Chairman's Report: JV Springman/Paulette Greenberg JV stated that there are 6 weeks to go to the festival. He reminded everyone that the August 1 meeting has been cancelled. He also reminded the committee members that August 29 is the last meeting before the festival. DeAnn will host a party that night after the meeting that is free for the cost of$5 per committee member. The room is reserved at the Clubhouse. The end of BG Days party will be at the same place, with the same room already reserved. Committee members don't have to bring money to that party. JV stated that this is his fourth year of being co-chair for the committee. He had the luck of having a good friend, Tom as co-chair for 3 years. He said that he is blest with Paulette this year. She has worked very hard and he wants to thank her for all her hard work. JV stated that he is proud and happy to have her as co-chair. JV stated that there are a lot of things set up on the web site. JV has to leave early since he still has two more meetings tonight. Paulette said that it is crunch night for the newsletter. It is 16 pages. It needs proof reading tonight. Paulette needs help with catching spelling errors and correction of times for events. The committee members' names are listed alphabetically. In order to get it out, Paulette found a graphic designer to complete the newsletter. Paulette stated that there will be a disclaimer in the newsletter in regards to the schedule about the right to change anything up to the festival event. Paulette asked anyone available to stay after the meeting to help with the proof reading. Paulette said that if anyone needs a name tag or wants up to 2 shirts, to sign up on the sheet in front. Debra is doing the sweatshirts on the side and committee members pay her $20 for them. Police: Mike Millett- Tony Goldstein is here in Mike's place tonight as he is on vacation. Tony reported that Mike spoke to Astro, who is taking care of the criminal background checks and fingerprinting of their employees. The Police west parking lot will be used for the handicapped, police, and village parking only and will be manned by an officer. Tony said that the carnival workers parking will be in the stone parking lot south of Lake Cook Road, east of the field. The Police are asking carnival goers to refrain from parking on Raupp. The schedule for the Police is complete for the festival. They will ticket anyone who parks on the bridge on Raupp. They will have an officer at the intersection of St. Mary's and Raupp. Sara reminded Tony about the softball game on Wednesday night. She is concerned about the foot traffic after the game, in crossing Lake Cook Road. They will not have the big lights up yet. Tony will look into it. Karen asked if the canine unit is going to do a demonstration on Saturday from 2:00 to 2:30. Tony will look into it. Jim asked about the police patrolling during the day in the Arts and Crafts area, due to a previous shoplifting incident. Tony said that there are already police patrolling in the area. Park District: Terri Ebner— Teri stated that she brought the fliers for the BG Idol contest. They have 25 people signed up to audition. She wanted to clarify that the $10 fee is for those that make the final 12 and perform. The Park District has not received any complaints regarding the fee. If any complaints are received, they are to be directed to Robin Raucasen of the Park District at 847-850-2103. Karen asked about the Star Makers, if they are still performing. Teri will look into it. Rhonda asked why there is a $10 fee. Because it is a Park District program, the money will go back into the Park District. Teri stated that when the asphalting of the parking lot east of the field is completed, no semi's can park there Paulette stated that the Village is aware of this and are working on it. Parade: Joe Tenerelli/Ken Lazar—Not present Joe was not present but spoke with Paulette. He told Paulette that he wants an assistant for the Parade. Paulette announced that the Grand Marshals are two previous and one present fire chiefs. She will add the names of the three fire chiefs now that they have been confirmed. Mobile Com: Roger Remblake—Not present Fun and Food: Rick Kahen/Mo Welborn - Rick was not present but emailed his no report. Fire Department: George Michehl - Not present Public Works: Dave Haisma/Brett Robinson - Not present Trustee Liaison: DeAnn Glover—Not present Chamber/Corporate Sponsorship: Sara Herman/Sharon Feld— Sara stated that they continue to raise money for the festival. When questioned, she replied that she thinks they are ahead of the same time last year. She said that if anyone is interested in becoming a Friend of the Fest, to write