The meeting was called to order at 7:10 PM.
Chairman's Report:
JV stated that this is the first month where there are two meetings. Tom will not be here
because of the SBC strike.
June 12 is the walk for cancer. JV asked if there was any desire to have a BG Days team.
There appeared to be no interest at this time. JV stated that either way, people should go. It is
a very moving experience. The walk goes all night long, with a special ceremony at dusk,
lighting candles for people with cancer.
JV stated that it has been brought to his attention that we could run a food drive at BG Days.
No perishable goods. Items received could be distributed to area food pantries. Pam
mentioned about needing someone to responsible for removing items from the collection box
each night. JV stated that he and his daughter would be responsible for it. We would need to
talk to public works about it.
We have been approved to get new shirts this year. JV wants feedback about changing the
style, possibly changing to T-shirts. It was stated that golf shirts are hard to find in women's
sizes. Pam asked if there will be a new color. JV wants everyone to think about it and bring it
up next meeting. Some colors are already taken: The Arts Commission is yellow. The Village
Staff is black. Red is the Disabilities Commission. Mary suggested that we need something on
the back like the word "Staff'. JV said that the more you put on the shirts, the more expensive
they will be. Sara brought up that there are two people on the committee in the business of
selling shirts. She asked if those people can bid on the job. After a discussion, it was
determined that since it is an open bid, there is no problem or conflict of interest. Those
committee members can bid on the order, if they wish.
JV stated that we are considering two styles of shirts, golf shirts and T-shirts. Paulette stated
that we need the word staff on the back to make people more identifiable to festival goers. It
was mentioned that the good thing about the present color is that no one uses it and it easy to
pick people out in a crowd. JV stated that next week, we will try to narrow it down. By June
22, we need to have a decision.
JV also stated that if you are a new committee member this year, you need a name tag. New
members are to come to him regarding this.
Police: Mike Millett- Not present
Park District: Ryan Risinger - Not present
Parade: Joe Tenerelli - Not present
Mobile Com: Roger Remblake - Not present
Fun and Food: Rick Kahen -
Per JV, Rick is not able to be here but he has no report.
Fire Department: Troy Shannon - Not present
Public Works; Brett Robinson/Rick Kuhl - Not present
Trustee Liaison: DeAnn Glover - Not present
Chamber: Ron Jess and Sara Herman -
Sara states that she has one more restaurant to get approved. Culver's restaurant wishes to
serve cheese curds, onion rings, a chicken fillet or pork tenderloin sandwich, and a garden
salad. eScape serves a chicken sandwich so Culver's was approved with the pork tenderloin
sandwich, not the chicken. Sara will approach them for the pork sandwich.
Captain Nemo is not coming back this year.
The letters have been sent and returned for all restaurants in the village who participated last
year. The letters have now been sent out to all restaurants in the village. If no one responds,
Sara will go to the three restaurants from last year which are outside the village. These
include Stoney River, I Am Siam, and Buca di Beppo.
Two restaurants outside the village have approached Sara about participating. Rosati's pizza
in Wheeling wishes to offer pizza by the teen stage this year. Sara stated that there was only
one pizza restaurant in the lottery for the thin crust pizza.
Food Tent: Steve Shultz -
Steve states that he has 11 not-for-profit groups committed. He has 4 returned applications.
His letter went out May 10, with a due date back by June 4. Steve has made some calls and
everyone wishes to return except two, who he was not able to reach. One is the Crohn's
Disease and Colitis organization that do the lemon shake ups.
The Girl Scouts will be back to run the roasted corn booth again this year. .
A question was raised about the Boy Scouts and their soda. In the last three years, they have
sold Coke products versus Pepsi. The Boy Scouts chose their soda products by what they can
get the best price on. Pepsi was interested in giving to the festival last year, but we could not
guarantee that Pepsi products would be sold exclusively. It was suggested that Pepsi might
offer to sell the soda to the boy scouts directly. The Boy Scouts could get a better price and
will be willing to sell only Pepsi products.
Setup/Take down: —
Every one knows they are on this committee.
Arts and Crafts: Nikki Lee -
Nikki states that everything is running smoothly. She has 10 applicants which is normal for
now. Nikki states that the guy who did the temporary tattoos wants to come back again this
year. Nikki had told him no. He asked for a committee vote about coming back. The
Committee voted not to let him back again this year. Nikki states that she is shooting for
60-65 booths total for the Craft Fair.
JV noted that the airbrush guy needs a better place for more business. The problem is that he
has a truck which needs to be at the back of the fair.
Carnival: Paulette Greenberg - No report
Kidz Bizz: Nikki Lee - No report
Entertainment: Karen Danenberg—Not present
JV stated that he thought Karen has booked most of the acts.
Audio/Visual: Doug Primack/Adam Moodhe—No report
Corporate Sponsorship Sara Herman -
Sara states that the pledges and money continue to come in.
PublicityL Penni Jess -
The Village newsletter deadline is coming up. The deadline is June 7 for any articles. Penni
states that she needs a small blurb from all of the subcommittees. These need be given to her
by June 1. She requests that everyone e-mail's the articles to pmjessgsiu.edu. Penni wants to
focus on areas that village residents do not think about as much, like the Arts and Crafts Fair,
the Business Fair, and the Kidz Bizz.
Penni stated that she will also start contacting the newspaper this week. She will talk to Karen
about needing things that are solidified in regards to the entertainment. Karen has some signed
contracts. She will also send an e-mail to Joe about the parade. He probably does not have
anything yet. There is no official announcement in regards to Grand Marshal as of yet.
VIP Party: Pam Soracco —
Pam talked to Dorfler's. They will do the skirts steak and potato again this year. Pam will get
the rest of the food donated as she did last year. Dorfler's is doing the meal for less this year.
If we wish to book Bruce, the cook from last year, for this year, he needs to know this next
week. JV stated that we will have an answer by the 8th. JV also wants to start with a list of
who donated food last year. JV instructed Pam to talk to Lynn over at the Chamber to be able
to finalize the donated food in the next few weeks. JV instructed Pam to be ready for
discussion regarding the food on June 8th. At that time, we will vote on the food. Steaks and
potatoes will be the main course foods with donations for the rest.
The VIP party will be given on Friday night instead of Sunday this year. The entertainment
starts at 7:00. The party will probably run from 5:30-7:30. The location will to be determined
at a later meeting. We will be using the same size tent as last year.
JV stated that 50% of the field will be lost to a new parking lot at St. Mary's. The play ground
will be moved elsewhere. The goal posts will be shifted down field.
JV stated that we have a verbal agreement from St. Mary's that we can use the field.
Plans for the party will be settled June 8th.
Information Booth: Ken Lazar—Not present.
Village Liaison: Bill Brimm—Not present
JV stated that the next meeting will be June 8th. That meeting will be too late to get
publicity articles to Penni, so please get the articles/information to her.
Jane wished to give congratulations to Mary and Adam for getting married.
Steve made a motion to adjourn the meeting. Adam seconded the motion.
The meeting was adjourned at 7:35.
Respectfully submitted,
Jane Primack
