2004-02-03 - Buffalo Grove Days Committee - Minutes Board or Commission: ❑ Buffalo Grove Days Committee Document Type: ❑Agenda 0 Minutes Meeting Date: 02/03/2004 Type of Meeting: ❑ Regular Meeting BG Days Committee Meeting February 3, 2004 Sandi Carothers, Debra Jess, Rhonda Norman, Lori Czarnicki, Ron Jess, Jim Pawlak, Karen Danenberg, Tom Johns, Joan Pawlak, Chantal Davidson, Nikki Lee, Chuck Posniak, Ron Greco, Mary Libby, Doug Primack, Paulette Greenberg, Mike Millett, Jane Primack, Sara Herman, Adam Moodhe, Denise Rhine, Howard Hoffman, Hal Norman, JV Springman, The meeting was called to order at 7:00 PM. Chairman's Report: JV announced that Audrey Klebecka passed away last Thursday. There are two cards for the committee members to sign for Kerry Klebecka and for Pam Sorocco, committee members and family of Audrey. JV stated that he and Tom are back to be chairpersons for this year. The dates of the festival this are September 2-6. JV stated that the bands will cost more this year. We need to decide if we need to increase the budget entirely or cut back elsewhere in the Festival budget. Tom stated that we already have the contracts for the food tent at the same price as last year. Tom questioned who we will be working with in Public Works. Ray Rigsby retired from the Public Works department last year. Mary Libby stated that Brett Robinson will be taking Ray's place on the committee. Rick Kuhl will be assisting him. JV talked to Troy who reported that they are negotiating for the fireworks. Police: Mike Millett— Mike will be replacing Jim Newton on the committee. Mike has no report. Park District: Ryan Risinger - Not present Parade: Joe Tenerelli - Not present Mobile Com: Roger Remblake - Not present Fun and Food: Rick Kahen - Rick e-mailed Jane that he would be unable to attend the meeting tonight but he will be participating again this year. JV stated that he believed the plan would be to try to get the basketball game back again this year. We would like to move the game to another site, as we want to get more people to watch the game. Fire Department: Troy Shannon - Not present Public Works: Brett Robinson/Rick Kuhl - Not present Trustee Liaison: DeAnn Glover—Not present DeAnn e-mailed Jane that she would not be able to attend tonight's meeting. Chamber: Ron Jess and Sara Herman - Sara stated that there is nothing new at this time. Sara stated that she has talked to Stu Cohen from Lou Malinati's, who expressed that his restaurant teams up with a not-for-profit for one day of the Schaumberg festival. He stated that it is very successful, providing good news and media coverage. The kids assist the restaurant, and Lou's personal does the cooking. The restaurant gives the not-for-profit 10-15% of the profits for the day. Sara suggested that that might be a possibility for Monday. JV has reservations due to promoting the Carnival on Monday. The food tent is closed from 10 to 12:30 due to the Fun and Food Program. If we choose to go with this program, we will have to restructure the food tent for that day. Sara stated that they might put names in the hat or let the restaurant chose who would work with them that day. It was felt that it should be a not-for-profit that is not represented over the weekend. It was stated that if a not-for-profit has a booth for the weekend, they could not participate with Lou. It was also stated that the not-for-profit should be within the Village. Karen suggested the opportunity be offered to the schools for the children of Buffalo Grove. She also suggested that we tie it into the D.A.R.E. program. JV stated that it is worth further discussion. Sara also questioned about multiple vendors that wanted to serve ice cream and subs. Sara asked about how to decide who gets to serve what. She might possibly use either the first right of refusal or drop names in a hat like the pizza vendor is chosen. . Food Tent: - No report Setup/Take down: — Arts and Crafts: Nikki Lee— No report Carnival: Paulette Greenberg/Debbi Jess Paulette stated that the contract with Astro has been signed. Paulette said that Astro has purchased new rides but she does not know what we will be getting. Entertainment: Karen Danenberg— Karen asked if we want an annual BG Idol contest. Karen stated that she needs help with the Idol program this year. Those interested in helping her are to contact her. She said that she has been talking to the different booking agencies. Sara has also provided names of local bands. Karen said that she is just beginning the work to schedule the entertainment.. She is up for any ideas from the committee, but money is the issue. She said that the beer tent will have the same caliber of entertainment. If we get a big name for the main stage, we will have to scale back on Friday and Sunday. Karen stated that we definitely need a warm up for Saturday night. She may go down to one band for Friday and Sunday. She wants a popular band as the lead in for the fireworks on Sunday. Audio/Visual: Doug Primack/Adam Moodhe— No report Corporate Sponsorship Sara Herman - Sara stated that we already have a donation from Wal-Mart. Publicity: Chantal Davidson - Chantal states that she could use help to write the articles for the releases and any other help with Publicity. VIP Party: Pam Soracco —Not present JV stated that he knew that there were people interested in working on this sub-committee this year. JV wants to talk about how it is going to work this year. This is scheduled for later discussion. Information Booth: Ken Lazar—Not present It was noted that there were no problems with staffing the information booth last year. JV stated that we will talk about the information booth at a later meeting. Village Liaison: Bill Brimm—Not present Debbi asked if the new shirts are still on line for this year. JV stated that we were told last year that we would get new shirts. He still hopes to talk to Bill Brimm about the new shirts for this year. The next meeting will be the second Tuesday of March at 7:00 at the Village Hall. Adam Moodhe made the motion to adjourn The meeting was adjourned at 8:15 Respectfully submitted.
