The meeting was called to order at 7:08PM.
Chairman's Report:
JV stated that we are down to 9 days before the festival. Wednesday the tents go up. Thursday
is Bingo Night. Thursday night the carnival begins. We will have 3 to 4 food vendors in the tent
with Bingo. The Beer Tent will be open Thursday night. Thursday after Bingo, everything has
to be moved and rearranged. Volunteers are needed.
There will be no softball game this year.
Police: Mike Millett—Not Present
Mike will not be at the meeting tonight but e-mailed his report to Jane.
Mike attended the Chamber meeting and delivered the parking permits. He also gave some
directions to the business fair people and the food vendors. Everyone seems organized and ready
to participate appropriately.
Dave and Mike fine tuned some barricade and sign issues. Dave is handling some special
parking issues for a couple of the food vendors. Mike wanted to say "Thanks Dave!".
The police staffing and scheduling is complete.
Mike organized the staging needs with the Fire Department for the parade.
Mike stated that he has asked Joe Tenerelli to contact Sgt. Scott Kristiansen with information
about what is the school marching band order in the parade. We need to know which buses will
need to pull out first from the dispersal area. I also asked Joe (in a voice mail)to advise if we
need to get a permit for Ernie's Towing, who always follows the police in the parade. They
carry a wrecked DUI car on a flat bed with a "don't drive drunk" message. Should they just
show up or is there a permit that can be faxed to Scott.
The Chamber(Thank you Mark!) came through with a hotel for Mike on Thursday, Friday, and
Saturday night.
Mike will be at next weeks meeting.
Park District: Terri Ebner—
No report
Karen noted that the Park District is loaning wireless mikes to the Entertainment committee the
for the BG Idol contest.
Parade: Joe Tenerelli -
Ken stated that everything has been mailed out and done. Dave stated that as of 3:30 there are
97 entries for the parade.
Karen asked about 2 convertibles needed for the parade. We need convertibles for the BG Idol
contestants.
Joe arrived at the meeting. He stated that Ernie's Towing has been taken care of
Joe said that he has about 85 groups for the parade.
Mobile Com: Roger Remblake -
Roger has no report. He wants to wait until next week to give his pitch.
Fun and Food: Rick Kahen -
Rick stated that he is ready to go. Dave has all the signs for"Closed for Private Party" done.
Rick said that he does not need any help at the carnival during the morning. He has the Boy
Scouts. He will need someone to go to Connie's and Outback on Monday to get the chicken
fingers and on Saturday to go to Dominick's for the drinks. Ron and Jane volunteered to go to
Dominick's. JV asked if Weiner Take All will bring the equipment to cook the hot dogs. Rick
stated yes. Rick stated that on Monday morning he will need 3-4 guys at 9:00 to take tables and
chairs across the street. He will also need the cage key for Monday morning. Bill will give the
key to Rick.
Rick stated that courtesy shuttle will take the people out onto the field to the music if they arrive
early enough. Otherwise, if too crowded, they will not take them down to the field. There are
too many chances of people getting hit by the carts to go into the crowded field.
Anyone wanting a ride back will have to wait until the end of the show for the ride.
JV stated that Dave will make a driveway at the outer fence for carts to move safely.
Rick has enough people driving the shuttle.
Fire Department: George Michehl
George has had personal contact with the fireworks group. They will set up 11:00 at the golf
course. George stated that there will be the paramedics on campus as usual. JV asked when we
will get the fire extinguishers and George replied Friday morning.
He will coordinate the inspection of the carnival after lunch Thursday. The Food Tent inspection
is on Friday.
Public Works: Dave HaismaBrett Robinson
Dave stated that he is all set. Jane asked Dave about signage for"No dogs allowed", into the
Food Tent. Dave stated that he will have 3 more signs about no dogs, skate boards, or roller
blades allowed. Only service dogs are allowed. A message indicating that no dogs allowed has
also been in the paper.
Trustee Liaison: DeAnn Glover—Not present
JV noted that next Tuesday, DeAnn will host the kickoff party at Connie's Club House.
Everyone is asked to give a $5 donation. We will have pizza, beer, soda, and wine after the
meeting. We will go straight over to Connie's and it will be on the patio.
Chamber: Sara Herman—Not present
Corporate Sponsorship Sara Herman—Not present
Karen stated that we have sponsors for the Beer Tent and the BG Idol contest. The sponsor is
Teamco in Buffalo Grove.
Bill Brimm noted that they have raised $29,500.
