Committee group picture was taken prior to the start of the meeting.
The meeting was called to order at 6:55
Chairman's Report: JV Springman/Paulette Greenberg
JV stated that today is the 22 of August. We have a week to go before the festival.
Paulette stated that Public Works was checking the map of the grounds and for the green
lot, they will push the snow fence in to give a grass pathway for people to walk and the
handicapped carts to get in.
Police: Vince Positano/Michelle Kondrat
Vince stated that they are all set. If anyone needs a last minute permit, see him.
Vince stated that in regards to safety, the committee members are the eyes and ears for the
police. Because of the new compact festival grounds, fewer officers will be on the festival
grounds. If something does not look right, tell Mobile Com.
Paulette stated that all parking permits will be issued next week.
Public Safety will be located next to the info booth. It will be a shared spaced between
Police, Fire and CERT. There will also be a Police and Fire trailer near the splash and play
park.
There was a question about enforcement of parking on the side streets. Vince stated that
they will keep a better eye on the streets. There will be parking on one side only. Arla
mentioned she had a friend who lived in the Green Knolls subdivision who could not get
out of her driveway last year. Vince said if that happens, she can call police.
Parade: Rodney Odelson//Lee Orlov/Murray Sprung
Rodney stated that he added another group today. He also has another Shriner group.
He now has a total of 83 participants.
He has the Chicago Mini Cooper motoring club with 30 mini Coopers bringing up the rear
of the parade.
Rodney stated that Eric will be a parade judge. He also stated that he is in need of.parade
marshals. If interested,you need to be at Regent and Bernard by 9:30 on Sunday. He also
needs help on Friday at 5:00, again at Regent and Bernard to place the fliers.
He is looking for his usual people for placing plates in the ground along the parade group.
He said that you know who you are.
JV stated that if you don't volunteer to help when needed, he will do it for you.
Mobile Com: Paul Zucher
Paul stated that he had no report. He stated that the handicapped shuttles will not have the
usual radios. The drivers are to start at Mobile Com for special radios.
Fun and Food: Rick Kahen/Debra Jess
Rick stated that he is just about ready. He will need volunteers Saturday and Sunday nights
and also on Monday to drive the handicapped carts. He has a sign up for driving.
Rick stated that he wants the Food Tent swept up and cleaned by Monday morning. He
will use Dave's tent for check in at the Food Tent.
Fire Department: Joe Welter
Joe was not present.
Park District: Allison Christopoulos/Bill Heider
Allison had no report.
Public Works: Dave Haisma/Mike Reynolds
Dave stated that they are starting to set up this week. The tents will go up next week.
Everything is getting ready
He has made new bus signs for each route and has put them up.
Chamber/Local Sponsorship: Roger Sosa
Brad stated that the vendor meeting for the Business Fair and the Food Ten went well.
They were all given their parking passes. They had a lot of positive responses from the
meeting.
Brad said that they sent out map earlier this year. They will have people there to guide
them to their tent in the Business Fair.
They have their volunteers for Beer Tent and the Business Fair is booked up.
Paulette asked if the Chamber has lined up food trucks for Thursday and Monday. Brad
was uncertain. He will check with Roger.
Paulette reminded Brad that the food trucks must also get through the health department
regulations and paperwork to sell.
When asked by Alan, Brad confirmed that no new restaurants were added. Debra stated
that there are 2 non cooking spots available.
Paulette stated that if there are 2 booths open,plan them together and use them for stroller
parking, or a handicapped area for seating.
When questioned about Corporate Sponsorship, Brad stated that everything is in. He did
not have the final numbers. Alan stated that last week, Roger told him he had $27,500 in
Corporate Sponsorship which included $4400 for in bind donations.
Food Tent: Debra Jess/Penn Raphaelson
Debra stated that the Girls Scouts will be using a gas grill propane tank with a household
grill. It was confirmed they do not need anything special.
Questions were raised about the refill truck for the Beer Tent. Dave stated that it will have
to go across the grass. Dave will work with Chamber about the Beer Tent refill deliveries.
Set Up Man: Eric Gordon
Eric stated that we are setting up the Food Tent the same as last year.
JV said that Rotary will have people there to help.
Eric will pick a couple of people to set up the vendors tables. Murray will be one of the
table people.
Arts and Crafts: Jackie Beegun/Sarah Lee
Jackie stated that they are completely maxed out. A couple more booth spaces opened up
and she has filled them.
