The meeting was called to order at 7:05 PM.
Chairman's Report:
JV stated that the festival hopefully will be different next year. JV also stated that someone
who has been with the committee for years, Ray, will be retiring from the Public Works
department this year. JV said that Ray has always been helpful and bent over backwards for
the committee. Rick will be the same.
JV said that the committee provided a wonderful party for the village this year. He wishes to
give thanks to everyone who takes time to do this. He will let everyone know when the next
meeting will be. JV mentioned that anyone who has a particular thing they want to do next
year and/or be a chair or co-chair next year, to let him know. He also requested that present
members bring extra help along with them next year.
He wanted to thank the entire committee for making Tom's and his job very easy.
Tom wanted to thank everyone here and not here. He also stated that the committee members
made their first year easy.
Paulette asked about the Park District Halloween party. She stated that she will man a booth
this year as good PR for the committee. She will use up all the stuff left over from Fun and
Food program.
Tom stated that he had been talking to St. Mary's, who stated that their field was returned in
good condition. There were no issues with the parking at St. Mary's.
Tom and JV will meet with the church again next year regarding use of the field.
JV wanted to thank everyone who worked on the committee. He also wished to thank the new
people on the committee, the Village President, DeAnn, Bill Brimm, the Police and Fire
departments, and Mobile Com.
Police: Jim Newton -
Jim stated that Mike Millet would be his replacement as the Police Liaison for the committee
for next year.
JV thanked Jim for all the work he did on the committee.
Park District: Ryan Risinger - not present
Parade: Joe Tenerelli -
Joe stated that despite the rain, we had a great parade, although most were under umbrellas.
The horse and carriage did not show up for the Grand Marshal. Tom found a car for the
Grand Marshal. Joe stated that he talked to the LaSalle Bank about the glitch of the no show
for the horse and carriage.
Joe also stated that Bill Means did the commentary this year, and did a great job.
Mobile Com: Roger Remblake -
Roger stated that they logged 160 hours for Mobile Com. There were 56 operations on the
grounds. There were 11 missing kids, 17 code blues, and 126 people wanting to see what the
inside of an ambulance looked like.
Roger questioned whether the porta-potties on carnival side, should be brought out onto
Raupp. There were a number of people who could not find them. Paulette said other people
in the past have complained about the smell, so that is why they are placed in the back area of
the carnival.
Roger made a suggestion that we keep the paramedics around until the end. He had calls
about bee stings and there were no paramedics there after about 4:30 PM. Roger had to call
the ambulance to bring a bee sting kit, which takes that those paramedics out of service to
bring the kits.
Roger suggested that the committee look into which side of the festival receives the most calls
for paramedics, with the suggestion that the paramedics be on the carnival side of the festival.
There were 15 requests through mobile com this year for first aid.
The majority of the lost kids were reunited in no longer than 3-4 minutes.
We did not lose any radios.
Roger wishes to thank all the volunteers for their work during the weekend.
Fun and Food: Rick Kahen -
Rick stated that the shuttle went well, that there were no problems. The shuttle ran a lot of
people all weekend long. He stated that the carts had to avoid the rise up the grass at the back
of the field, as it was too steep.
Rick said that on Monday everything went smoothly.
There were 20 to 25 people watching the basketball game. He suggested next year that we
move it next to the food tent. We might possibly have it earlier, also. We would just need to
find a level ground on which to play.
Rick thanked everyone who helped with the Fun and Food program.
JV thanked Rick for everything he did and stated that he did a good job.
Rick said that if anyone has any complaints about the Fun and Food or the shuttle program, to
please give them to him. They always need suggestions.
Fire Department: Troy Shannon - not present
JV gave a special thanks to Troy. JV stated that the fireworks went well and that Troy
worked well in regards to the regulation of the fireworks.
Public Works; Ray Rigsby - no report
JV stated that Public Works did a great job. He wished to extend a special thanks to Ray. The
signs all looked wonderful.
All guys at Public Works did a great job.
Trustee Liaison: DeAnn Glover -
DeAnn stated that she has been reappointed as Trustee Liaison for next year.
