Chairman's Report: Tom has no report JV states that the festival starts in 23 days and we need to get on with the meeting. The shirts have been ordered. Let JV know if anyone needs a name tag. There will be no children's ID booth as the Secretary of State has no budget. Police: Jim Newton—not present Park District: Ryan Risinger—not present Parade: Joe Tenerelli - Joe states that he has about 50 applications for the parade. He anticipates that he will have a surge near the end of the sign up time. The economy is putting constraints on the applicants. One group wants $800 to participate in the parade. Some groups have priced themselves out of the parade. Joe states that he tried to contact the Medinah group. The groups reports that people are not joining the Medinahs and the group is shrinking. Forest View is not going to be in this year because of the economy. It is unsure if Jewel is coming with their large shopping cart float. There are specific needs in regards to clearance in the streets for the entry. Joe stated that he has the Navy band this year. They will need to go to the information booth for their food tickets. Miss Arlington Heights wants to participate in the parade. She goes to BG high school. It was decided that she will ride in the parade. Paper pass outs are discouraged during the parade. Candy, balloons, and key chains are ok. Paper promotional materials are discouraged. Karen noted that next year, she may try out a contest for Miss Buffalo Grove. Mobile Com: Roger Remblake—not present Fun and Food: Rick Kahen - Rick states that he is ready. The wheelchair basketball team is confirmed. Rick brought the sign up sheet for the handicap shuttle carts. Rick stated that he needs help Friday night. He has a 4-seater and a 6-seater handicap carts. It was noted that we are set on where the basketball team will set up. He will check with Jim Newton on specifics at to where it will need to be and set up in regards crowd control. Fire Department: Troy Shannon—no report Public Works; Ray Rigsby—no report Trustee Liaison: DeAnn Glover— One of the discussions held by Village Board is concern over not having a corporate sponsor for the fireworks this year. The Board does not want to cut back on the fireworks as the BG community expects the fireworks. They are an important part of the festival. The Board is willing to supplement paying the cost for the fireworks. DeAnn noted that it will cut into the Village coffers. In the future, if the committee does not want to cut back on fireworks or entertainment, we will need to cut back on superfluous entertainment. We need to tighten our belts in regards to budget constraints. DeAnn stated that nothing will be decided until the Board receives the report from the BG Days in October. Possible areas of cutback include entertainment in the beer tent. DeAnn made it clear that the Board will not cut back on the fireworks. Chamber: Ron Jess and Sara Herman - Ron stated that we have a major fireworks sponsor of$1,000, but we do not have the Grand fireworks sponsor. Ron stated that we may have to do other things to get funding for the fireworks. Ron stated that Luke's has had some problems with franchise agreements and will not be at the food tent all weekend. Ron contacted Penguino's, who has agreed to serve Italian beef and Philly steak sandwiches, which are the same as Luke's, and a meatball sandwich. Penguino's asked about serving thin crust pizza on Monday, since there is no other vendor for thin-crust pizza on that day. The thin crust vendor during the festival on the other days is Pappa John's. There are no problems noted with Penguino's serving thin crust pizza on Monday. Outback wants to serve their blooming onion or Buffalo wings on Thursday, which does cause any conflict. Ron stated that he has a van for the Arts and Craft show on Saturday and Sunday. He also stated that the telephones and the buses are taken care of. JV stated that the buses will start running on Thursday night for bingo. We are ok on parking lots. Most important, we are ok on the Porta Potties. Food Tent: - Steve Schultz - Steve stated that he has 11 not-for-profit booths, but has only gotten 2 letters of intent back. Setup/Take down: — Tom stated that there is no official head for this committee yet. We need help Thursday night after Bingo and Monday after the festival ends. The tents get put on Wednesday and Thursday. The 2 big tents go up on Wednesday. Arts and Crafts: Nikki Lee - Nikki stated that she has 45 spaces filled for the Arts and Crafts Fair. She asked who is actually getting the van this year and asks if it is from the same place as last year. Nikki was instructed to call the Chamber Office to get information about the van. Nikki told Ray that she has an airbrush person working out of a trailer who wants a special spot for her booth. Nikki stated that only one person will need power: the hat stitcher Carnival: Paulette Greenberg - Paulette stated that Astro Amusements is busy at State Fair, so she has not heard from them in regards to possible rides, etc. She stated that we will be giving one sheet of carnival tickets to each of the participants of the BG Idol contest. Tickets that we do not use will be sold in the ticket booth. Children's Expo: Paulette Greenberg - Paulette states that she only 5 booths for the Children's Expo. She sent out 15 more letters last week. She stated that if she does not get more booths, she will cancel the event and notify all those who have already registered and paid their money. Entertainment: Karen Danenberg— Karen stated that the BG Idol is a very big event. She does not want the Children's Expo to be cancelled. She has mentioned the Children's Expo in interviews with the paper, when talking about the BG Idol contest. She has picked the 8 contest finalists, which range in age from 7 to 19 years of age. Each kid has met with a vocal instructor. She has a tape of the 8 finalists for any committee member to review after the meeting tonight. At the end of the contest, they will all sing together, God Bless the USA and will wear red sequined vests. She still needs 3 judges for the contest, but it is too early for anyone to commit. Prizes include a TV, a stereo, and a DVD player. The rest will get Blockbuster certificates. The top three winners will ride in the parade on Sunday in a convertible. Karen requested signs for the car in the parade. The newspapers have contact Karen and each of the kids in the contest. Karen stated that the blow up games will be there on Saturday. She got the wind tunnel train and a small inflatable slide. She has not heard about the miniature golf yet. Karen stated that she will need power on the street by the Arts and Crafts area for Saturday and Sunday: one outlet for a boom box. She has a calliope coming on Sunday for 6 hours and will need power for that also. Karen will talk to Ray later about the power needs for that. Karen stated that the Symphonic Band will be playing at the Village Green before the fireworks. The Glenview Band had a conflict and could not play at the Rotary Village Green. Audio/Visual: Doug Primack/Adam Moodhe— Doug stated that he has sent an e-mail to his friend who provided the wireless system that transmitted the main stage sound back to the beer tent last year. Fund Raisin: Sara Herman - Ron stated that money continues to be committed for the corporate sponsorship. Publicity: Chantal Davidson - Chantal has talked to the newspapers about the ads. The Daily Herald will run one ad and the Pioneer Press will run ads on August 21 and August 28. The Countryside paper ran a big article on the BG Idol contest and main stage entertainment Rare Earth. VIP Party: Pam Soracco — Pam stated that she decided to go with Dorfler's Meats, with the menu as offered for $4.25 per person. Confetti's will lend us the grill to cook the steaks and warm up the potatoes and mushrooms. Bin 36 will donate a case of wine. Pam will check with Dominick's to see if they will donate a fruit and a veggie tray as was done last year. Pam will check with Deerfield's Bakery for possible sweet goodies. She still needs charcoal, bottled water, and soda. Pam will check with The Card Party Outlet for donations of plates, cups, and napkins. JV stated that some of chamber people may be willing to donate the needed items. JV instructed Pam to call Lynn at the Chamber office about donations before purchasing anything. Pam stated that by next week she will make some firm decisions. JV mentioned he wished to make one change in her letter about the VIP party. He will see her after the meeting. Information Booth: Ken Lazar—not present Village Liaison: Bill Brimm—no report The Mix radio station was here last year and wishes to return again this year. They are giving us great media coverage. They wish to hand out promo items in the parade and at the festival. Joe Tenerelli made a motion to adjourn the meeting. The meeting was adjourned at 7:45.
