Approval of Minutes-May 10, 2001:
The minutes for the May 10, 2001 meeting will be distributed as part of the
agenda for the August 9, 2001 meeting for consideration.
Chairman's Report:
Harvey met with President Hartstein to review certain expectations for the
Commission. A major concern was that all of the efforts on recognition were
considered as duplication of similar programs now in place. Rather than have
such an emphasis on recognition, approach this only when something "special"
might take place rather than as part of an organized program. The suggested
course of action would be toward working within the community and with local
organizations to improve and encourage involvement through volunteerism or the
donation of materials or funds should that be appropriate. The Commission
should work with local organizations to explain what we intend to do-improve
and act where appropriate as a facilitation toward volunteerism.
To that end, it was suggested as part of the Commissions discussion of this
matter that a presentation be developed for organizations within the community
that is standard in its nature to explain the intent of the Commission's work
toward volunteerism. Further, the Village's website would be improved upon in
the area of volunteerism to promote same and to use as a match-making service
to solicit volunteers for organizations in need. The design would also be a
vehicle to promote community events of a potential broad interest to residents
and possibly the business community. It was also suggested that the Commission
could work with organizations such as the Park District and Rotary Club to
determine if it would be of value to permit booths or tables to be set up at
their events to promote and showcase local organizations and what they do.
To this end, several work projects will be undertaken:
1. The Village's website will be modified as it applies to volunteer
opportunities and will be expanded upon to permit an organization to solicit
support of their efforts for the collection of material objects, such as when
the Lion's Club collects eyeglasses.
2 . The Park District will be asked to determine if they might be willing to
work with the Commission on matters of encouraging volunteerism as part of
their programs, most specifically with seniors.
3 . An outreach effort will be undertaken with other volunteer based
organizations in the area (The Volunteer Center of Northwest Suburban Chicago
for example) to see if they might be willing to partner with us.
4 . A presentation letter or other document will be prepared by the Commission
to send to as many community organizations as possible announcing our programs
and services.
5. The volunteer request document will be expanded to match material needs
with organizational needs for those materials; specific needs for specific
organizations.
6. An article will be prepared for the next newsletter on volunteerism and
to review the website content and organizational access to posting.
7. Scott Cutler and Monyca Flack will draft organizational presentation
document for review and comment. When developed and approved, it will be sent
out with support documentation and an offer to meet and present to that
organization about the Commission
8. Review on the use of a community calendar that could be posted on the
website or cable television channel will be undertaken.
Overall, it was decided that Commission efforts will be toward encouraging the
development of a volunteer bank to match those that need with those that want
to help, finding out what and when local organizations might need volunteer
support, whether in time or material, and to encourage participation at local
events, again, where appropriate and requested by the sponsor.
