Chairman's Report: Tom has no report JV has no report JV stated that he is working on getting bids and prices for shirts. Police: Mike Millett- Not present Mike e-mailed his report to Jane. Mike reported that Dean Schultz and Grimm are committed to the demonstration as last year. Dean is afraid that he will not be able to bring Grimm to the Monday AM disabilities event because too many do not understand that it is dangerous to pet Grimm. Mike spoke to Sergeant Steve Haisley who stated that as always the police department will be involved in the Monday morning event and will probably have the McGruff costume manned and ready for picture taking, etc. Mike reported that the BG police crime prevention unit was approached by a private organization who wanted to donate fingerprinting kits to the BG Days committee or the police department. They thought that"we" might want to print children at the festival. The police told them no and explained that Arlington Toyota was providing this service. Mike reported that Dean Schultz has signed his form for his demonstration and Mike will deliver it to the next meeting. Mike questioned if the wheelchair basketball team will be coming this year, and if so, where they will perform. It matters because of the positioning of the traffic horses on Sunday night. He can discuss this information at the next meeting. Park District: Ryan Risinger - Rick Kahen received an e-mail report from Ryan. Ryan reports that the Park District is still looking at providing their usual schedule of activities. The climbing Wall will be in the same location as in years past. The exact days and times are yet to be decided The Ultimate Athlete Competition will be at the Emmerich East Park, in the open area and the baseball diamond on Saturday morning. The BG Stampede will begin at the BG Fitness Center on Sunday morning. The performing Arts Showcase will be on the Main Stage on Saturday from 1-2 PM. The details are being worked out with Karen. Parade: Joe Tenerelli - Not present Mobile Com: Roger Remblake - No report Fun and Food: Rick Kahen - Rick stated that the wheelchair basketball team is coming. The game is set for Monday at 1:00, in an area to be determined. Rick stated that, hopefully, we can get the trustees and mayor to play. Rick hopes to set up near the food tent, but it has to be a flat area with no sewer drains, due to the wheelchairs. Rick stated that Hostess will be donating twinkles for the kids on Monday. Fire Department: Troy Shannon - Not present Public Works; Brett Robinson/Rick Kuhl - Rick stated that pretty much everything is set. Rick wants to know when the vendor meeting is. Sara stated that it is the second Tuesday meeting in August at 7 at the chamber building. JV stated that it would be best to do it the third Tuesday, so that it would be closer to the festival. The Business Fair Meeting starts at 6:00. The restaurant vendors meeting will be at 7:00. The Health Department has to be present for the restaurant vendors. Rick stated that they have the power and porta-potties lined up, but they still need the trailer for back of the main stage. Trustee Liaison: DeAnn Glover - DeAnn contacted the Village Tavern. As of July 1 st, it is under new ownership. DeAnn has to go and confirm space for the kick off and wrap-up parties. She recommended to anyone on the committee, who has a commitment from the Village Grill to contact Ken, the equity manager, about confirming anything they are doing for the festival. Sara stated that Lynne, at the Chamber, contacted them and they were all for their commitment to the festival. Chamber: Ron Jess and Sara Herman - Sara stated that she did not make it to the Chamber office prior to the meeting for the needed information. It was not faxed to her as she requested so she does not have any complete reports. Sara stated that she will have Buca de Beppo's menu for the next meeting. She said that we are two restaurants short on Thursday evening. Dominick's is not coming through for Thursday. So far, we have Outback, Little Italian, and Cartwheels. There will be no Uncle Freddy's. Karen asked about getting Culver's for Thursday. Sara is unsure if there are any new donations for the VIP party. She also stated that there are spaces available in the business fair. JV asked if a van will be donated again this year. Sara said that last year it was donated by Arlington Toyota. JV stated that we need to give them a list of people who will drive it. Food Tent: Steve Shultz - No report Setup/Take down: —No report Arts and Crafts: Nikki Lee—Not present Nikki was not present but e-mailed her report to Jane. Nikki reported that she had a man contact her who is the president of the MatchBox Car Association and was interested in selling at the show. She would like to have him in order to have something different and it would be a nice draw, since they will be letting their members know where they will be. A thought he had was to have a BG Days car made up to sell at the show as a collectible, which Nikki thought would be a good idea, except