Chairman's Report: Tom stated that JV will not be with us tonight. Tom stated that the big day is 2 days away. He stated that on behalf of JV and himself, he wanted to thank everyone for all the work done thus far. He then said that is no comparison to what we will do over the weekend. Good weather is predicted, even on Monday. Tom said that it takes a lot of time, energy and sacrifice to put on an event such as this. After the meeting, everyone is to go to Connie's for a pre-festival party. Police: Mike Millett- Mike asked Jim for a lay out of the crafters. Mike also wanted to know where the tents will be for the fire department in the craft area. Jim will have the lay out for Mike. Jim is concerned about the mailbox near the church. The Fire Department will be bringing a pop up camper and Jim is finding the spot for it. Mike stated that there were complaints about the Stampede race last year from Hope Church parishioners. The 8:30 service was interrupted by the race. Mike asked the Park District to adjust the time of the race by 15 minutes. The Park District said no. Mike stated that no doubt he will receive a host of complaints from Hope Lutheran church, again, this year about the time of the race. Mike asked if there were written times at the golf course. The answer was yes. Mike stated that we need to make a decision about the Chocolate Kiss. They are entering the Chocolate Kiss as a unit in the parade and want to park it on the grounds during the festival. Mike said that we could park it at Church and Raupp. It would be moved for the fireworks. They want to sell t-shirts and chocolate from the unit to raise funds for children's charities. Mike said that it is mid RV size, but is not like a float. It is 25 feet long. Mike wants them to park at Church and Raupp. Tom suggested talking about it afterwards, with Joe, Mike and himself. Mike stated that the staffing is completed. All systems are go. Tom thanked the Police for all their hard work. Mike also stated that if someone needs to reach a committee member at the festival, tell them to call the Police Department non emergency number who will call Mobile Com, who will help find you. Mike stated that the Police are aware there will be no response to 911 calls for smoking on campus. They will respond to issues of the Park District employees explaining that no smoking is allowed on campus and if the Park District employee wants to have them to leave. Park District: Terri Ebner—Not present Parade: Joe Tenerelli - Joe stated that he is ready to roll. He has 85 units. He received the usual last minute rush of applicants. Joe stated that he wants to meet with the volunteers who want to be parade marshals after the meeting tonight. Mobile Com: Roger Remblake - Roger wished to give a course of Mobile Com for dummies tonight. Roger explained what Mobile Com does and how they act as liaison with the Fire and Police Departments. Roger stated that if you have a radio, to please use proper etiquette on the radios. Mobile Com is parked in front of Park District building. If a committee member is unsure if you should have radio, ask at the information booth. They will keep a radio by the Chamber Tent. In case of need to broadcast a message, contact Mobile Com. Keep it short and simple on the radios. If there are any lost children or lost parents, Mobile Com will put out the message. Keep your eyes peeled for the lost individual. If you find a parent or child, bring them to the nearest police person or to Mobile Com. Roger stated that our track time for lost individual is 1-2 minutes. Roger requested that if there is an incident while you are on site, please give a specific location and as much information as possible. At the Teen Stage, they want good communication. Roger said that you may have to keep the radio up close to your ear to hear what is going on while at the Teen Stage. The buses will be equipped with cell phones this year. Fun and Food: Rick Kahen - Rick stated that 250 have RSVP'ed for party. The weather is predicted to be perfect. In regards to the basketball plans, the buddy basketball game will begin at 12:30. The special needs kids will play with the RIC basketball players helping them. Rick stated that someone has donated T-shirts for the kids. The basketball game will be announced by megaphone. He anticipates the game with the special needs kids to last until 1:00. Then the big game of the Trustees and Bill with the RIC basketball team will start about 1:00 to 1:15. The game will be played in the Public Works parking lot. Everything is good to go for the Fun and Food program. The food is confirmed to be ready at 11. We will start packing lunches at 11:00. The kids will start eating around 11:45. Ron will get the pop from Dominick's. Tom thanked Rick for all his help and work in making the program run again this year. Rick also stated that he had a commissioner who had to cancel driving the cart Saturday and Sunday night. He needs anyone who can help with even an hour. He needs coverage for two carts from 7-11 on Saturday and Sunday night. Rick thanked everyone for their help. Fire Department: George Michehl George stated that they are ready to go. EMT is staffed. The inspections for the carnival and food tent are scheduled. Public Works: Dave HaismaBrett Robinson Dave stated that everything is ready to go. Trustee Liaison: DeAnn Glover— DeAnn stated that we will be so tired on Monday we will not be able to see straight. On Monday, we shut down the festival and count money. This weekend, we are to be the goodwill ambassadors for the Village of Buffalo Grove. She said that not everyone will be nice. We are just to keep a smile on our faces and thank people for their comments. We should be looking forward to the weekend. We will have a good time. If you have no specific assignment, come and be on the grounds. If people have questions, the more blue shirts there are, the more people