondrat/Robert Broussard Bobby-stated that he was glad to be on the committee. He also stated that Michelle is finishing her master's and will not be abe to attend meetings for 6 more weeks. Parade: Rodney Odelson/Lee Orlov/Ken Lazar Rodney was not present but emailed his report to Paulette and Jane. Rodney stated that they currently have 32 signed up for the parade with 4 commercial entries . They have no politicians as of Monday Rodney stated that he still needs help on the Friday night 2 days before the parade to distribute fliers to the people that live on the 2 steets that is the staging area. This will only take maybe 45 minutes to complete. Rodney said that on Sunday morning at 7:30, they need people to help put the numbered paper plates in the ground for the staging area. and they still need Parade Marshals. Please let Rodney know if you can help out in any of these areas. Mobile Com: Paul Zucher Paul could not attend and had no report. Fun and Food: Rick Kahen/Debbie Verson Jane introduced Debbie Verstan who runs the Monday program. Since Rick is still recovering, she will be the go to person for the Fun and Food program. Debbie sated that she is starting to reach out to the vendors. They plan on reducing the number of sandwiches as they have had so many left over in the past. They will not have a vegetarian offering this year. They needed so few, they will use pasta which they hope to get from Continental again this year. She will also be doing an inventory of the cage for paper products. Fire Department: Joe Welter Joe was not present. Park District: Ryan Risinger Ryan was not present_ Public Works: Dave Haisma/Mike Reynolds Mike had no report Mike stated that the next meeting will be at the Public Works building across the street in the training room downstairs, due to a conflict in scheduling for the room_ Sponsorship: Mike Reynolds Miike stated that Matt has two commitments so far. One is from the Park District with an in kind sponsorship. Four people have committed and he is waiting for checks. Mike asked to let him know if you have any leads for sponsorship. Paulette asked about Woodman's. Mike s said that they are expecting a doanation which includes the beverages and corn. Food Tent: Sarah Lee/JV Springman Sarah stated that she has 5 restaurants with signed letters of intent. She has 4 verbal agreements with sign ups yet to be recieved. She has a couple of restaurants trying to figure of staffing, Sarah said that there will be food trucks for Monday for the Car Show. Sarah stated that there will be a coffee truck selling at the Car Show starting at 7:30 AM. Not For Profit: Mike Reynolds Mike stated that he is going to run it the same as he did last year with some tweeks, including allowing groups to sign up 4 people at a time and to designate a leader for the shift. Beer Tent: Brad Schencker Brad announced that Roger will be leaving his position at the Chamber on Tuesday, June 17th. Moving foarward Brad will represent the Chamber, including dealing with any.Beer Tent or Busness Fair related questions. Eric G stated that he has has someone interested in sponroring the wrist bands for the Beer Tent. Paulette asked about what beers they are bringing in. Brad stated that they will have a name brand beer and some craft beers. Business Fair: Brad Schencker Brad said that there are about 7 booths signed up. . He is getting the normal interest but no checks yet. Set Up/Take Down: Marc Spunt Marc could not attend and had no report. Arts Fair: Jackie Beegun/Sharon Borstein Paeltte introduced Sharon from the Artist League who will be running the Art Fair this year. Sharon stated that it will be a juried Art Fair. She has about 32 people interested. She will use Facebook to get the word out. She still needs to work on the application and get it to the Village for approval. Sharon stated that she needs to talk with Alan D after the meeting Kids Craft Tent: Jane Primack/Carol Irvin Jane talked to Kara O'Malley at St. Mary's School. She is in charge of admissions and marketing. She told Jane that St. Mary's wants to be a bigger presence at the festival. She agreed to provide 61h through 81h grade volunteers for the Kid's Craft Tent. With previous years volunteers, Jane should be set for her event. If anyone hears of a kid needing volunteer hours,please give the name to Jane or give them Jane's contact info. Jane is still looking for 14-20 ounce clean cans andwall tiles 4x4 or larger. Grilling Challenge: Ed Bjes Ed was not present but emailed his report to Jane. Ed reported that all is going good on his end. He will start emailing the teams soon. He will also get the Flier/Form out to Alan. If he gets sponsors he will update with Alan. He is trying to find some cool awards.He thinks he may have found them, but will show them to Eric at the next meeting. Entertainment: Karen Danenberg/Marlene Kozak Karen stated that she is waiting on a few more contreacts to come back but basically, she is done.. Technical Production: Doug Primack/Adam Moodhe Doug stated that Adam was not able to make the meeting. . Doug said that the Saturday group has additional sound requirments that they will work on. They will also require a back line. Doug said that Adam is getting quotes from four different vendors and will present them to Village Hall when he gets them. Marketing/Publicity: Alan Danenberg Alan D said that he has the website up and running with all the 2019 info that he has so far,. He is still missing some events, including the following. *Art Fair: He needs the application, all the parameters, dates, time etc. As of now,he has nothing, *Carnival: He needs the prices, the use of wrist bands for this year. *Buses: From Village Hall, Alan D needs any changes on parking, the bus routes and any changes to the layout of the entric grounds, as that affects the diagram that we publish online and in the brochure. Updating that diagram needs to be done soon!. *Car Show: He needs times, what the cut off dates for the cars to enter. *Public Works: Alan needs any changes of the layout on the ground for the map. Alan stated that Vicarious Productions are to work on the brocure to give it a fresh look and feel with the same structure this year. Debbie asked about the Fun and Food program. Alan confirmed that Rick has sent as much information as Alan will needed for the Fun and Food Program Alan askied if there was any defined STRUCTURE to the sponsorships, something that defines price points and the benefits for those levels (like a Silver, Gold, Platinum approach). Mike Reynolds responded that no such structure exists, that a prospective sponsor could simply contact Matt and he would work something out for them. I responded that potential sponsors may be more likely to make that contact if they had something to start with. Clicks and Shutters: Marian Rodriguez/Randy Kittell Marian and Randy were not present. Car Show: Cody and Diane Bartlett Diane was unable to attend. She has no report at this time but will contact Paulette before the next meeting. Information Booth/Ice Man: Marc Spunt Marc could not attend and had no report. Carnival: Paulette Greenberg Paulette will contact the carnival about prices and wrist bands. We decided in a past meeting that we don't want the express lane pass. Our venue is too small. Village Liaison: Mike Reynolds Mike had no further report. Trustee Liaison: Andy Stein/Eric Smith Andy could not be present and had no report. Eric introduced himself as the new Truestee Liaison for the committee and said he was happy to be here. Your 2 Cents Worth: All committee members Dabbie asked if drivers for the golf carts still needed certifications to drive them. Paulette said yes and she would contact the mamager of the golf course about giving that class. Paulette stated that at the next meeing, she will take orders for t-shirts, for anyone new on the committee or anyone needed replacements.She will also take orders for name tags. Alan D made a motion to adjourn. Nancy seconded the motion. The meeting was adjourned at 7:45.
