The meeting was called to order at 7:08 PM.
Chairman's Report:
JV apologized for not being here last month.
Police: Mike Millett-
Mike asked JV and Tom if they received the entails he sent.
Karen had asked about adding a DJ at the Teen Stage after the bands on Friday and Saturday
night from 10-11 and to add a DJ on Sunday from 8-10. It was not approved by the police chief.
The Teen Stage entertainment will end at 10, Friday and Saturday and there will be no
entertainment there on Sunday.
Mike stated that the parking sticker/permit issue is a good idea and the police are working on it.
They hope to streamline the permit issue system.
Doug asked about the Teen Stage and the issues of getting the bands and their equipment in and
out of the stage area. In the past, the DJ always got there before the audience arrived and left
after the audience had left. This year there could be bands coming and going throughout the
evening. Karen stated that all bands are to be here at 6:30, before the crowds gather.
Park District: Terri Ebner—
Terri stated that she checked on the climbing wall. The Park District will not be sponsoring the
climbing wall this year. She also stated that if Astro does the climbing wall, they will need a
special rider on their insurance. Paulette stated that they already have that.
Terri stated that the summer brochure for the Park District came out and the Park District
information for BG days was in there.

Fun and Food: Rick Kahen—
Rick was not present but emailed his report to JV.
McDonalds will give us some items for the Fun and Food program.

Chamber: Sara Herman—
Sara stated that she has the first mailing response from the restaurants and wants to get approval
for them. She has room for a total of 16 restaurants. The ones she will be discussing tonight are
all BG restaurants from last year.

Sara has now sent a mailing out to all restaurants in Buffalo Grove.
After that, she will open it up to restaurants outside BG, who have previously participated.
Finally, she will offer participation to all restaurants in the area.
Rosati's did the thin crust pizza last year. It was decided that she will go with the first vendor to
respond for the thin crust pizza.
Last year we had to go outside the village to get a thin crust pizza vendor.
The ice cream issue was the next discussion. It was decided not to allow Kaleidooscoop to serve
their Dove Bar or GrillWorks to serve their Mini Melts, due to conflict with offerings from other
restaurants. Ice cream will be shut out for future restaurants with the present changes
Adam questioned about 2 salads vendors. JV stated that it was different salads from each. The
two salad vendors were approved.
Pam made a motion to accept the restaurants with the stated changes. Karen seconded the
motion. Sara stated that she needs 5 more restaurants.
JV asked about restaurants that have been here for years but are outside the village.
Buca de Beppo has been with us for 8 years. Stony River has been with us 5. I Am Siam has
also been with us a long time. Sara will contact them right away about participating in the Food
Tent.
Sara stated that she may offer Rosati's Pizza the Teen Stage for selling pizza on Friday and
Saturday.
Sara wants the committee to advise her regarding going outside the village for restaurants.
Usually restaurants come to the Chamber to get into the Food Tent. Contacting restaurants
outside of Buffalo Grove who were here in previous years may cause a conflict if a BG
restaurant later responds with a request to participate. The chamber will set a drop dead date for
all restaurants in BG to respond to participating in the Food Tent. Sara will do a broadcast fax
with a May 25 deadline. Then, she will call Buca de Beppo, I Am Siam, and Stoney River.
Pam stated that Dorfler's expressed an interest in coming in and serving in the Food Tent, but
they are not a restaurant. They want to possibly serve ribs and skirt steaks. JV stated that they
will have to wait until after all the other restaurants have been invited, because it is not a
restaurant. Mary felt it would be great to have Dorfler's there because they help so much with
the VIP Party. It was decided that we will invite Dorfler's now, to participate in the Food Tent.
Corporate Sponsorship Sara Herman—
Sara stated that they have raised some funds for the festival and are progressing with the
corporate sponsorship.
JV suggested starting the Friends of the Festival sponsorship earlier this year. Sara will send
Mary an e-mail about putting information regarding the Friends of the Festival on Channel 6. JV
suggested having the Friends of the Festival support the Monday program. It will be referred as
a family day. Ron wants to let everyone know that it is a non-alcoholic day. The idea will be
tabled for a later discussion. Pam asked if the people give the Friends of the Festival $100, will
they receive tickets to the VIP party. Sara said that the party is corporate and she does not feel it
is appropriate for Friends of the Family donors to be invited to the party. The committee agreed.
Sara said that the Business Fair is progressing well. She has 12 out of 20 booths filled.
Food Tent: Steve Shultz—
The letters for the not-for-profits will go out soon. Steve stated that he received questions from
the Girl Scouts about the possibility of selling nachos and pretzels. Steve said that no one else is
doing those items. The additions for the Girl Scouts were approved.
JCYS wants to get into the Food Tent this year as a not-for-profit. Steve said that he has a
potential opening for a not-for-profit vendor.
Steve also stated that the Boy Scouts want 2 booths again this year.
Setup/Take down: —
JV stated that take down and setup has been decided. Everyone on the committee has already
volunteered.
Arts and Crafts: Jim and Joan Pawlak-
Jim stated that he already has 18 booths signed up. Jim questioned about the e-mail he
forwarded in regards to the miniature car race track. Jim stated that they would need a space
1Ox15 or 20 feet. Karen noted that we said no to the same group last year. JV stated that the
problem is space and electricity. Karen stated that they make a lot of money with their booth,
and will not give anything back to the committee. JV asked for Jim to get more information for
the meeting next month.
JV asked if Jim wants a sign for the Craft Area. Jim stated that he will probably want 2. JV
instructed Jim to talk to Dave about the signage.
BG Bakers: Paulette Greenberg -
Paulette stated that she is still waiting for sponsorship. She thought that either Deerfield's or
Sauer's Bakeries might be possibilities.
Paulette stated that the cakes would be made in the contestants' home kitchens and brought in to
the former VIP tent for the contest.
There will be three categories, Junior, Teen, and Adult. Both men and women from the BG Area
are eligible to enter.
Carnival: Paulette Greenberg -
Paulette stated that Astro will bring in the climbing wall. They will use the same area as last
year, by Mobile Com, for the wall. Paulette stated that Sandy has a person with the ropes to
protect the climbers.
Paulette stated that she will not know about which rides we are getting until the end of August.
She stated that the contract with Astro was signed in October.
Entertainment: Karen Danenberg—
Karen stated that the entertainment is getting underway.
So far, the Teen Stage has 3 bands on Friday and 1 band on Saturday.
Benny the Bull and Staley the Chicago Bear will be here for the Walk Arounds, as will be Shriek
and Strawberry Shortcake. She also has various other walk around characters coming.
BG Idol thoughts: We need to work at it or replace it with something else. She may change it to
a talent show. By making it not so all inclusive of singing, she hopes to get more and better acts.
This will be for kids ages 10-17, only. The signs and logo will not change. Another idea she
had was a look-alike contest, but she felt it will not work.

