Chairman's Report: Tom stated the big event is just over 2 weeks away and hopefully everyone has no report. He stated that a lot of hard work has already gone into the festival and he and JV appreciate all the committee members' hard work. They look forward to making the festival happen again. JV stated that he wished to introduce someone we all know, but who has a new title, Commander Jim Newton. Congratulations were given to Jim for his promotion. JV noted that next week, the Business Fair participants and the restaurants will be meeting at the COhamber office. The Business Fair participants meeting will be from 6:00 to 7:00 pm. The meeting for the restaurants and not-for-profits will be from 7:00 to 8:00 pm. JV or Tom will be attending those meetings from 6:00 to 8:00. Ray, Troy, and Steve will also be at that meeting next week. Bill will be around if needed. The buses will start running at 6 on Thursday. They will run on Friday, Saturday and Sunday up until one hour after the Food Tent closes. The carnival closes before the Food Tent. Monday the buses will run until about 6:30 pm. JV noted that Wednesday, August 27 is the unofficial start of BG Days with the annual softball game between the Village and the Chamber. It takes place across the street and starts at 7pm. Police: Jim Newton - Jim stated that Mike Millett will be taking over his responsibilities of the festival. He will try to get Mike involved a little this year to meet everyone. Other than that, Jim has no report. JV questioned Jim about St. Mary's parking. He asked if St. Mary's will have a problem about parishioners not being able to exit services off Church Street. JV also commented that for St. Mary's paid parking, they will have to stage cars and take money well into the parking lot, not at the entrance, which would back up traffic on Lake Cook Road. JV questioned if patron's can enter the parking lot off of Lake Cook Road, crossing the westbound Lake Cook Road. Jim needs to find out if entrance is allowed off Buffalo Grove Road going north bound into the parking lot by the School. There will be access off Church Street for the handicap shuttle cars. The St. Mary's representative will go through Jim. Park District: Ryan Risinger—not present JV stated that the Park District will have the climbing wall, again, this year. Parade: Joe Tenerelli - Joe states that he has about 60 applications for the parade. He has made phone calls to those applicants who have not returned their applications. Joe states that economy is really hurting the parade. As stated last week, one Shriner group wanted $800 to be in the parade. Joe told them to forget it. Joe states that last year he had about 90 entrants. Joe also wanted to correct an item from last week. It was Ms. Mundelein who wanted to be in parade, not Ms. Arlington Heights. Joe stated that he ran it past JV during the week and it was OK'ed for Ms Mundelein. Karen reminded Joe that the top three BG Idol winners will be in the parade. Karen has the completed application. Joe stated that he has 5 bands for the parade. He has the Navy Band, St Mary's, and 3 high school bands. Mobile Com: Roger Remblake - Roger stated that he was all set. Fun and Food: Rick Kahen - Rick stated that he was ready to go. Fire Department: Troy Shannon—no report Public Works; Ray Rigsby - Ray states that Public Works is doing fine. Ray states that over the weekend, Brett Robinson will also be assisting with the responsibilities of the Public Works Department. Ray stated that he has plenty of power for the beer tent stage. He is set with the Chamber about the Business Fair. Ray states that he has one power pod per vendor for the restaurants in the Food Tent. Trustee Liaison: DeAnn Glover—no report Chamber: Ron Jess and Sara Herman - Sara stated that the restaurants are ok. The Business Fair is set. The gift certificates donated to the committee will be raffled off Monday. Food Tent: - Tom stated that Steve is on vacation. Tom reports that 5 of 11 not for profit organizations have turned in money for their booths. The rest are due by the next meeting. Tom also reports that he was approached by Boy Scout Troop 100. They wish to sell first aid kits at BG Days. It was decided that the Committee will say no for this year. We are pushed for time and we don't know where to put them. The Troop will be notified that they should approach us in March and submit the plan of their project. Setup/Take down: —no report Arts and Crafts: Nikki Lee Nikki states that she has 50 spaces filled for the Arts and Crafts Fair and applications are still coming in. She is hoping to get the welcome packets out this week. She is now working on where to put the booths. Carnival: Paulette Greenberg - Paulette had a number of questions in regards to giving out carnival tickets. Paulette still does not know what the rides are. She