2000-09-11 - Civic Involvement & Recognition - Minutes Board or Commission: ❑ civic Involvement&Recognition Commission u Document Type: ❑A e g nda 0 Minutes Meeting ate: 09/11/2000 Type of Meeting: ❑ Regular Meeting CIVIC INVOLVEMENT AND RECOGNITION COMMISSION SEPTEMBER 11, 2000 MINUTES The first meeting of the Village' s Civic Involvement and Recognition Commission was called to order by Chair Ungerleider at 5:30 p.m. Those in attendance were: Harvey Ungerleider Elliott Hartstein Scott Cutler DeAnn Glover Leonard Gold Chuck Johnson Betty Lou Manso John Marienthal Diane Popper Lynne Schneider Bill Brimm Monyca Price Flack Richard Oliver The members of the Commission introduced themselves and President Hartstein spoke the initiative regarding the Commission as well as the Board' s decisions to formally establish the Commission via Resolution. A core objective is to promote volunteerism and recognition of those individuals and organizations that either serve the Village in some extraordinary way or those same individuals or organizations that are residents/domiciled in the Village that may perform extraordinary tasks outside of the Village. Distribution of Commission Membership Roster: For use by the Commission, a roster of members with address and phone numbers was distributed. There were several corrections and a revised roster will be distributed at the next meeting. Overall Goals and Objectives of Commission: It was suggested that the Commission be an organization to encourage volunteer service and recognition for deeds accomplished in an extraordinary way. The criterion to be established must include a method to screen activities as well as organizations within the community in order to properly validate their works as well as how those works will be recognized both in terms of finding out they in fact took place and how further to honor same. It was stated that with a new commission, what we desire to do is up to the suggestion of the membership. Mission Statement Development: The Commission members discussed this issue for some time, determining that what is developed be short and concise as to intent and meaning. After discussion, it was suggested that the following be the Commission' s Mission Statement: The Buffalo Grove Civic Involvement and Recognition Commission' s mission is to promote and recognize volunteer service within our community. Other goals and objectives will be developed from this statement to support future initiatives. Inventory of Community Organizations: A draft of a letter and information form was distributed for review and comment by the Commission. While the intent of the memo is toward primary Village organizations, it will be amended to ask that sub-groups within the primary organizations also be asked to respond in order to obtain the best results intended. It was agreed that a return date be included so information could be properly assembled and ready for distribution. Also, it was suggested that we request IRS non-profit code verification on the information sheet. As for how groups will be recognized, it was determined that criteria will need to be developed so that any recognition is meaningful and properly directed. Some issues to be resolved are: 1. Recognition criteria must be clear and understood. 2. Only when developed, then they will be promoted. 3. Recognition will include both residents and non-residents but the non-resident should have some tie to the Village, i.e. work, volunteer efforts, etc. 4. The formality of the recognition efforts need to be established-before the Village Board, over what media, etc. 5. If a resident gets an award from a source other than as awarded by the Commission, should the Village also acknowledge in some way? 6. When developed, the program and solicitation criteria should be distributed through our media outlets-newsletter, Channel 6, web site, etc. 7. Should the Village act as a central point where people can call to volunteer or should that be an output of the inventory? 8. The Commission must develop an approach and screening so that it can determine what are "valid" community organizations. 9. What programs can be developed to meet our goal of getting people involved and to volunteer? Develop Initial Workplan: This was briefly discussed. It was suggested that each member consider the development of a work plan for discussion at the next meeting. Suggestions were to be routed to Bill Brimm by 9/27/00 for distribution with that meeting' s agenda. Memorial Policy Discussion: This matter was discussed in that a memorial concept has been assigned to the Commission for review and recommendation to the President and Board of Trustees at a future date. Concepts such as a fountain were reviewed so that the membership understood what direction could be taken, if appropriate. The current policy, that being the recognition of Village Presidents, was reviewed as well as how plaques are named and placed in Village facilities when dedicated. Guidelines for Volunteer Members: The booklet containing the Operating Guide for Volunteer Committees, Commissions and Boards was distributed to the membership with a general document overview and intent. Other Business: There was no other business other than to announce that a training session will be held for volunteer organization chair/co-chairs on Thursday, October 12, 2000. Next Meeting Date: The next meeting of the Commission will be Thursday, October 5th at 7:30 p.m. in the Village Hall. After that date, meetings will be held on the second Thursday of each month.