for the cost. She thought that maybe we could get one of the Businesses to sponsor a car for us. Then they could give them out and we can sell them at the show as a limited edition. Maybe this Matchbox guy will sell them at his booth and we get the profits. Nikki felt that it was something to think about and to discuss at a later meeting. As for letting him into the show, she reported that it is comparable to the embroidery person we have each year, not handmade, but good draw and not in competition with any handmade people. Debbie is concerned that it is not a craft. Karen wished for Nikki to bring in a copy of her booth list to the next meeting to see how many booths are not handmade crafts. JV stated that he wanted to table the issue and he would talk to Nikki later. It was suggested that we put the Matchbox guy in the Kidz Bizz. Chantal stated that she had talked to Nikki, who confirmed that the airbrushing guy is coming back again this year.. Carnival: Paulette Greenberg - Paulette stated that the posters are here. She changed the color of the posters to white with red lettering. Astro has a list of rides but has not decided which ones we are getting this year. Sara stated that is would be good to get the posters up at Town Center for the Art Festival this weekend. Kidz Bizz: Nikki Lee—Not present Nikki was not present. She e-mailed her report to Jane. Nikki reported that she still only has 3 spaces sold. She will be doing more of a mailing this week to several businesses that she found on a Chicago area website that lists different things to do. Paulette stated that Toys R Us has someone as a special event coordinator for their business. They came to the Prospect Heights festival and brought their jeeps for the kids to ride for no charge. Paulette suggested that maybe we could get them to sponsor the whole Kidz Bizz. Paulette said she would go and talk to them about participating in the festival. Entertainment: Karen Danenberg— Karen states that the entertainment is rolling along. She has run into one glitch. Last year, we had a good turnout for entries in the BG Idol contest. As of today, Karen has only 2 tapes. She states that she has done advertising and posted information on the marquis outside of Village Hall. Karen states that if no more tapes are received, she will pull the plug on BG Idol contest by the end of the week. Karen states that she will have entertainment that afternoon, but it will be another kids program. She feels that entries have dropped since she raised the age group. Last year, lots of the kids who were under this year's age limit sent in tapes. She said that they were too young to get up on the stage to perform. She will let the committee know what happens at the next meeting. Audio/Visual: Doug Primack/Adam Moodhe— Doug stated that we will be piping the fireworks music to the Village Grill again this year, but he plans on setting up speakers on the edge of the golf course so more people can hear it. He asked if they can stop any entertainment in the grill for the fireworks. Karen will have the Village Singers to the Village Green on Sunday and will also need the sound for the fireworks piped in over there. Corporate Sponsorship Sara Herman - Sara stated that they continue to raise money, but we are still under our amount for last year. PublicityL Penni Jess - Penni stated that the articles are to be e-mailed to Phil this week. The drop-dead deadline is July 24th. She requests that everyone send a copy of their articles to her also. . Penni has been playing phone tag with the Pioneer Press and the Daily Herald. She will keep at it this next week. Penni also said that she needs a list of not-for-profits for the newsletter. She also wants a list of when events begin and end. VIP Party: Pam Soracco —Not present Pam was absent but Mary had her report. Pam is looking for a list of companies that have donated food or products to the VIP party. She has a list of those she arranged, but not the ones that Sara or the Chamber arranged, Pam noted that the correspondence for the VIP party does not need to be sent out yet, but we need to be working on the invite list, getting the letter and tickets ready. The end of July is 2 weeks away when all of this needs to be sent out. Pam is also requesting a letter that the Chamber sent out. Sara was to get her a copy of the letter, the list of the businesses it went to, and what donations have already come in. She will be following up with those people to arrange pickup or delivery of their sponsored product. Sara will be getting the information from Lynne about the donations for the VIP party Information Booth: Ken Lazar—Not present Village Liaison: Bill Brimm—Not present Tom will call the guy about the cash station. Last year we used Fifth Third bank. JV stated that we are getting closer and it has been a very long year. He also requested that if anyone had information about the T-shirts, to see him after the meeting. Mary made motion to adjourn. Doug seconded the motion. The meeting was adjourned at 7:45.
