Chairman's Report: Karen stated that JV was stuck on the Edens. Tom is out of town on vacation. Karen is running the meeting tonight. Karen stated that we have the first copy of the village newsletter. Everyone is to look for errors and will make corrections. It goes to press early tomorrow. Leisa did a great job this year. Police: Mike Millett— Mike stated that he will have a meeting with the Fire Department on August 22. Actually, Jim will have the meeting as Mike will be on vacation. Mike stated that the Police Department wants to be in sync with the Fire Department. They especially want to coordinate for the parade. Karen asked when we can expect the parking passes. She stated that the entertainers' passes will be mailed out at the beginning of August. The crafters will also need them soon. Mike will take care of it. August 16 will be the meeting with the Chamber with the restaurants. Rick asked about signage for the handicapped parking. Mike stated that there is a problem that the Village cannot add signs to county roads. Mike wishes to increase the knowledge of ground personnel and volunteers in regards to the handicapped parking areas available. He wishes to have residents flag down a uniform officer who will have brochures and directions for the parking. Rick asked about signs on the barricades at Raupp. Mike wants residents to ask someone for help and information. Karen asked about staffing for the Teen Stage. Mike stated that there will be no SWAT team. He said that they need to be more subtle about police presence. He wishes to focus more manpower on the Teen Stage on Friday and Saturday nights. Mike stated that he only has X number of personnel at his disposal and plans on moving them around campus as needed. He can move them around quickly with golf carts. Karen has concerns this year with the Teen Stage due to the live bands. All the Teen Stage entertainment will be over by 10:00 PM. Karen is concerned about the coverage at the Teen Stage. Jim asked about how many acts were scheduled during the weekend. Karen stated that there are 37 acts all weekend. The police will print out 60 passes for parking to start with. Entertainment gets different passes than crafters. The Teen Stage acts will park behind the Teen Stage and start setting up at 6:30. They will be there for the night and cannot get out until all the bands are done. Park District: Terri Ebner—Not present Parade: Joe Tenerelli -Not present Karen stated that the Parade Marshal is in the process of being selected. A few are being considered and the decision will be made soon. Mobile Com: Roger Remblake - Roger put in a request for a golf cart for the parade. He is all set with the radios, including 3 headsets. Karen needs one. Fun and Food: Rick Kahen - Rick stated that they are good to go. The food is confirmed. Tomorrow, he will confirm how the wheelchair basketball will be run and will report next week. The DJ will stop the music during the game. Rick stated that they will start the carnival at 10:00 and tell people that the food will not be ready until 12:00. Fire Department: George Michehl -Not present Public Works: Dave HaismaBrett Robinson Dave stated that the buses need confirmation yet. We will have a trailer for the Main Stage. The Porta Potties are lined up. He will talk to Jim about the signage for the crafters. Trustee Liaison: DeAnn Glover—Not present Chamber: Sara Herman—Not present Karen stated that she understands that we do not have the logos yet for some of the restaurants for the newsletter. Corporate Sponsorship Sara Herman—Not present Food Tent: Steve Shultz -Not present Setup/Take down: — We will set up and we will take down Arts and Crafts: Jim Pawlak/Joan Pawlak - Jim stated that he has 51 spaces filled. He has 6 more applications coming in the mail. Jim asked who is in charge of the courtesy van. Jim found out that he is. He stated that he will need drivers. Dessert Challenge: Paulette Greenberg - Paulette stated that she hopes it will happen. She is running an ad in the Countryside this week and the Daily Herald next week. She also stated that she has plastered churches, synagogues, schools, and grocery stores with the applications for the contest. She has not received any applications at this time. JV arrived at the meeting. Carnival: Paulette Greenberg - Paulette states that she has a list of 18 rides the will be at the carnival this year. We will not have a Tilt-a-Whirl this year but Paulette said that we get 5 fast rides this year. No Bumper Cars. The Ferris wheel is coming back. Roger asked Paulette about getting the cooling tent again, this year. Paulette felt that that would be no problem. Roger also asked about getting another cooling tent for the other side of the festival. Karen asked about getting one back by the Main stage. Dave stated that the problem with the cooling tent on the north side of Lake Cook Road is getting the electricity and water supply to the tent. Karen asked if they can run it from the Public Works building. Dave said that would be difficult. Paulette reviewed the new procedure for tickets this year. Paulette then asked if there are any questions about the new procedure for the tickets. There were not questions. Entertainment: Karen Danenberg— Karen stated that Alex and Sweet Pea will be here this year. The canine unit is coming back, but they will be in the craft area. The entertainment schedule is finalized. At the Teen Stage, there will be 2 bands Friday night and 3 on Saturday. Karen said that we will have more entertainment in the craft area than