2016-06-28 - Buffalo Grove Days Committee - Minutes BG Days Committee Meeting June 28, 2016 Steve Antman, Bob Boxer, Ken Carothers, Allison Chirstopoulos, Alan Danenberg Karen Danenberg, Shari Ginsberg, Tony Goldstein, Eric Gordon, Paulette Greenberg, Howard Hoffman, Debra Jess, Cristel Mohrman, Alan Nudelman, Rodney Odelson, Jim Pawlak, Joan Pawlak, Charles Posniak, Vince Positano, Doug Primack, Jane Primack, Mike Reynolds, Hava Richmond, Mara Sabath, Arla Sprung, Marc Spunt, Andy Stein, Joe Welter, Nancy Winter, The meeting was called to order at 7:10. Chairman's Report: JV Springman/Paulette Greenberg JV was not present. He is downtown arranging aspects of his daughter's wedding. Paulette stated that if anyone needs name tags let her know. Paulette asked everyone to check on the sizes and types of shirts they ordered. If you have not ordered any shirts,please do so or she will choose for you. They have been working with Public Works to get a banner on display at the new location. This will be up the first week of August. A suggestion has also come in for the "feather type" flags to be placed next to this banner advertising different events we have across the festival weekend. There will also be a banner at the "old location" advising people of the change of location. That will go up in July. Waste Management has donated 2 Cubs tickets to be raffled off. The tickets are for Thursday, September 15t"'in row 108. They are already on sale at the Farmer's Market every Sunday, $10 for 2 tickets, $20 for 5 tickets. Police: Vince Positano/Tony Goldstein Tony had no report. Parade: Rodney Odelson//Lee Orlov/Murray Sprung Rodney stated that he has 13 applications, 2 commercial 8 Shriner groups, no politicians yet. Buffalo Restaurant will be the sponsor for the parade. Mobile Com: Paul Zucher Paul could not be present and emailed his "no report"to Jane. Fun and Food: Mara Sabath/Mo Welborn Mo was not present Mara met with Mo and everything is coming along nicely. They have decided to serve mostaccioli with sauce or with butter, salad, and garlic bread. Someone donated that last year and the residents really liked it. Mara still wants to try to get sandwiches in case people want them. Outback is gone so they don't have chicken fingers to serve. She has already talked to Caputo's which has changed ownership. They are interested in helping out. Mariano's also has reached out that they would like to participate this year. She may use them either for the sandwiches or water. Walgreens will be providing the water. Paulette stated that there are maybe 200 gift bags in the cage. Mara will go down to the cage after the meeting with Paulette to check it out. Mara will ask for more water from Walgreens to supply more of the needs of the committee Fire Department: Joe Welter Joe stated that the Fire Department still wishes to address some of his concerns regarding the Food Tent, specifically the distances between the tents, adequate fire lanes, and exits. He also wished to conduct a quick 5 minutes class to the committee regarding the use of fire extinguishers. That can be addressed at a later meeting. Park District: Teri Ebner/Allison Christopoulos Allison had no report. She introduced one of their summer interns, Hava. Public Works: Dave Haisma/Mike Reynolds Mike had no report Chamber/Local Sponsorship: Scott Fishkin/Roger Sosa Alan gave a list of sponsors from Roger whom he has already gotten commitments. Also Alan gave the list of the businesses that have committed to the Business Fair. Food Tent: Debra Jess/Perini Raphaelson Debra stated that they have talked with Roger to finalize the food offerings for all the current restaurants. Perini will be typing them up and sending them back for confirmation regarding what they hope to serve. All the not for profits are in, They have 14 restaurants and are not filled up yet. Set Up Man: Eric Gordon Eric stated that he will do the same with the tents this year. He wants to get Rick from the Rotary who is running Bingo to end promptly. In the past he has run overtime forcing the committee members to remain on campus changing the Bingo tent into the Food Tent until 2 AM. Arts and Crafts: Jim Pawlak/Joan Pawlak- Jim stated that he will put a notice on the Facebook page requesting applications for the Arts and Crafts. He has only received 1 more application in the past 2 weeks. He has heard from 2 crafters that are uncertain of the draw at the new location and are opting out this year. Jim asked when is the deadline to notify the crafters that there aren't enough participants to run the show. He stated that if there are not 30-40 crafters, it is not an arts and crafts event. Paulette stated to wait. Even if