The meeting was called to order at 7:07.
Last month's minites were discussed. Rodney made a motion to accept the minutes. Alan
D seconded the motion. The motion was carried.
Chairman's Report: JV Springman/Paulette Greenberg
Palette welcomed everyone.
Eric talked about the rain issue that Alan N had brought up in a previous meeting. Alan N
created a 4 page rain contingiency plan that he sent to Paulette and Eric. Eric stated that
basically, all of Alan N's proposals were too costly. The only viable idea that Eric and
paulette rhought would work was for the committee to purchase ponchos for people
coming to the festival in the rain or if rain begins.
Brad stated that he felt there would be very limited circumstance, ie light rain, that they
would be used. If the rain was heavy, most people wit stay away from the festival. If there
is lightening, the festival would be closed down.
Cody suggested we could purchase them and we could keep for future years. Eric has
someone who is willing to sponsor the ponchos. It is yet to be determined if the ponchos
will be given out to festival goers or be purchased for a minimal fee.
Police: Michelle Kondrat/Robert Broussard
Bobby was not present.
Michelle was not present
Parade: Rodney Odelson/Lee Orlov/Ken Lazar
Rodney stated that he has 25 participants in the parade including 2 Trustees and no other
politicians.
Rodney stated that he will need volunteers help Friday night and Sunday before the parade.
He will also need parade marshals.
Mobile Com: Paul Zucher
Paul was not present but emailed his "no report"to Jane.
Fun and Food: Rick Kahen
Rick was not present Per Paulette he is still ill and will be back in June.
Fire Department: Joe Welter
Joe was not present.
Park District/Sponsorship: Ryan Risinger
Paulette stated that she found out today that the Park District will not be runing the
sponsorship. The Village and the Park District were unable to come to terms this year. It
has been tabled until next year. Meanwhile,.Mike will be talking with Matt to handle the
sponsorship again, this year and he will be reporting directly to Mike.who will give the
reports to the committee.
Public Works: Dave Haisma/Mike Reynolds
Mike had no report. Dave is ordering the golf carts with headlights this year.
Food Tent: Sarah Lee
Sarah stated that she has sent out 35 letters to various restaurants. She has 3 verbal
commitmentsso far.
Not For Profits: Mike Reynolds
Mike has no report for the Not-For-Profits. He will be organizing it the same as last year.
Beer Tent: Chamber
Brad stated that they are talking to providers about types of beer and prices. When asked
by Paulette, they will have a brand name beer along with craft beers.
Brad added that this year, they will be selling beer tickets on line with a Will Call pick up
at the festival. Driver's licence information will be needed to purchase them to double
check age requirements.
Business Fair: Roger Sosa
Roger stated that he has 7 actual checks for Business Fair booths and about 6 others who
have verbally committed. Brad stated that last year they had to turn people away.. The
culvert area from last year will not be used. They will lose 7 spots as a result. Brad stated
that the Chamber needs to know who will lose those spots,
Set Up/Take Down: Marc Sprunt
Marc had no report.
Arts and Crafts: Jackie Beegun/Sarah Lee
Paulette stated that this year there will be no Arts and Craft Fair. In it's place will be a
juried Art Fair. Sharon Borstein from the disbanded Art Commision will be in charge of
the Art Fair. Jackie will be the liason for the Art Fair. They are looking for 30 art vendors.
Discussion occurred about the set up for the Arts Fair/Business Fair space There will be 4
in each pod group with each pod of the same grouping, either Art participants and Business
Fair participants. The Business Fair will be more on the outside of the area.
Kids Craft Tent: Jane Primack/Carol Irvin
Jane stated that she has the check from her sponsor and gave it to Mike.
Jane continues to collect 14-20 ounce clean cans with labels removed. She is also looking
for smooth, light colored tiles, minimum of 4x4 in size.
Grilling Challenge: Ed Bjes
Ed was not present but emailed his `no report" to Jane.
Entertainment: Karen Danenberg/Marlene Kozak
Karenstated that basically all the entertainment is booked, down to a couple of last
contracts needing to be signed. This includes the Main Stage and the Beer Tent,
The line up per Karen:
On Friday Hutch is to open and Boy Band Night will be the headliner.
On Saturday the Gingers are back for the opening act. The Saturday headliner is to be
determined by August 1"
On Sunday Tainted Jack is to open, and Trippin Billies, a Dave Matthews tribute band, will
headline.
Karen reviewed the line up of entertainment for the Beer Tent and the walk arounds. She
stated that Lucy will not be with us this year.
Karen stated that she wants a sponsor for the boncy house. Since her funds were cut this
year, she needs a sponsor to pay$800 for the 2 days, 3 hours each day Saturday and
Sunday.
Karen also stated that the Four Points Hotel is donating the rooms for two nights for the
Saturday night healdiner band,. The total cost of the Four Points Hotel donation is.$1200.
She wants them listed as a Main Stage sponsor with signage.
Technical Production: Doug Primack/Adam Moodhe
Doug stated that he has no report,but they will have sound. Paulette stated that there will
be no rain this year.. Adam texted his no report to Doug from Las Vegas.
Marketing/Publicity: Alan Danenberg/Stan Zoller
Alan stated that he is ready to start setting up the website. He has heard from only one sub
chair person about any changes in their events
Clicks and Shutters: Marian Rodriguez/Randy Kittell
Marian emailed Jane that she and Randy would not be present. They have tickets to see
Hamilton. They have no report except that they are very excited about participating and
capturing the fun evenyone is having.
Car Show: Cody and Diane Bartlett
Diane states that she hopes to get the flyer done by the end of the week.
Paulette stated that the trophies are down in the cage, Diane stated that all they need new
templates on them,-which are easy and quick to replace.
Information Booth/Ice Man: Marc Spunt
Marc had no report.
Carnival: Paulette Greenberg
Paulette has nothing new at this point from the Carnival.
Village Liaison: Mike Reynolds
Mike is missing confilict of interest statements on a number of people.. Jane asked for a list
and will take care of it for him.
Trustee Liaison: Andy Stein/Joanne Johnson
Joanne announced it will be her last meeting as a liaison. Eric Smith will be her
replacement. She stated that she was on the committee for 5 years before becoming
trustee. She asks that you call if you need help. Andy announced he will be staying on as
Liaison..
Your 2 Cents Worth: All committee members
Eric stated that Paulette has been nominiated by Bev for the Volunteer Recognition Award
for the Village of Buffalo Grove. Congratulations to Paulette for her honor.
Paulette stated that there will be 2 meetings in June and 2 meetings in July. In August
there will be 3 meetings. One meeting in August will be cancelled due to the Vendor
meeting. That date is yet to be determined.
Marc made a motion to adjourn. Rodney seconded the motion.