a check to Buffalo Grove Days and give it to Village Hall. The Chamber/Village soft ball game is on Wednesday night. There is a practice on August 16 from 5:00 to 7:30 at Emmerich Park. They already have 5 to 6 people from the Chamber on the team. Hats and shirts have been donated. Hinkley and Schmidt are not going to be at the festival this year. They do not have a rep for this area. They will be donating to the festival. Sara stated that we need to call Culligan or Ice Mountain for donations and presence at the festival. Sara stated that they have a 17'h booth for the restaurants. Roti Mediterraena wants to move from Thursday night to the entire weekend. This was approved. For Thursday night, Sara received a call from Bob Chin's who wishes to participate. For the Business fair, they have 3 booths remaining, and have 2 booths wanting doubles Sara stated that they are looking for more variety in the Business Fair. They limit the number of each specific kind of business and the medical category is full. Food Tent: Steve Schultz/Sandi Carothers - Steve stated that all the nonprofits are signed up. He has 9 booths, with the boy scouts on both sides of the tent. Steve says that he believes they will charge $1 a can. They will offer Coke or Pepsi, depending on what deals the Chamber gets from various businesses in Buffalo Grove. The following are the list of nonprofits and what they will serve: Buffalo Grove High School Orchestra: Cotton Candy St Mary Respect Life: 20 Oz. Gatorade: Iced tea and iced herbal tea, flavored water, fruit juice, fruit juice, coffee, hot tea, and hot cocoa. Girl Scouts: Roasted corn, Nachos, Hot pretzel Boy Scouts: Soda Kingwood Preschool: Home baked goods Na'Amat Aviva Club: Bottled water, Good Humor Ice cream, Candy Crohns and Colitis Foundation: Lemon Shake-ups, Hawaiian Fruit Picata(fresh fruit over shaved ice cups) Our Lady of the Grove Council 13448 Knights of Columbus: Popcorn and Kettle corn Karen asked about getting someone to sell water. Steve thinks a booth by itself selling water will not survive. A discussion about ice sales and price from the boy scouts occurred. Steve will talk to the boy scouts about how much it costs them for the ice and what they charge. Karen stated that she uses 50 bags in the weekend. She suggested that we need to check about other avenues for ice, due to the cost. Discussion occurred about the committee renting an ice chest for our own use. Paulette will talk to Dave as well about a place to store the ice. Adam will look into renting an ice chest for the committee for the weekend. Setup/Take down: Tom Johns — Paulette stated that Tom Johns will be out of town for the weekend. We will need another committee member to be in charge of this subcommittee. Arts and Crafts: Jim Pawlak/Joan Pawlak - Jim stated that they have 30 confirmed crafters with 39 more on the way. The response is very light at this time. Dessert Challenge: Jane Primack/Joan Pawlak - Chocolate Marvels has agreed to supply $5 gift certificates for all Juniors and Teens placing in the contest and $10 gift certificates for all Adults placing in the Dessert Challenge. They will be supply 18 gift certificates total. Due to this generous offer, Jane will be awarding only first, second, and third places in the each category of the Adult division. Jane is working on the judges for the contest and has contacted bakeries in the area to get judges in the industry. No replies yet. She is looking for 6 judges in the Adult division and 3 for the Junior/Teens. Jane is working on the aprons and the T-shirts for the contestants with a redesign for them. The rules and applications are on the web site. There was a blurb from the Village with information about the Dessert Challenge with some missing information. Jane emailed the corrections to Mary Moodhe. Grilling Challenge: Chuck Posniak/Ken Carothers Chuck stated the application and rules are on the web site. He got a call from the Countryside for an interview for an article to appear in the paper on July 20. Chuck requested that the Chamber ask restaurants for judges for the contest. He is going to send out notices to the area restaurants to solicit judges. BGRA will donate two of their big grills for the contest. Carnival: Debra Jess/Penni Jess - Debra remarked that Tony had reported the carnival employees will be parking in the gravel lot east of Emmerich Park. Debra stated that the parking area is to be black topped in the near future. Cars can park there but not trucks. Teri stated she needs to clarify that information. Debra stated that Astro sent a diagram to Public Works of the carnival layout and about the tree trimming that needs to be done. Debra discussed the curbing