JV noted that if anyone wants to give to the Friends of the Fest, they need to write a check
tonight for their name to go up on the big board. It is a minimum $25 donation.
Food Tent: Steve Shultz -
Steve stated that everything is ready to go. He asked if there is a cleaning crew on Thursday
night. He suggested that if we borrow the street vacuums from Public Works, we make sure they
work before Thursday night.
Setup/Take down: —
JV stated that everyone is there on Thursday night. The tables have to be moved to be ready for
the Food Tent the next day.
Arts and Crafts: Jim Pawlak/Joan Pawlak-
Jim stated that as of today, they have 85 crafters. He is waiting on 3 more applications. Jim said
that they should hit 89 or 90 crafters total.
Jim had enough people to drive the shuttle van for the crafters.
Dessert Challenge: Paulette Greenberg -
Paulette stated the she has 20 people signed up. There will be an article in the Pioneer Press
Thursday. The reporter interviewed a number of people who entered the contest along with
Paulette. Paulette stated that she has the t-shirts and aprons. She was going for 24 contestants
total. The contest will be held in the VIP tent Saturday at 1:30.
Carnival: Paulette Greenberg -
Paulette stated that the ticket booth is all signed up. Debbi and Paulette will remind everyone of
the time they signed up for. Astro will move their equipment in Sunday night. They will be
coming from the state fair in Springfield.
Entertainment: Karen Danenberg—
Karen stated that the BG Idol contestants have been rehearsing every Wednesday night.
Adam asked about the Cover Gurl group. He said that Jessica, the groups lead singer, lost last
week in the show Rock Star - INXS. He suggested that we use the press that she will be here for
BG Days.
Karen stated that she needs to see Doug, Adam, Dan, Chuck, Steve, Dave, Hal and Ken after the
meeting. She needs to hand out their folders.
Karen stated that everything is set.
Audio/Visual: Doug Primack/Adam Moodhe—
Doug stated that everything is ready to go. Adam got a loaner for the wireless system for the
fireworks music. He tested it out and it reaches to the Village Green. Doug asked about access
to the main stage field. Tom stated that Tom Healy will build a ramp if needed.
Publicity: Penni Jess—Not Present
There is nothing per Debbie. Karen stated that ads will run this Thursday in the Pioneer Press.
Next week, the Pioneer Press and the Daily Herald will run ads.
Ron stated that Penni is looking forward to coming back to work with everyone at the festival.
Glow Necklaces: Lori Hackett-
Lori stated that the necklaces and bracelets are in. She stated that if anyone wants to assist in
selling them, to let her know. She was questioned what the age limit is for selling the necklaces
and bracelets is. She replied that they must be old enough to manage money. If anyone is one
interested in selling, to meet at the entrance of the field at 7:00 each night.
They will be selling on Friday, Saturday, and Sunday. She said that they only sell a few on
Thursday nights.
VIP Party: Sharan Tash-Misholum—Not present
JV stated that the tickets went out and they look good.
Information Booth: Ken Lazar—
Ken stated that he is all set.
Village Liaison: Bill Brimm—
Bill will be here all weekend. His job is to act as liaison between the committee, the Village, and
the trustees.
JV stated that the last meeting before the festival will be August 30. Next Thursday is Bingo.
Friday the Food Tent opens as 6:00 PM. When asked, JV stated that Bingo ends around 10:30 -
11. He said that it takes an hour to move everything around on Thursday night. Tear down of
the Food Tent on Monday begins around 4, depending on the weather. Sunday the ticket booth
at the carnival closes at 6. The rides stop at 6:30. Monday night, after the festival, between 6
and 6:30, Tom and JV throw a wrap up party. It gives everyone a chance to wind down at the
end.
Mo stated that, as in every year, before the parade, she will have libations set up in front of her
house for the parade marshals.
Tom stated that the St. Mary's youth group with be doing the paid parking in their parking lot on
Thursday night, Friday night, Saturday after the 4:30 mass, and Sunday after the last mass.
JV stated that if any one has any complaints direct them to Tom or JV, especially if they are
abusive or upset. Get a policeman, if needed, with abusive people. If they want to compliment
the committee, keep them for yourself.
JV discussed where Mobile Com is located and the link ups they perform. There will be a full
time medic and an ambulance at the festival.
JV wanted to thank everyone for volunteering at the festival. He wants to see smiles on
everyone faces. He highly recommends coming on Monday morning to see the kids at the Fun
and Food to show everyone why we do what we do at the festival.
Joe made a motion to adjourn. Howard seconded the motion.
The meeting was adjourned at 8:10.