they can stop and ask questions. If we have a little rain this year, there is no problem. We need to be grateful that we have homes and families to go home to. We need to be grateful that our homes not washed away, and our possessions are still there. We need to appreciate what we have and where we live. DeAnn stated to have a good time. If you need an assignment, go to the information booth and they will give you something to do. She reminded everyone that there is no drinking in the blue shirts. You must change out of your shirts to drink. We want it to be a family festival. Monday is an alcohol free day. DeAnn wanted to thank the committee members for all our hard work and that she has one more year as Trustee and BG Days Liaison. Chamber: Sara Herman— Sara stated that the business fair all set. She has a waiting list for the Business Fair. In regards to the restaurants, we have 16 restaurants. Yesterday, Bag of Bones backed out. She suggested that next year, we may want to team up the restaurants with not-for-profits, who could help with the staffing problems. Tom asked if Arlington Toyota will have a van for display. Sara said yes that they have reserved 2 tents for that purpose. Corporate Sponsorship Sara Herman— Sara stated that tonight is the last night to be a Friend of the Fest. It is a minimum $25 donation, and you need to make the check out to the Village of Buffalo Grove. Sara stated that the final number for Corporate Sponsorship is $30,200. Food Tent: Steve Shultz - Steve stated that the food tent is ready. Steve said that he may be switching vendor's locations in the Food Tent. Other than that, he is ready to go. Setup/Take down: — Tom stated that if you haven't heard it all year long, Bingo ends about 10:30. We need people to tear down the Bingo Tent and rearrange it into the Food Tent. Tom stated that the more people who show up to work, the faster it goes. Tom stated that Thursday night volunteers are to assemble near the information tent at 10:30. Tom stated that on Monday, we will count the chairs to make sure we have them all. Arts and Crafts: Jim Pawlak/Joan Pawlak- Jim stated that he has 87 spaces as his final count. He took in $10,875 in fees for the booths in registration. He has the van drivers signed up. Last night, he had a kick off meeting for the crafters. He had 40 who showed up. There was some discussion about setting some canopies up before Saturday morning. Jim said that with permission from Bill Brimm, they will do that. There will be 80 cars on Saturday morning coming to drop off crafts. Dessert Challenge: Paulette Greenberg - Paulette stated that last week, she had 20 people signed up for the Dessert Challenge. Thanks to the Pioneer Press and the article they wrote on the contest, we now have 45 applications. Paulette stated that with the number of applicants, there are no more T-shirts or aprons. As people are applying, she is explaining this to the applicants and they do not care. Paulette stated that maybe next year, we will charge admission. Paulette said that she has three judges, a Home Ec teacher, a chef, and 1-2 people from Chocolate Marvels. Carnival: Paulette Greenberg - Paulette stated that the carnival is here and set up. The inspection is set for Thursday at about 11:00 for the rides and after 2:00 for the games. Paulette stated that they did move a couple of rides from the original diagram. George asked for a revised diagram. She is fully booked in the ticket booth. Dave stated that next year, they will have to find a new place for the Ferris wheel. The tree is getting too big and it is getting to be a tight fit. Karen suggested that they bring the Tilt-a-Whirl instead. Entertainment: Karen Danenberg— No report Karen stated that there will be entertainment and we will be a part of it. Karen stated that the Teen stage is in place. The Main stage may be in place by Friday. Tom stated that in regards to the fire extinguishers for the Main Stage, Doug needs to talk to Super Stage about getting them. Audio/Visual: Doug Primack/Adam Moodhe— Doug stated that everything is all set. Doug questioned Dave if they will we be able to store the Teen Stage equipment in the Park District building. Tom stated that one of the mounds of dirt on the St. Mary's athletic is gone. Tom stated that the small pile of dirt is left. St. Mary's is going to use it for landscaping when we are done with the field. Doug stated that we will need caution tape around the pile of dirt. Dave will take care of that. Doug stated that they have the transmitters set for the fireworks and they will be synced up. They have individual CD's for each location to be used as backup. Publicity: Penni Jess - Debbi asked Penni about putting a sign at the information booth promoting the blood drive on Saturday. Debbi noted that Penni also suggested putting out a jug or container for donations for the victims of Hurricane Katrina at the information booth. Bill Brimm will look into it. Dave stated that Scott could make a sign. The insert for the Daily Herald goes out tomorrow along with the ads. Glow Necklaces: Lori Hackett- Lori stated that they are ready to go. VIP Party: Sharan Tash-Misholum— Sara asked if anyone has ordered the food yet. Pam said to give a phone call to Dorfler's with the final number. Lynn is getting RSVP's from the invitations. They are planning for 300 attendees. Sara stated that the set up for the VIP Party will be at 3:00 on Friday. They will be picking up the food afterwards. Information Booth: Ken Lazar— Ken stated that all is set. Village Liaison: Bill Brimm— Bill said that everything is fine. Paulette stated that if anyone wants to buy carnival tickets, to buy tonight. It is the last night for committee members to buy at a discount. Tom wanted to thank all the volunteers again, for their hard work put in thus far and for all the hard work that will be done this weekend. Toms stated "Let the games begin."
