2003-03-11 - Buffalo Grove Days Committee - Minutes Board or Commission: ❑ Buffalo Grove Days Committee Document Type: ❑Agenda 0 Minutes Meeting Date: 03/11/2003 Type of Meeting: ❑ Regular Meeting BG Days Committee Meeting March 11, 2003 Ken Caruthers, Rick Kahen, Chuck Posniak, Chantal Davidson, Ken Lazar, Doug Primack, Barry Goodman, Nikki Lee, Jane Primack, Paulette Greenberg, Mary Libby, JV Springman, Debra Jess, Adam Moodhe, Steve Schultz Penny Jess, Jim Newton, JV Springman, Ron Jess, Murray Sprung The meeting was called to order at 7:04 PM. Chairman's Report: The meeting next month will be in the lower level conference room in Village Hall. The availability of the Chamber office will also be checked. JV will let everyone know where the next meeting will finally be. In regards to the new shirts, Bill Brimm stated that due to the budget constraints, this was not the year to invest in new shirts. He requested that the committee hold off for one more year. A question was raised about the promised T-shirts for the volunteers. JV stated that we would hold the idea for this year, that maybe we can do ID badges for the volunteers instead. JV stated that this year, we will be asking for bids for the large items we use, such as the stage, sound, and lighting, the electricity, and the tents. The portapotties will not go out for bids. The cleaning service will stay the same, as their price is very good. JV and Karen will call around town about the tents. Ray is to check about the electrical service. JV noted that Chillie Willie was here tonight. He will again be selling ice cream over by the ticket booth of the carnival. JV stated that we still need a back up for the arts and crafts. We also need someone to chair the food tent. Chantal will need someone to assist with the publicity. JV is still looking for someone to chair the set up and take down. JV stated that the Relay for Life will have a BG Days Committee team that will have a team minimum of 10 people, each with sponsorship of$100 per person. The Relay for Life will be on June 14-15 at the BG high school. He stated that it was a moving experience, especially the beginning of the relay. One should be there at night, with the candles lit around the track. Each team pitches tents, to stay there all night. Security locks the gate at 12 midnight. This is so the kids are locked in for safety. JV's wife, Janie, is in charge of it this year. The Relay is completed by 7 am. There is no closing ceremony. A number of people stay overnight. No stakes are allowed for the tent. People usually use the pop up style of tent. Ken Lazar offered to Chair the Information Booth. Police: Jim Newton—No report Park District: Ryan Risinger—Not present Parade: Joe Tenerelli—No report Lee Orlov will work on the parade Mobile Com: Roger Remblake—No report Fun and Food: Rick Kahen— Rick stated that Astro will be presented the Golden Bison award for their work on Fun and Food day of BG Days, on Monday at the Village Board meeting. Fire Department: Troy Shannon—not present Public Works; Ray Rigsby—not present Trustee Liaison: DeAnn Glover - DeAnn reiterated the request for no new t shirts this year, maybe next year, due to budget constraints. Chamber: Ron Jess and Sara Herman— Ron stated that last call for the beer tent will be the same as last year. Last call for buying tickets will be 11. The last pour will be at 11:30. Grounds to be cleared at 12 midnight. The beer tent will be open Thursday through Sunday. Monday the truck will be gone. JV stated that we need committee presence for Bingo night on Thursday. After Bingo, all the tables need to be moved, the area cleaned up, and the tables realigned for the Food Tent. Food Tent: - Lynn Schneider and Mark will do the food tent. JV stated that the not for profit groups from last year have the first choice for this year. JV also stated that we need new food vendors for Monday this year. The hot dog vendor from last year will get the position this year. Arts and Crafts: Nikki Lee Nikki stated that she has already sent out 150 letters in regards to the arts and crafts show. Carnival: Paulette Greenberg - She stated that the rides are not decided until 1 week before the festival. Paulette also mentioned that there was an article in the Pioneer Press asking for volunteers for the ticket booth. Mention was given in the article about giving back to the community. Entertainment: Karen Danenberg— Karen stated that she saved the Village $15,000. She said that she is working on a tentative schedule. She also said that there will not be costumed children's entertainment on Saturday afternoon. Karen requested a budget for this year's entertainment. JV stated that he would take care of it. On Saturday, the Park District will get the entertainment. They plan on local talent including baton twirlers, dancers, etc. Later, they will sponsor BG's version of the Idol contest. Karen plans to work with the Village legal department in regards to use of local entertainment to cut back on spending. Karen asked if games over at the Teen stage, were needed this year. Further discussion will be tabled for the next few meetings. The games cost $1500. Friday night with just the games did OK. The Teen stage will be similar to last year running from 8 to 10 Friday and Saturday nights. Karen hopes to move it back to the way it was 2 years ago. Karen is considering running two bands to save money and no DJ, but we will then need a sound system. Audio/Video: Doug Primack—no report Doug questioned about the fireworks, wanting to know if the music needs to be broadcasted throughout the campus. We will try to get the Village Grill to cooperate. We have tried to simulcast the last 2 years, but did not work. Fund Raisin: Sara Herman—Not present Sara is out of town.