we have fewer crafters, the show will run. Van Man: Eric Gordon Eric stated that we will have a van. Steve and Eric will do it together. Eric will need drivers Saturday, Sunday and Monday. The crafters' parking is where the skate park is located. Rodney stated that he will ask Stacik Motors if they will lend us a van. When asked, Paulette stated that we need a 6 or8 passenger van, preferably the 8 passenger van. If Stacik cannot provide one, Mara has a contact who may be able to volunteer one. Kids Craft Tent: Roshel Rivellino/Jane Primack Jane stated she has gotten supplies from Alan and Paulette. She continues to collect from Freecycle as things are offered. Grilling Challenge: Chuck Posniak/Matt Dionesotes Applications and rules are posted. Sent them out tomorrow to last year's contestants Aprons here and at the printer Entertainment: Karen Danenberg/Marlene Kozak Karen stated that Hailey Reinhart wants closer security for the meet and greet after the performance. Tony said there will be no problem. Karen stated that Jedi training will be Sunday afternoon from 3 to 4. She is hoping to find a sponsor so that participants get to keep their little sabers. Technical Production: Doug Primack/Adam Moodhe Doug had no report. Publicity: Alan Danenberg Alan stated that he is working with the Daily Herald for print and advertising. The website is up and running but is a work in progress. WXLC is booked to air live from the festival Friday from 5 to 7. Clicks and Shutters: Hal Norman/Jim Pawlak- Hal was not present. Jim stated they are still looking for another photographer to help out Jim who has issues with walking. Information Booth: Marc Spunt/Mo Welborn Marc and Mo had no report. Paulette stated that the info booth will be located at the bus drop off. The ice machine will be by the info booth. There will be a trailer with AC for committee supplies and for a cooling station for people who become overheated. Chuck said the ATM guy is lined up. Paulette stated that she still needs to figure out where the ATM will be located. The new porta potties need to be on asphalt to be serviced. There will be 2 trailers with 3-5 toilets each for the public. In case of bad weather evacuation will be in the health club. We can go anywhere except the gym floors, Carnival: Debra Jess/Penni Raphaelson Dave has not gotten back to Tom to walk the parking lot to assess the new location. Iceman: Ron Jess scott not here Ron was not present but Debra gave his "no report". The ice chest will be located near the info booth. Parking and Traffic Control: Alan Nudelman Alan has been working with Tony regarding the parking. The streets in neighborhood area will be one side only parking. Traffic through the festival will be one way only north to south. There are 6 parking lots, one handicapped in front of the health center, 4 colored permit lots, and two general parking. One permit lot will be for general parking for the public after 11. Alan stated that he needs info for the food vendors, the arts and crafts participants, the business fair, and all committee members for names and phone numbers to go on the permits. Jim stated that he needs permits early for his crafters. He sends them out with his packets. There will be no parking in the Food Tent, the Business Fair, and the Arts and Crafts areas. They will have access to drop off,but must move their car to an approved parking lot. Alan is asking for volunteers to get people parked in the correct lots. Villaize Liaison: Scott Anderson Scott was not present. Trustee Liaison: Andy Stein/Steve Trilling Andy had no report Your 2 Cents Worth: All committee members Rodney spoke to Beverly about Ed Jacobi, the recently retired musical director at Buffalo Grove High school as a candidate for Parade Marshal. Also for consideration is Jeff Slepak who retired from Stevenson High school as music director 3 years ago. Joe asked and it was confirmed that there will be a trailer behind the Main Stage. The trailers on campus will be locked in case of severe weather. Everyone is to go to the health center. Eric asked about making signs to spread around village that Buffalo Grove Days has moved. Mike said he can print brochures for someone to pass out. Cristal is to make a mockup of the brochure. Paulette stated that there are signs at the Farmer's Market that BG Days is moving. Tony talked about using the message board to inform residents of the move as they drive though the community. He said he can get more signs if needed and move them around. Paulette stated that she had the most up to date map of the campus. Nancy would like an electronic one to give to Mobile Com. Rodney made a motion to adjourn. Steve seconded the motion.
