2006-03-14 - Buffalo Grove Days Committee - Minutes Board or Commission: ❑ Buffalo Grove Days Committee Document Type: ❑Agenda 0 Minutes Meeting Date: 03/14/2006 Type of Meeting: ❑ Regular Meeting BG Days Committee Meeting March 14, 2006 Steve Antman, Ken Carothers, Sandi Carothers, Sara Ciolli, Barbara Czipo, Sharon Feld, Paulette Greenberg, Debra Jess, Penni Jess, Rick Kahen, Mike Millet, Adam Moodhe, Mary Moodhe, Hal Norman, Rhonda Norman, Dan Olbur, Jim Pawlak, Joan Pawlak, Charles Posniak, Doug Primack, Jane Primack, Steve Schultz, Pamela Soracco, JV Springman, The meeting was called to order at 7:16 PM. Chairman's Report: JV Springman/Paulette Greenberg Paulette asked if we want the Mix radio station to leave a van on campus during the festival. The vote was no. Dr. Huie wants to give free massages at the festival. He will have massage therapists there to provide the services. JV arrived. Paulette said that she got a letter from a person who sells for Discovery Toys. She is requesting an area to provide toys for the kids to play. Pam suggested it would be a good idea for Saturday. JV stated that she should get a booth at the Business Fair. Police: Mike Millett— Mike apologized for missing last month's meeting. He stated that after the post report to the Police Department last year, the other supervisors felt they will need to add sentries to other sites on the campus, one on the Police Department west lot, the other at the entrance by St. Mary's and Raupp. After some of the events, like the Teen Stage, a large number of people exit the campus that way, so additional coverage is needed. JV stated that we always get good support from the Police Department during the festival. Mike said that he has been promoted to watch commander on the evening shift. He will continue to be police liaison for the committee but will not be able to attend all of the meetings. He will be sending other officers, who have expressed interest in attending the meetings, to give the report. Park District: Terri Ebner—Not present Parade: Joe Tenerelli/Ken Lazar - Not present Sara stated that during the Chamber meeting this evening, members questioned the possibility of a theme for the parade. Awards could be given according to the theme. Adam said that it was tried about 12 years ago and the people balked at it. Paulette said we could try it again. JV thought the idea was good but Joe is not present to discuss the issue. Jane is to contact Joe about attending the next meeting to discuss new parade ideas, including the parade theme. Mobile Com: Roger Remblake - Not present Fun and Food: Rick Kahen/Mo Welborn - Rick stated that the plan is to have a buddy baseball game on Wednesday night at the Twin Groves baseball field at Aptakisic and Buffalo Grove Road. It is a disabilities-appropriate field. The plan has received an OK from Mike Rylko of the Park District.. Rick thought that it would be a good start to the weekend, an official Buffalo Grove Days event. It could be pitched as that in all the press and publicity releases that are submitted. Rick hopes to get as many Trustees and Village employees involved as possible. He hopes to get the Rotary involved as well. He will need BG Day committee members' help for the event. Every kid gets a hit and a home run. There is only one inning played. Rick stated that the kids enjoy it greatly. Rick said that if there is a Chamber and Village employee softball game, the buddy baseball game will be moved, possibly to Thursday night. Rick hopes to get the game started at 6:30 if played on Thursday. Sara asked about getting a sponsor for each team, to provide hats and/or T-shirts. Rick approved and said that there could be 15 to 20 kids on each team. There will be no basketball game on Monday. Rick is trying to get disabled artists from the July Art Fest to come on Monday for the disabilities program. He wants them to set up in a tent and provide an exhibition. Rick asked if the committee would allow purchases of the pictures by patrons. JV suggested that the artists should have cards available to pass out. Jane suggested they find out what kind of price range they would be charging. Rick is to find out more information. Adam mentioned that there are no events in the Beer Tent on Monday and that might be a good site for the artists. Fire Department: George Michehl - Not present Public Works: Dave Haisma/Brett Robinson - Not present Trustee Liaison: DeAnn Glover—Not present JV stated that DeAnn's father passed away this past week. The committee's prayers are with her and her family. Chamber/Corporate Sponsorship: Sara Herman/Sharon Feld— Sara stated that they have some money already committed in donations for this year. For the business fair, they will limit the booths to 3 of one type of business. Last year, they had 5 chiropractors in the booths. The Chamber is limited to 20 spaces. Sara said that besides that, everything seems to be going along well. On April 1, she will be sending out letters to the Buffalo restaurants that participated last year. After that, she sends out letters to all Buffalo Grove restaurants. At the end of June, she