in front of the ticket booth. She wants to move the ticket booth forward to have people stand on the grass or move it back away from the curb to prevent falls. Jim suggested wood chips to fill in the spot. Paulette stated that JV wanted a list of all the trucks and how big they are that will need space for parking. Paulette said that they were investigating if the bridge on Raupp could take it. Paulette stated that it also depended on what was in the trucks. Debra stated that there are 5 empty semis and 3 to 4 straight trucks with supplies needed for quick access. Entertainment: Karen Danenberg— Karen stated that the entertainment is now set. Tomorrow is the deadline for the newsletter. There will be three teen bands on Friday night from 7 to 10. They will be similar in music to attract the 13 to 21 year old crowd. The bands include the Chimney Sweeps from Buffalo Grove high school, Black Top Vinyl from Stevenson High School and Operetta from Wheeling High School. All band members are 16 to 17 years old. Karen asked Sara whether Fluky's wanted to take the food spot over by the Teen stage. Karen wants some food there both days, but Friday for sure. Saturday she has A to Z DJ entertaining. Karen stated that the walk-arounds are confirmed. She will have Shrek , the purple and pink Care Bears, and Strawberry Shortcake,. Austin Powers is coming for 2 days. The stilt lady is coming all 3 days. In the Craft area, there will be 2 dance troops on Saturday followed by a DJ. On Sunday, from 2:00 to 2:30, she needs the canine unit but she is not sure if they are in the parade. The Rotary Green will have a band prior to the fireworks. All the bands are set. Jim wants to know how much volume there will be for the DJ in the Arts and Crafts area. Karen stated that the music and volume will bring people to the craft show. Karen also asked Tony to tell Mike that the Blooze Brothers will bring their squad car in front of the stage around 7:30. They come up from the back to St. Mary's. It makes the turn and sits there for the rest of the show. Karen wants to have officers there as it comes in. Steve asked about allowing blankets-only in front of the stage. It was discussed about the arrangement that Frontier Days uses for their Main Stage seating with blankets only in front. Adam asked about spray painting lines on the field with a sign of blankets only forward from the line. Karen stated it would be nice to have an area for handicapped. Karen will look into it. Chuck stated that he would like the winners of the BBQ Showdown announced on the main stage about 4:30 on Saturday. Karen stated no problem. Doug asked if they should go ahead and reserve the backline for Foghat. Karen said yes but she would like more sponsors for the Main Stage. Audio/Visual: Doug Primack/Adam Moodhe— Doug asked Teri about how many finalists there are for the BG Idols contest. Teri indicated that there will now be 12 contestants. In the past, Doug supplied 4 head sets to go along with 4 body pack transmitters that the Park District supplied. Doug also has supplied 4 handheld wireless mics. Teri will find out if the Park District will supply more mics. Publicity: Penni Jess - Penni stated that she sent out information about the Dessert Challenge and BBQ Showdown to the papers. In regards to the ads, she is not sure how many ads she needs to get and what deals were gotten in the past She is also unsure about how ad layouts. She is not sure how to go about completing them. The letters have been sent out by Lynne Schneider from the Chamber and they have 8 contributors so far. Last year, they had 17. Kaleidiscoops donated ice cream last year. Buffalo House will donate chicken wings and tenders. Arlene wants to request golf carts for the event from 12 noon to the end of the party. They will also need long tables and lights. Arlene was informed that the VIP tent comes with lighting. Geimer's donated the centerpieces last year. They have not been contacted yet this year. Jane stated that she already has gotten two fall planters from them for prizes for the Dessert Challenge. Sharan will take care of the helium for balloons and the party favors with a Mardi Gras theme. The music will be piped in from the beer tent. Arlene will need at least 10 volunteers. She needs people to pick up food the day of the event, to set up the party, and to serve the food. Sharan is thinking of contacting Teddy's for donations. Information Booth: Ken Lazar— No report Ken stated that he needs to get food tickets for the committee members. BG Juniors: Rhonda stated that since there are only 4 children of committee members, she would like to open up this committee participation to fire and police department kids.