The wrap-up report will hopefully be ready for the October 20th Trustee meeting.
She said that the committee had done a good job again this year. We put up with the weather,
again. The people came out and were having a good time. They came and stayed despite the
weather.
DeAnn asked that hopefully, the new members will come back next year.
She noticed that there were more new people on the committee who stayed all weekend this
year.
DeAnn congratulated the new co-chairs on great job done.
Chamber: Ron Jess and Sara Herman - not present
Food Tent: - no report
Setup/Take down: —
Tom stated that the take down went smoothly. We ended up with right amount of chairs and
tables at the end.
Arts and Crafts: Nikki Lee - not present
JV stated that the Arts and Crafts fair was great. There were 50 vendors and all of them were
happy.
Jim Paulak offered the comment he heard from venders that there was not enough room
between the booths.
A number of the vendors wanted electricity. They felt they lost business due to unable to
process credit cards.
JV suggested that next year, we move the airbrush guy closer into the fair as he was a big
draw.
It was mentioned that we can't move the booths any further as they would move the booths up
the hill. JV stated that we should keep the fair smaller and let the show look more crowded.
It was commented that the entertainment was too far forward, near the entrance to the fair.
That was only for one group. It was noted for next year.
Carnival: Paulette Greenberg -
Paulette stated that the volunteers loved their buttons.
She said that this year she had handicapped people in booth. One worked out well, the other
worked a short shift.
The carnival did not do as well because of the poor weather.
JV thanked everyone for all the hard work. He said that there were no complaints about the
carnival.
Bill has the contract for next year and he recommends renewal of their contract.
JV wished to give thanks to Astro for their contribution for the Monday Morning Fun and
Food program.
Children's Expo: Paulette Greenberg
Paulette stated that the Children's Expo did not do well.
She suggested that we do not do it again next year.
The Blow ups attracted kids so much that they and their families missed the booths.
The Kummon Center was not happy. The vendors felt that there was no interest in the booths.
The golf guy did not show because of an employee problem.
JV stated that if we had the Secretary of State booth for ID's and license renewal, it would
have been better.
Paulette stated that if we have the Children's Expo next year, that she will not run it.
Entertainment: Karen Danenberg—
Karen stated that everything went well. The BG Idol contest went over very well. The guy
who was to video tape the contest did not show up.
Everything else in regards to the entertainment went fine.
JV thanked Karen for all the hard work
Audio/Visual: Doug Primack/Adam Moodhe—
Doug stated that one band became angry about the generator problem and that they only
played 15 minutes. They still got paid for their performance.
Doug said that there were good acts in the beer tent this year.
The Jammin Daddies were not as good this year and did not go over well.
Fund Raisin: Sara Herman -
$28,400 was taken in this year. We were missing a big sponsor this year. CDW did not
provide any sponsorship.
Publicity: - Chantal Davidson - Not present
VIP Party: Pam Sorocco —Not present
Pam was not present but Adam Moodhe had her report. The VIP Party went pretty well.
They had more people than the previous year. Pam stated that the important issue was that the
the right people attended, that is the people who had donated.
JV stated that the committee members also enjoyed the food. He wished to thank
Dorfler's for their donation of the food.
Deerfield Bakery for a sheet cake.
Rosa's for the bread.
Lou Malnati's for the salad.
Sauer's Bakery for the cookies.
Long Grove Confectionary for the chocolate.
Confetti's for the use of their grill.
Bin 36 for the wine.
Dominick's for the fruit and veggie trays.
JV also wished to thank Bruce from Cartwheels who did the cooking, along with Pam's
husband. JV also thanked all the people and groups who donated food, flowers and etc.
Information Booth: Ken Lazar—
Ken stated that everything ran perfectly fine in the information booth.
The ATM worked all weekend and it worked very well. There was $21,000 withdrawn from
that ATM machine over the weekend.
Village Liaison: Bill Brimm—
JV stated that Bill did a good job of monitoring the money flow from the carnival during the
weekend.
Joe made motions to adjourn the meeting.
The meeting was adjourned at 7:55.
