Chairman's Report: JV Springman/Paulette Greenberg Paulette stated that the cleaning crew has been signed on with an increase in price. They do a great job so that is no problem. We will have an ATM machine from a different company this year. It will have a little tent above it and will be located behind the Daily Herald booth, facing the food tent. The ATM company will give us money for every transaction. The machine loan is free to us except for electricity. Paulette stated that she was contacted by the State of Illinois to set up a booth for the Cash and Dash program. It is a program for people who forget about money they may have with the state. The State will bring in computers to help people look and find unknown cash. They will be at the festival on Saturday, Sunday and Monday. They will also provide coloring books for the Fun and Food program. The service is free to us. No politics are involved. Police: Mike Millett- Mike has set up the meeting with Sandi at Astro. He will be dealing with the security background check of her personnel. The scheduling for the Police Department for the festival is coming along. Next week, he will have most of schedule done. There will be 4 new patrolmen on by then. JV commented that the festival is a chance for people to meet the new officers. Mike said that the Chief will be around on the weekend. Park District: Terri Ebner—Not present JV stated that he talked to Kim and everything is fine for the BG Idol contest. Parade: Joe Tenerelli/Ken Lazar - Joe spoke on the phone with Chief Sashko, from the Fire Department. He suggested having 2 previous fire chiefs as Grand Marshals. One lives in Wisconsin and will probably not come in for it. They have two others chiefs: Allenspach, a previous chief and Sashko, the current chief. JV stated we probably could bend the rules for a current employee to be Grand Marshall in honor of the 25th anniversary of the department. Joe said that he is still looking for a sponsor for the Grand Marshal. He asked if there will be a theme for the parade. JV stated that honoring the Fire Department seemed the appropriate theme for the parade. Mobile Com: Roger Remblake - Not present Fun and Food: Rick Kahen/Mo Welborn - Rick stated that the lunch is finalized. Dominick's will provide the pop and Weiner Take All will be supplying the hot dogs. JV asked if the Buddy Baseball game is good to go. Rick hopes that the new park will be done. If not, he will have to find an alternate site for the game. Dave stated that it will be done. If not, the game may have to be at Willow Stream Park. Fire Department: George Michehl - Not present Public Works: Dave Haisma/Brett Robinson - Dave stated that he dropped off the map for the bus routes. He said that there are a few changes from last year for less waiting for the people using he buses. Trustee Liaison: DeAnn Glover— No report Chamber/Corporate Sponsorship: Sara Herman/Sharon Feld— Sharon said that there are 10 restaurants approved. They need approval for some more restaurants tonight. They are as follows: • Buca di Beppo wishes to serve bruschetta, Italian sausage sandwich, and mini chocolate cannoli's. • Club House and Tavern wishes to serve chicken fingers and D'Onion Loaf. • Continental Restaurant wishes to add frozen bananas. • Fluky's wishes to serve but have not submitted food choices yet • Lou Malnati's Pizza wishes to serve deep dish pizza and Italian ice. • Nino's Pizza wishes to serve thin crust pizza, salad, baked clams, and fried chicken • Stoney River wishes to serve beef steak tomato and buffalo mozzarella salad and steak medallions. All of the above restaurants will be serving on Monday except Flukys. For Thursday, the following restaurants need approval' • BG Cycle and Ice Cream Emporium wishes to serve ice cream • Jillies's (friends of the Parks Foundation) wishes to serve hot dogs, chips, candy bars, and caramel corn. • Little Italian pizza wishes to serve Pizza. • Roti Mediterranean wishes to serve Falafel in a Pita and chicken and steak kabobs. All of the above restaurants and menus were approved by the committee. For the Business Fair, there are 11 booths sold. Dave stated that for the Business Fair, the only tents that have electricity are the ones on the inside of the side walk. In regards to the VIP Party, Sharan wants to know if Dorfler's would do the skirt steaks again this year. They have a Main sponsor for the buddy baseball game, Lou Malnati's. They do not have a grand sponsor for the Main Stage. They do have 3 major sponsors for the Mains Stage. They do not have a BBQ Showdown sponsor yet. Rick asked if they have a shuttle sponsor. Sharon said they have no one yet. JV said that anyone can give checks for Friends of the Fest. Food Tent: Steve Schultz/Sandi Carothers - Steve was unable to attend the meeting but emailed his report to Jane, Paulette, and JV. Steve has heard from all the not-for-profit vendors as of June 1st. The vendors are as follows: 0 BG Rotary Club with Bingo and the Pancake Breakfast • St. Mary Respect Life serving iced tea, coffee, hot cocoa, fruit juices, sports drinks (Gatorade), and flavored water (Fruit2o, Fruitopia, etc) • Girl Scouts serving roasted corn, nachos, and hot pretzels • Boy Scouts serving Coke or Pepsi products based upon the best available price from the Chamber member stores. • Kingswood Preschool serving homemade baked goods, (cookies, cakes etc.) • Na Amat Aviva serving Good Humor ice cream, bottled water, and candy • Crohns and Colitis Foundation serving fresh squeezed lemonade and Hawaiian Fruit dessert • Knights of Columbus 413448 serving popcorn and kettle corn • Knights of Columbus providing the basketball hoop outside of the Food Tent Steve has sent out the final applications requesting the booth fees for all of the above which are due back by June 30th. The only question mark right now is BG Orchestra who last year sold cotton candy. They want to do something else due to problems in preparing the product at last year's event. They are still looking for ideas. He has not talked to them about other possibilities. Steve is looking for any suggestions from the committee. Suggestions from the committee included Taffy apples and peanuts. Steve is requesting a list of what the regular food vendors are serving. He asked if there are any restrictions in what gets served because of the carnival. Paulette said no. Steve wants to lock them in within the next two seeks or look for another not-for-profit or give the space to Sara. Jane will email the requested information to Steve. Setup/Take down: Tom Johns —Not present Arts and Crafts: Jim Pawlak/Joan Pawlak - Jim said that that