2017-06-27 - Buffalo Grove Days Committee - Minutes BG Days Committee Meeting June 27, 2016 Cody Bartlett, Dianne Bartlett, Jackie Beegun, Bob Boxer, Ken Carothers, Alan Danenberg Eric Gordon, Paulette Greenberg, Bill Heider, Debra Jess, Rick Kahen, Adam Moodhe, Alan Nudelman, Rodney Odelson, Charles Posniak, Doug Primack, Jane Primack, Mike Reynolds, Brad Schencker Roger Sosa, JV Springman, Arla Sprung, Murray Sprung, Marc Spunt, Janee Stempel, Andy Stein, The meeting was called to order at 7:06. Chairman's Report: JV Sprinman/Paulette Greenberg Paulette and JV had no report. Police: Vince Positano/Michelle Kondrat Vince emailed that neither he nor Michelle could attend. He stated that everything is going as planned. He had no other report for the Police Department. Parade: Rodney Odelson//Lee Orlov/Murray Sprung Rodney stated that he has 4 businesses and 3 politicians in the parade. St. Mary's band's application came through. There will be 2 marching bands and a trailer for St. Mary's. So far, Rodney stated that he has 36 entries in the parade. Mobile Com: Paul Zucher Paul was not present but emailed his "no report"to Jane. Fun and Food: Mara Sabath/Debra Jess Mara was not present Rick has no report. Fire Department: Joe Welter Joe was not present. Park District: Allison Christopoulos Bill Heider was present for Allison. Bill had no report. Public Works: Dave Haisma/Mike Reynolds Mike had no report. Chamber/Local Sponsorship: Roger SosaBrad Schencker Roger stated that he has 12 restaurants in the Food Tent. He also has 17 business booths, with a 3-4 previous vendors still to come in. He has finalized the contract with the beer vendor. Roger stated that they have the donated boxed water for the non-profits. They will also donate extra water for the volunteers on the committee. When asked, Roger stated that the bags tournaments will be on Thursday. It will be a pros only tournament. It is usually pros who show up for the event each year. When asked, Mike stated that the max number of booths for the business fair is.22-25. Roger stated that$29.000 has been committed with half of the money collected. Food Tent: Debra Jess/Penni Raphaelson Debra stated that one of the non-profits would like to know what the brand name of the boxed water is. The brand name is "Boxed Water". It is presently sold at Whole Foods for those who want to try it. The company will donate the water directly to the non-profits. Andy said that he has had it before and it tastes best when kept/served cold. Alan asked if Roger knows what vendors will be selling in the Food Tent. He has a deadline coming up for the brochure. Set Up Man: Eric Gordon Eric asked about starting Bingo earlier so the committee could break down earlier and reset up the food Tent. JV will talk to the Rotary Club. Arts and Crafts: Jackie Beegun/Sarah Lee Jackie stated that she has 22 vendors and some are paying extra to come in Friday night. Kids Craft Tent: Jane Primack/Carol Irvin Jane stated she no longer needs egg cartons. Thanks to Chuck at the Farmer's Market, she now has more than enough. She and Carol are continuing to move forward in planning Grilling Challenge: Chuck Posniak/Eric Gordon Chuck stated that the aprons are in. They are white this year. He is going to use a new vendor in Wauconda for the printing. Chuck also stated that he ordered trophies this year instead of plaques for the awards. Entertainment: Karen Danenberg/Marlene Kozak Karen was not present. Alan said she had no report Technical Production: Doug Primack/Adam Moodhe Alan wants to know what is going on for Monday for sound for the car show. Paulette stated that they may use the kids craft tent for registration. Marketing/Publicity Alan Danenberg/ Alan stated that the website is up and running. There will be tweaks along the way. Alan stated that f or the most part, the website is done for this year. Alan stated that his next issue is the brochure. Alan told Bill that he has placed the "no smoking" on the brochure. Alan stated that last year we had a radio station doing a simulcast on Friday night. Alan stated that they will be coming back. There is no charge to us. They are looking for a sponsor. Alan is starting to work with the Daily Herald for ads and articles. When asked, Alan stated that the location for the radio station will be the same as last year, in the Arts and Craft area. Alan needs the bus stops and routes and the site map for the brochure. Mike stated he will get it to Alan this week. Clicks and Shutters: Hal Norman/Jim Pawlak- Hal could not be present but emailed his "no report"to Jane. Jim was not present_ Car Show: Cody and Diane Bartlett Diane stated that they have the flyers tonight for the car show for people to pass out. Diane asked for people to take them and get them in windows to advertise. Diane stated that they plan to have give aways of pens and coolers to pass out at the registration booth. On the day of the event, they will need at least 7 volunteers, 2 people for registration and tallying the votes and at least 5 others to help get the cars parked. Diane said that they need door prizes/raffle prizes around the $25-35 value range. When asked, they would like them to be car related or restaurants. Diane said that if you want to go to a car show and pass out fliers, they would love it. Diane said she will need music. She is thinking 50-60's tunes. Adam said he has the sound track for the village's 50th anniversary that should work. They will be putting it on Facebook. Diane asked that everyone like it and help spread the word. Mike stated he has a third layout for the car show. He will send it to Diane and Cody. JV thanked Public Works for the layout and the donated cash for the event. Information Booth/Ice Man: Marc Spunt Marc has no information. He will have ice there also. Carnival: Debra Jess/Penni Raphaelson Debra stated that the prices will remain the same. Pre sales will run from August 1st through Wednesday August 30"' at the end of the business day.. Pre-sale wrist band sales will also end Wednesday night. Debra said that she will have the posters soon. She said she has the layout for the carnival. They are bringing 18 rides this year. She will forward the layout to the concerned parties who need it. Chuck asked if the car show can be put on. Debra will check into it but the space is limited on the poster. If something is added, something else will have to be removed Parking and Traffic Control: Alan Nudelman Alan had no report. Alan stated that he will need volunteers Jane will forward info about Stevenson's UCare program to connect with high school volunteers. Village Liaison: Mike Reynolds Mike had no report. Trustee Liaison: Andy Stein/Joanne Johnson Andy has no report. Joanne is happy to be here. Your 2 Cents Worth: All committee members Bill asked about the softball game on Wednesday, how it will work and timing. Brad said it will be the same as last year. There are 3 teams that play each other. Two teams will play and the winner of that game plays whoever won last year. Andy stated he has been in conversations with the chamber to solicit sponsors for BG Days t-shirts and help fund the dinner at the end. There would be 2 shirts allotted per person with the sponsor's logo on the back along with the word "Staff'. Andy said that he and the Chamber will continue to work on it. Rodney made a motion to adjourn. Marc seconded the motion. The meeting was adjourned at 7:54.