Kids Craft Tent: Jane Primack/Carol Irvin
Jane said that they worked today on prepping the crafts. They have made a change in one
of the crafts and needs small squat pine cones. If anyone has any, she will pick up from
their homes and even pick up from their yard. JV stated they have some at his home.
Jane stated that she has used Signup Genius for volunteers from Stevenson High School. It
went live this afternoon.
Grilling Challenge: Chuck Posniak/Eric Gordon
Chuck stated that this is the first year that he will have fewer participants this year than the
year before.
Chuck stated the he will need someone to enter the scores into an Excel spread sheet.
Rodney offered to help.
Entertainment: Karen Danenberg/Marlene Kozak
Karen stated that everything is good. Everything is scheduled. Everything is fine.
Technical Production: Doug Primack/Adam Moodhe
Doug stated that Personalities will let them use their speakers in the Beer Tent Monday.
Doug said that on Sunday, the simulcast will be set up like remote broadcast. The
announcers will have headsets. They will have a hand held mike for the interview with the
Grand Marshall.
Rick asked and Doug confirmed that for Thursday night, they are set for the sound for the
Buddy Baseball game.
Marketing/Publicity Alan Danenberg
Alan stated that the brochure is back form the printer and will be in village newsletter
tomorrow or Thursday. There are some extra copies here. Please be mindful that we ran out
last year. He ordered twice the number as last year but asked that committee members only
take one copy.
Alan stated that on Friday WXLC will be doing a live simulcast. They are charging a $400
fee, which Alan said that he still has money in his budget. He asked them to find a sponsor
but they stated they were unable to do so. They will announce that the simulcast is
sponsored by the Village of Buffalo Grove.
On Monday they will start running face book ads some about the festival in general and
some for the Car Show specifically.
A change this year is the Bingo time. The tent will open at 6, calling starts at 7.
Clicks and Shutters: Hal Norman/Jim Pawlak-
Hal stated that they will be scrambling. Call them if you want pictures of anything
specific.
Car Show: Cody and Diane Bartlett
Diane stated that the have the trophies. They are doing well.
For the actual show they will need 3 tables and will need some radios.
JV stated that on Sunday night they will reset the radios for Monday
Information Booth/Ice Man: Marc Spunt
JV stated that if a chair contacts the info booth to get help, they will find them help.
Marc will pass out food coupons Saturday and Sunday.
Paul was asking if there would be a phone in the info booth. Marc stated in the past,
committee members simply let the people use their own phones.
Paul stated that a large number of calls come into mobile for general questions about the
festival. JV will check into a disposable phone and give number to mobile com.
Carnival: Debra Jess/Penni Raphaelson
Debra had no report.
Parking and Traffic Control: Alan Nudelman
Alan stated that this year, his committee will be supporting the Police Department. The
traffic flow coverage will be from 11-8 on Saturday and Sunday.
Diane stated that they need someone starting at 9:30 on Monday to direct cars into the Car
Show until about 3PM.
Alan stated that he may or may not staff on Friday. That is yet to be determined.
Alan stated that his committee's duties are in helping as the control point at the green lot.
There will be a regular Police uniform officer there.
They will be helping the buses pick up and drop off attendees to the festival.
Alan is looking for people with blue shirts to help with the parking duties.
Beth asked where the bike racks are to be placed. Dave can put them anywhere the
committee wants them. Beth will see Dave after the meeting with suggestions for
placement of the bike racks.
Villaize Liaison: Mike Reynolds
Mike stated that he had nothing.
Trustee Liaison: Andy Stein/Joanne Johnson
Joanne and Andy will not be there next Tuesday. They will be interviewing people for the
trustee position.
Joanne stated good luck and break a leg.
. Your 2 Cents Worth: All committee members
Marc asked how people in the green lane know they are in the right lane. Alan stated that
there will be check points along the way and there will always be an officer there..
Dave stated that the electronic signs will go up tomorrow, which will include information
about permit parking,handicapped parking and the fitness center parking only on campus.
The electronic signs will include info about the drop off and pick up site. This spot will be
closer to the fitness center.
Arla asked about the need for a sign that members of the fitness center cannot come in off
of Deerfield Parkway to enter and that they must use their fitness center ID to get into
parking
Jackie wanted to try something new for the Arts and Crafts next year. She wishes to
increase the cost to $200. This is the same level that they pay at other festivals. She also
proposes a discount if they sign up early for regular price. It was suggested that they only
increase the cost to $175. Signing up early for a discount was approved. They would have
to pay$50 to secure their spot for next year.
Rodney made a motion to adjourn. Jackie seconded the motion.
The meeting was adjourned at 7:38
