The meeting was called to order at 7:07
Chairman's Report: JV Springman/Paulette Greenberg
JV asked if there were any corrections in the minutes. There were none. Jackie made a
motion to accept the minutes. Marc seconded it. JV asked for a vote on accepting the
minutes and the vote was unanimous. The minutes were accepted.
JV stated that there would be two meeting next month.
Paulette had individual reports for sub-committee members who were not present.
Paulette had no further report.
Police: Vince Positano/Michelle Kondrat
Michelle had no report.
Parade: Rodney Odelson/Murray Sprung/Lee Orlov
Rodney was not present and emailed his report to Paulette.
He currently has 38 entries in the parade. This includes only one politician and two
commercial vehicles. He is sure there will be more as this is an election year.
Mobile Com: Paul Zucher
Paul emailed his "no report"to Jane.
Fun and Food: Rick Kahen
Rick stated he had no report
Fire Department: Joe Welter
Joe emailed his "no report" to Jane.
Park District: Ryan Risinger
Ryan could not be present but emailed his "no report"to Jane.
Public Works: Dave Haisma/Mike Reynolds
Mike was on vacation
Sponsorship: Matt Settler
Matt stated sponsors continue to turn in pledged money.
He sent out 2 more sponsor forms and hopes to hear back from them soon.
Food Tent: Matt Settler
Matt talked to Mike's Catering about providing donuts at the Car Show Monday. He needs
to check with Public Works about the layout for the Car Show.
Matt stated that he is not in charge of the not for profits but there has been no response
from the Village regarding questions about the beverages.
When asked by JV, Matt stated that the Village has asked Woodman's to donate beverages
and corn plus a major donation check as a major sponsor. Matt stated that they have not
said yes but they seem excited about the whole idea/package. The no-for-profits will only
be able to sell the beverages and corn. They can sign up for shifts and will share equal
profits with those who signed up to volunteer at the booths.
Beer Tent: Chamber
Roger stated that Prairie Craft will not be serving this year.
Miller Beer products will be sold along with Half Day Brewery with Kloss distributors.
Set Up/Take Down: Eric Gordon
Eric was not present
Arts and Crafts: Jackie Beegun/Sarah Lee
Jackie stated that people are still rolling in and hopefully new ones will come in.
Kids Craft Tent: Jane Primack/Carol Irvin
Jane had no report.
Grilling Challenge: Eric Gordon/Ed Bjes
Ed was not able to make it to the meeting tonight but emailed his report to Jane.
Ed stated that Matt has been helpful getting donations for prizes for the event. Ed will
finalize orders for the aprons and trophies this week. He will send Alan the final form for
signing up for the contest ASAP. If anyone has any questions, he requests members to
contact him.
Entertainment: Karen Danenberg/Marlene Kozak
Karen was not present.
Doug stated that Village is still waiting for 1 contract to come through before they order the
back lines.
Technical Production: Doug Primack/Adam Moodhe
Doug stated that they will have sound.
Doug stated that he has the proposals for back lines. They will go with the lower cost
company. The Village is holding off on ordering the back line until a contract is finalized.
Marketing/Publicity Alan Danenberg
Alan was not present but emailed his report to Jane.
Alan stated at as a result of the loss of his assistant he was expecting for this year, the
brochure layout will be handled by Vicarious Productions, the village's communications
contractor. He will still handle the web site and advertising, and social media(with help
from Marc Spunt on the social media side).
Alan stated that he has been working to generate the content for the website for a July 1
start, as well as gathering information to turn over to the Village for the brochure. He is
still missing the following information:
Sponsors - Besides the full list of sponsors needed for the brochure and web, he needs to
know who (if anyone) is sponsoring the parade, the BBQ Challenge, and the Car Show.
In the past,he has included those sponsors for those events in the schedule itself.
Duck Race- Last year they described the location as next to the Craft Fair. Alan asked
where it is this year? JV stated that that has been decided with an email sent out today.
The Duck Race will be near the Kids Craft Tent. There is a natural drain in the area to
drain the "pond".
Map—Alan stated that he needs to have the Public Works drawings given to Vicarious
(the Village's communications contractor) for them to update the public map. The map is
needed both for the brochure and the web site. The locations of specific things need to be
updated, and he had asked previously about the parking designations: He asked if the lots
are still designated by colors? Michelle said they will be marked and designated in
specific terms.
Alan suggested that "permit parking" be changed to "Staff/Entertainment Parking". This
will reduce the complaints about "how do the common folks get permits". Jane will
email Michelle the info about this.
Shuttle stops -Public Works provided the bus route info, but Matt indicated a desire to
name the shuttle routes/stops after specific sponsors. If so, that needs to be part of the
brochure.
The Village (Jen Maltas) has set a July 2 deadline for the brochure, so he needs these last
items by Monday!
Marc asked if there will be a bus stop in Cook County. Paulette stated yes,but it has yet to
be decided.
Clicks and Shutters: Hal Norman/Jim Pawlak-
Hal and Jim were not present.
Car Show: Cody and Diane Bartlett
Diane stated that she is working on the flier. . They are thinking of making changes in the
layout for this year.
They are looking for donations for door prizes and also looking for sponsors. Contact her
if you have either.
Information Booth/Ice Man: Marc Spunt
Marc had no report.
Carnival:
Paulette stated that tickets will available on line but the carnival is not live with that info
yet. Wrist bands will be $25 wrist bands, on line will be cheaper. These will be on
Thursday 6-10, Saturday 1-6 and Monday all hours.
Paulette stated that the Carnival raised the Arlington Heights prices to $30,but they left us
the same.
Village Liaison: Mike Reynolds
Mike was not present. He was on vacation.
Trustee Liaison: Andy Stein/Joanne Johnson
Andy had no report.
Joanne had no report.
Your 2 Cents Worth: All committee members
Roger has a Chamber member who wants to be involved in the Monday Fun and Food
program. Roger will to talk to Rick later.
Rodney made a motion to adjourn. Marc seconded the motion.
The meeting was adjourned at 7:28.