also is unsure about whether we will get the Ferris wheel. Paulette also has the sign up sheet for the ticket booth. Paulette stated that the Buffalo Grove Days posters are available tonight. When questioned by JV, Paulette stated that half of the volunteers in the ticket booth are non-committee members, approximately 30 to 40. JV needs to know how many buttons to have made. Children's Expo: Paulette Greenberg - Paulette states that she has 6 booths paid for in the Children's Expo. The Vernon Hills library won't answer her messages. The Indian Trails library is busy that weekend. Paulette says that she is still working with a couple of other places on the phone. Paulette says that some golf guys have approached her about a self enclosed driving range. It would cost $10 for adult and $5 for kids. Each person would get 3 attempts and they would clock how fast the ball was hit. They want to be near the Food or Beer tent. The committee will get 10% of the profits. We do not have a place for them as their requirements are for a l Oxl Ox25 foot spot. They would need a 15x40 foot area. We would need to talk to them about a higher percentage of the profits. It was voted not to go with the driving range this year. It was suggested that they bring up us a video or something that we can look at and to approach us earlier in the year. Paulette stated that she has not heard from the miniature golf group yet. Entertainment: Karen Danenberg— Karen states that Pam is providing use of her convertible for the Buffalo Grove Idol contest winners in the parade. Karen also presented her first publicity picture of the BG Idol group. Other than that, entertainment is fine. Audio/Visual: Doug Primack/Adam Moodhe—no report JV questioned about whether Doug heard from his friend about the receiver to broadcast the music for the fireworks. Doug states that he has had no word from his friend, who is likely out of town. Corporate Sponsorship Sara Herman - Sara reports that the Chamber continues to take in funds for Corporate Sponsorship. Sara states that she has had three good meetings this week, including Wal-Mart and Target. Sara hopes to get sponsorship from them yet. She also met with Comcast and she will hear by Friday if they wish to be a corporate sponsor. Sara also stated that Chicago Indoor Auto Racing will probably support the Festival. Sara invited committee members to give $25 for the Friends of the Festival. Their names will go on the big board. This donation can be for families, groups, or workplaces. Sara stated that she has been going over the logos for the Big Board and for promotional information, including those for the Daily Herald, the Pioneer Press, and 101, the Mix radio station. Publicity: - Chantal states that she is all set. VIP Party: Pam Soracco —not present JV stated that the Chamber would volunteer gifts or products for the VIP party. He knew that Pam made some phone calls regarding this. The meal is costing $4.25 for skirt steaks, twice baked potatoes, and marinated mushrooms. The menu was approved. Pam is unsure how many people are coming to the VIP party. The village trustees were invited this year. Pam is looking for a response of 100 to 125 people. JV suggests buying enough for the response with a little extra. This would be for a total of$425 to $540 total expenditure. Adam made a motion to accept the menu as proposed and needed funds to purchase the food. The motion was approved. Pam will run the entire party past the Health Department. Approval of the food expenditure is pending the approval of the Health Department. Information Booth: Ken Lazar— Ken states that he still needs spots filled in for the information booth. He has the sign up sheet with him tonight. JV also instructed all committee members to go to the information booth if they have nothing to do. Requests for help come through the information booth and member can be sent out from there to assist where needed. Village Liaison: Bill Brimm—no report Bill did question who will be doing the cooking and serving of the food for the VIP party. He states that those were the people who would need to talk to the Public Health Department. Go Necklaces: Lori/Ron Hackett- Lori states that the Glo Necklaces are in. Lori mentioned that if any committee member has children who wish to help sell, Lori will take the help. Thursday she sells for about 1 hour. Friday, Saturday, and Sunday night they will be selling throughout the evenings. Lori will be at the entrance of the St Mary's field by the fence. Karen suggested to Lori that she send kids over to the Rotary Green Park to sell the necklaces on Sunday night before the fireworks. Lori agreed. JV noted that there are 15 days to the start of the festival. He wishes to thanks everyone for their hard work. Joe made a motion to adjourn the meeting. The meeting was adjourned at 7:56.