sends letters to those restaurants outside of Buffalo Grove that participated in the past. Pam made a motion to allow the Chamber to approve participation of restaurants outside of Village if there is space after the Buffalo Grove restaurants have responded. JV stated that these would include Stony River, Buca di Beppo, Brother's Ribs, and I Am Siam. The motion was carried There was a suggestion to have Monday restaurants serve from 12:30 t o 4:30 only, instead of later. It will be published that there will be no serving in the Food Tent beyond 4:30. Food Tent: Steve Schultz/Sandi Carothers - Steve said that he will be sending out a letter to the not-for-profits. He follows the same process as Sara does for contacting all of the participants. He will give them time to respond, but stated that if he has open spaces, the Chamber can take the spaces back to use for restaurants. Last year, there were 17 restaurants and 9 not for profits. Thursday evening, he hopes to get more variety in the Food Tent. He will set the Boy Scouts up outside the tent. This will allow set up for bingo. He will move them into the tent later. Setup/Take down: Tom Johns — Tom Johns is not here. No report Arts and Crafts: Jim Pawlak/Joan Pawlak - No report Dessert Challenge: Jane Primack/Joan Pawlak - Jane stated that she has Chocolate Marvels as sponsor again this year. They have already submitted a check. Jane increased the fee to help defray the costs of the contest. Chocolate Marvels had a number of suggestions to improve the contest this year, including getting prizes for the awards. She has contacted Brian Sheehan at the Health Department and received approval for the contest, as long as the desserts have no cream or custard. This year, Jane hopes to sell tickets to viewers of the contest for $l. Each ticket will allow the holder 2 items to taste. The proceeds will go to area food pantries. Brian approved this also. A complete set of written rules will be attached to the entry form. Pam suggested that the contestants sign the application to indicate they have read the rules. Jane will be sending a letter to Patrick Beach, Associate Professor of Hospitality Management in regards to providing a cooking demo for the adult contest and possibly providing judges for the contest. Jane plans on having 3 judges each for the Adult and the Junior/Teen divisions. A suggestion was made to get the contestants to sign a release for providing their recipe for a not-for-profit cookbook. Grilling Challenge: Chuck Posniak/Ken Carothers Chuck stated that George contacted Weber Grill who will supply 3 grills for the contest. Chuck is unsure what the size of the grills will be. Chuck needs a sponsorship for the contest, either a full sponsorship for $500 or two half sponsors for $250. Chuck asked for Sara's assistance in procuring sponsors for the contest. The categories for the contest will be beef, ribs, poultry and others. One entry per person will be allowed. Chuck wants to charge a $5 entry fee. He has no prizes yet. The Fire Department will allow participants to bring their own grills for the contest. Carnival: Debra Jess/Penni Jess - Debra stated that Astro is working on a general map where rides will be placed. This is for Public Works to trim the needed trees prior to the large rides coming in. Entertainment: Karen Danenberg—Not present Karen is not present but Paulette has her report. Karen reports that the contracts are not even sent out yet. Saturday afternoon, the Park District will be putting on a Talent Show called Star Tracks, featuring kids and adult. It will be at the same time as the Grilling Contest. Audio/Visual: Doug Primack/Adam Moodhe— Doug stated that he received the contracts from the stage and sound companies. The contracts are being submitted to the Village for approval. They came in with the same prices as last year. Hopefully, he will have the contacts signed by the next meeting. Adam said that he has reserved the remote transmitter equipment for the link up for the fireworks music. PublicityL Penni Jess/Mary Moodhe - Penni will do the Publicity this year. Information Booth: Ken Lazar— BG Juniors:Rhonda Norman - Paulette stated that Rhonda agreed to head up this committee. She stated that this committee is targeted for kids of committee members in the 11 to 16 year old range, those in 6th grade through 1 Oth grade. Paulette commented that this committee may run a food drive to supply area food banks. Rhonda will look into it. Village Liaison: Bill Brimm—Not present Your 2 Cents Worth: All committee members Steve stated that the Boy Scouts have a van that we may be able to request for use in the food drive. Sara has a friend with a moving truck, for the same purpose, if needed. It was suggested that the box for food donations be placed near the Information Booth. The kids can decorate the box. Rick will ask for donations from families attending the Fun and Food program. Sandi suggested a sponsorship day at a grocer store to donate food for the Wheeling and Vernon townships. Pam made a motion to adjourn. Rhonda seconded the motion. The meeting was adjourned at 8:27.
