Chairman's Report: JV Springman/Paulette Greenberg JV stated that this is our May meeting. Starting next month and in July there will be 2 meetings each month. In August we go weakly. Paulette stated that all committee members have been officially appointed by the village president last month. Paulette stated that Rhonda has created a spread sheet for committee members to vote on the color, style, size for out new shirts. They will be either blue or yellow, collar (polo shirt) or no collar(t-shirt). Each committee member will receive 2 shirts. Another question is whether we should place the word"Staff"on the back. They will have the BG logo on the shirts whether we get T-shirts or polo shirts like the one we have had previously. . Remember to vote or Rhonda will choose for you. Police: Vince Positano/Tony Goldstein Vince stated that at the planning meeting, they discussed color coding 3 permanent parking lots. Vehicle access to the festival area will be directed off of Deerfield and will run southbound. Buses will also come in that direction.. There will be officers at Deerfield and Old McHenry Road. They also plan on color coding the parade, due to the congestion at end of the parade. Parade: Rodney Odelson//Lee Orlov/Murray Sprung Rodney stated that he currently has 3 applications, one being the Obie railroad. He also has a couple of politicians. It is an election year. Rodney stated that there is a new band director at BG High School. The retiring band leader, Ed Jacobi, was there 35 years and the BG High School Band has been in every parade during his tenure. Rodney is suggestion him as Parade Marshal. Paulette stated that we will give his name to the trustees. We will need a couple more names to present to them. Mobile Com: Paul Zucher Paul could not be present and emailed his "no report" to Jane. Fun and Food: Mara Sabath/Mo Welborn Mara could not be present but emailed Jane some questions. Mara wants to know how many golf carts we will be using for CRD and what days they will be available to them. She is asking if they will be available Thursday through Monday afternoon. Paulette stated that they will get whatever Dave can get, 2-3 carts. We have asked for roofs and headlights on the carts. She is also asking about how many carts they will have for the parade. Paulette stated that there will be one or two. Paulette stated that Dave will work that out. She and JV did not know for sure yet. It is to be determined at a later date. MO stated that she has the same request as other years. To fill the goodie bags, she is looking for give aways, notebooks, pens, paper. Let her know if you get anything. Fire Department: Joe Welter Joe stated that there will be a fire extinguisher class, taking 5 minutes with a test at the end. Joe is concerned and hopes with the new location to move the cooking appliances a distance away from the tent. He stated that we have been very lucky in previous years Joe is also looking at the distance of the food tent from the beer tent. He wants to check the exits from the food tent. He wants double width for entrances and exits. Paulette stated that there are 3 entrances to the food tent. JV congratulated Joe on being elected president of the Fire Inspectors. Park District: Teri Ebner/Allison Christopoulos Teri and Allison were not present. Public Works: Dave Haisma/Mike Reynolds Dave was not present. Chamber/Local Sponsorship: Scott Fishkin/Roger Sosa Roger stated that he has about 12 to 13 restaurants and 7 businesses for the Business Fair. He is working hard on contributions for this year. Marriot has new ownership. He is hoping to approach them. Roger stated that he is working with Alan on a publicity package. There will be a simal cast with the radio station that day. The Chamber will be running their bags tournaments on Thursday. Food Tent: Debra Jess/Penn Raphaelson Perini stated that they are working with Roger about what is coming in regarding restaurants. They only have one not for profit committed but they expect most will return. Set Up Man: Eric Gordon Eric had no report. Arts and Crafts: Jim Pawlak/Joan Pawlak- Jim stated that they have received 12 applications so far. Van Man: Eric Gordon Eric stated that we will have a van. The crafters will park at the skate park. Kids Craft Tent: Roshel Rivellino/Jane Primack Jane stated they are working on gathering supplies from free cycle. Grilling Challenge: Chuck Posniak/Matt Dionesotes Chuck was not present. Paulette stated that the aprons are in. Entertainment: Karen Danenberg/Marlene Kozak Karen stated that the Main Stage is all booked This year, there will be a variety. On Friday night, there will be a country band for cover and the main liner will be the band 7t" Heaven. Saturday night will open with a jazz band and Hailey Reinhart will be the main liner. Sunday there will be an N Sync Back Street Boys, a boy band tribute as an opener. The mail liner will be Heartache Tonight, an Eagles tribute band. Mystriss will be returning Friday night to the Beer Tent. Saturday and Sunday 10:30 to 12 PM is booked She will have kid entertainment again this year. There will be Jedi training Saturday afternoon. She said that the rest will fall into place. Technical Production: Doug Primack/Adam Moodhe Doug asked what kids entertainment there will be. Karen responded that there will be a magician, a lady singing and the reptile guy. Doug said that they will supply his sound system with a couple of mikes for the entertainment. Publicity: Alan Danenberg Alan stated that the web site is a work in process. They need to start from scratch. They plan to have it up and running by the end of this month. Alan said that he saw it for the first time this week. Alan asked that if there are any changes about the carnival hours, prices, or any other changes he will need them as soon as possible. Penni will let Alan know if there are any changes. Clicks and Shutters: Hal Norman/Jim Pawlak- Hal could not be present but emailed his "no report" to Jane. Jim had no report. Information Booth: Marc Spunt/Mo Welborn Marc could not be present tonight but emailed his "no report" to Jane. Iceman: Ron Jess Ron was not present. Penni stated that he had no report. Village Liaison: Scott Anderson Scott stated that all contracts are signed and executed. Trustee Liaison: Andy Stein/Steve Trilling Andy stated that he had the CRD report. They are looping to move buddy baseball to Sunday at 4:30. Steve stated that the Village Board is discussing the ways they recognize volunteers for serving on a commission. The Village does pay for a party, but not for two. Steve asked the committee which we want, an end of BG Days event with committee members only or the whole group of village volunteers in February. It was stated by a committee members that the end of BG Days party will continue regardless of any village decision and that committee members are happy to help pay for it. It was agreed to continue with the February party for all volunteers. Your 2 Cents Worth: All committee members Paulette stated that if you did not get your gift at the February volunteer reception, she has it Paulette stated that the resolution committee is officially ended. Every single email, text, phone call that you all sent her was brought up at the meetings. Some of the members may know that Paulette is an insurance arbitrator fro over 10 years and she negotiates settlements with attorneys on a daily basis. Going into any negotiation, no one ever gets 100% of what they want. Everything is a compromise. She is happy to report that we got 85% of what we overall wanted in this big move! Everything at the old site has been moved to the new site. Some things will be located in a different place. Some things that did not change: The parking for the business Fair and the Arts and Craft vendors will be off site. We will direct them to the skateboard parking lot (really called Putterman field). We will block off this lot until 11:30 AM on Saturday and Sunday for the vendors to park. Then it will be open parking. We will have a van to shuttle those back to the festival site for those people who do not want to walk back. The food vendors will not park behind the food tent. They will park in the permit parking lot that will be created in the grassy area. This same parking lot will be for committee members, trustees, Park District employees and entertainers. This will be a permit only parking lot. Extra bicycle racks have been ordered and will be placed in this lot. Bike riders will not need a permit to park there. Handicap parking will be in the fitness center lot, 16 permanent spaces are already there. We will add approximately 30 more on the south edge facing the permit parking lot. Paulette has the map with her if anyone wants to see it after the meeting. Rodney made a motion to adjourn. Howard seconded the motion. The meeting was adjourned at 7:49.