she planned. She asked about getting 2 risers in the craft area that need to be there constantly during the 3 hours. Karen said that all she needs is three strong guys to move them. Doug stated that they have 4 at the Beer Tent stage. Karen wants 2 extra risers, the ones that are 6 inches off the ground. She also wants them with carpet. Adam is to take care of the issue. Karen stated that everything else is set in place and ready to go. She said that there will be a BG Idol contest and she will have 7 contestants. Karen said that Rhonda is kind enough to help with the contest. The Main Stage line up is: Friday night will be Infinity. Saturday night will be American English. Sunday will be John Records Landecker and the Legends. Audio/Visual: Doug Primack/Adam Moodhe— Adam stated that we will have a sync system for the fireworks music to broadcast from the main stage to the beer tent, golf course clubhouse, and Rotary Green. Adam spoke with Carman at the golf course and we have an OK to set up a small sound system in back of the clubhouse for the fireworks music. In regards to the Teen Stage, they need help to move equipment. JV noted that we will have 2 gators to help move equipment. JV asked about the Teen Stage sound. Doug said all will be ready. Publicity: Penni Jess - Penni stated that the newsletter is almost ready. She has a number of questions. She does not remember discussing a number of the restaurants that the Chamber provided for the newsletter. One is the Brother's Barbecue. JV stated they came in yesterday. Another is BG Cycle and Ice cream for Thursday night. JV stated that that came in 8 days ago. JV stated that they wanted to come in all weekend, but there was no room. We will also have Chicago Classics on Thursday night. JV thinks that they be a hot dog and hamburger place. We have the BG Cycle and Ice Cream, Chicago Classics, and Little Italian for Thursday night. Penni is still working on getting more news paper coverage on the Arts and Craft Show. Penni stated that she is still missing a couple of logos. Karen will e-mail Chocolate Marvels logo, sponsor of the Dessert Challenge, to Lisa. Penni is also missing Charter One and Condell's logos. Penni stated that we are getting new maps this year. The Planning Department will be doing the maps. Penni stated that she also needed the shuttle bus times. Thursday Bingo starts at 6:30 PM and ends at 10:30 PM. We will start the buses at 6:00 PM and run until 11:30 PM. The Carnival shuts down at 10:30 PM on Thursday. Dave stated that they run the same bus schedule on Thursday as the rest of the weekend except with fewer buses. Friday the entertainment ends at midnight at the beer tent. The buses will run on Friday from 6 PM to 12 midnight. Saturday and Sunday, the last bus leaves at 12. JV stated that whatever schedule that we ran last year, we will run this year. Penni questioned about how the Daily Herald gets paid. JV said that with them, we do not pay for the insert. That is their insert and they do it as part of the paper, and ads pay for the insert. We provide the copy. Penni reiterated that she needs all changes to the newsletter by tonight. She will be sending the changes to the Daily Herald tomorrow afternoon. She needs to make the necessary changes tomorrow morning. She asked for e-mails by tonight. Penni questioned the sponsors for the Disability Program. She states that the Chamber only had 2 sponsors. Rick has more. JV stated to go with the sponsors that Rick has. Rick stated that the sponsors for the Disability program are International Profit Associates, the Rotary Club of Buffalo Grove, who are the two main sponsors, plus Dakota K Auto Repairs and the Fraternal Order of Police, Lodge 74. He also has Sunrise and Aim Business Printers as sponsors for the shuttles. Penni stated that that the Chamber keeps listing the baking contest as the Cake Bake Off. Paulette confirmed that it is the Dessert Challenge, sponsored by Chocolate Marvels. Karen has the logo and will e-mail it to Penni. Glow Necklaces: Lori Hackett Lori stated that all is set. They have enough necklaces and will also sell glow bracelets this year. VIP Party: Sharan Tash-Misholum —Not present Mary said that there is no report. Information Booth: Ken Lazar— Ken stated that there is no problem. He asked if there will be an emergency telephone at the booth. JV will call the guy tomorrow about the phones. If not, Ron is to call Friday if JV does not do it. Village Liaison: Bill Brimm— Bill stated that the posters are in the back of the room. Jim Pawlak will need copies of the front and back of the driver's licenses for the drivers of the van. JV asked who needs shirts. Allan needs an extra large shirt. JV has shirts and he will not order any more. New people will need shirts. JV stated that we have one more month to go. There are 5 more meetings before the festival. Everything is going well. JV also stated that on behalf of both Tom and himself, he wanted to thank to all the members of the committee for their hard work. JV also stated that on the last meeting of the year, he will be in Michigan with his daughter. JV also stated that if you are an area chair, you need to look over your sections in the newsletter. Penni will work to get more information about the Craft Fair. Paulette said that she ran into Nikki who stated she will be part of the committee and will be around to help with the Craft Show this year. She might fill in as driver if we need help. Mary made a motion to adjourn. Ken seconded the motion. The meeting was adjourned at 8:01.