Audio/Visual: Doug Primack/Adam Moodhe—
Doug stated that they are in the process of getting the contracts signed. We will be using the
same companies as last year: Diversified Audio, for the sound and the lighting and Super Stage
will provide the stages. JV asked that Dave take care of the dressing room trailer.
JV is asking for anyone who can help with audio to see Karen and Doug. This includes people
willing to move equipment.
Publicity: Penni Jess -
Penni will be out of school soon and at the meeting next month.
Glow Necklaces: Lori Hackett
Lori has ordered the same amount of Glow Necklaces as last year.
Karen suggested Lori sell the single blinky lights. Lori will check into it.
VIP Party: Pam Soracco—
Pam has talked to Bruce, who will be willing to come and cook again this year. Pam is asking if
the village has some grills. Bruce is no longer with Cartwheels. Bruce has been bringing the
grills the last 2 years. Before that, they were borrowed from the BGRA group. JV suggested
that they check with the Baseball league.
Sara stated that she needs the time for the party. Pam stated that the VIP Party will be on Friday
night from 6:00 to 8:00. Food will be served during that time. Participants can come early for
drinks and stay later if they wish.
There is a new person from the Chamber who is interested in working with Pam on the party.
Information Booth: Ken Lazar—
Ken will be at the information booth.
Tom is working on the ATM for the Information Booth. The Carnival had a better ATM last
year than years before.
Village Liaison: Bill Brimm—not present
Leisa Niemotka has taken over for Phil Versten, who is gone. The Village Newsletter will be
back this year.
JV wanted to thank everyone for taking the time to come to the meeting. He stated that the next
meeting, Tom will talk more.
Ron Jess made a motion to adjourn. Jim Pawlak seconded the motion.
The meeting was adjourned at 8:15.