have 19 crafter's applications in. They are ahead of last year. He said that they usually will see everyone come in around July. Jim stated that last year, some of the crafters were asking if some of the restaurants could come around to take food orders or move a cart around to the vendors so they do not have to leave their booths. Paulette stated that the BG Juniors could help in this area. Rick saw crafters constantly asking location of the shuttle stop for the crafters. The shuttle stop is at the end of Raupp at Church street. Jim said that they may need to change the location to one most appropriate for everyone. Dessert Challenge: Jane Primack/Joan Pawlak - Jane sent a letter to another cooking school looking for someone to provide a cooking demonstration but no answer back yet. She has another idea if the cooking school does not work out. Jane has received 1 gift certificate from Lou Malnati's and 2 from Giordano's for prizes. She has sent out a few more letters on leads for donations for prizes. She received a letter from Wilton requesting that she register on line for the prizes. This was done and we have been given 2 prizes, one for the Adults and one for the Juniors. The person who complained about the rules and wrote all the letters to the paper last year sent an email to the Village about this year's competition. Both Paulette and Jane have responded to it, including Jane offering a judging position to him in lieu of competing. She has not heard back from him. The application and rules for the Dessert Challenge are complete and have been emailed to Penni. Jane does not want them posted until July 5th. She is still working on getting all the logos for publicity. She has given Penni all that she has and will continue to call the businesses. Rhonda stated that the American Cancer Society probably has all the logos she needs. Jane is to email her list to Rhonda, who will try to help her out. Grilling Challenge: Chuck Posniak/Ken Carothers Chuck said that the rules and application are set. They will be posted on July 5. Betty Lou has gotten Weber to supply the grills and will also donate gift certificates for prizes. Carnival: Debra Jess/Penni Jess - Not present. Penni is giving the report. The ticket prices are the same as last year. The family pack of 22 tickets for $20 will be sold again this year. The wrist bands will cost $16 on Thursday. On Monday they will be $17 because it will be longer period of time for rides. Monday's price went up $1. The presale tickets are the same as last year, 30 tickets for $24. They will be on sale August 1-30 at Village Hall. The hours of the carnival are the same as last year. The posters are the same as last year and we will have them by mid July. Rides include: • A new Ferris wheel called the Century Wheel with gondolas for cars. • The Bonsai • The Himalayan and the Tilt-a-Whirl • Starship 3000 • The Cliffhanger • Rainbow rock • An elephant ride for kids among others • A mystery machine • Free Fall 0 Mini jets and the Monkey Bounce Entertainment: Karen Danenberg— Karen stated that she has yet to receive the final 6 contracts. A Neil Diamond imitator will be on Friday with contract signed. Saturday Foghead will perform and she has a contract. Sunday the Blooze Brothers will perform and she has a signed contract. The Teen stage will have 2 bands on Friday night and a DJ only on Saturday night. Audio/Visual: Doug Primack/Adam Moodhe— Doug stated that since they are having bands at the Teen stage, they will need a generator. Karen stated that there will be bands at the Teen stage Friday night only. Doug said that they will need power two nights, as A to Z will be there on Saturday. Publicity: Penni Jess - Penni stated that tonight is the due date for the newsletter. Her date for all information is Friday. She will get copy back to everyone by next meeting for proof reading. Penni stated that she is doing the newsletter, so all information must come to her or it will not get into the newsletter. Penni stated that the Park District will not provide a page but they provided all the information for her to put in. Paulette said that they have pictures from last year. Penni was not planning on redesigning the page. She will use last year's page and change the needed information. Paulette said that Penni needs to write a blurb about the BG Idol show for the Park District. Photography: Hal Norman/Jim Pawlak - No report. Glow Necklaces: Lori Hackett- Not present VIP Party: Sharan Tash/Arlene Kozemzak— Arlene stated that she has not spoken to Sharan. Karen told Arlene to let Sharan know there is a Jazz Band on Friday night and she will have the music piped in for the party. Sharan does not need to get her own music. Arlene stated, from her understanding, the committee buys the meat and potatoes. The salads, rolls, and desserts are donated from local businesses. Arlene has the press release for Penni. She is not sure if RSVP's should be requested with the invitations. She said that too much food was left over last year. JV asked her to call Lynne Schneider or Mark Grove at the Chamber regarding the RSVP's. JV said it is ok if there is too much food, and that we feed the police and public works workers, and can sell the meat and potatoes back to Dorfler's as they serve in the Food Tent. Information Booth: Ken Lazar—Not present BG Juniors: Rhonda was asking how many kids she will have to work with. Discussion occurred among the members about whose kids might be working. She is unsure of what they will be doing at the festival. Paulette stated that 2 BG Junior committee members will hold the sign for the parade. All of the BG Juniors could march in the parade to be recognized by the crowd. Village Liaison: Bill Brimm—Not present Your 2 Cents Worth: All committee members Rick asked if the food drive will be run by the BG Juniors. Rick will include this in his letter for the Fun and Food invitations, asking for donations. Rhonda asked about what containers they should be using for the food drive and how to transport all the food. JV said that that will be taken care of. There are enough vans on the campus, plus committee members' SUVs that can transport. JV asked if anyone is having problems, call JV or Paulette only. Do not call Bill Brimm or DeAnn. JV stated that the night of the last meeting before the festival, DeAnn usually has a free party that costs each member $5. On the last day of the festival, JV and Paulette give a party. JV stated that we will have a new announcer this year regarding the final numbers from the carnival, since Debra is now in charge. Sandy made a motion to adjourn. Joan seconded the motion.
