Chairman's Report: JV Springman/Paulette Greenberg JV reminded everyone that this month we go to two meetings a month. He stated that today is June 12th and we have a few more months to go before show time. The tents have been ordered and we have the bigger one for the VIP tent. He also has ordered more chairs. Hopefully this will help so that we do not have to move them around so much. He ordered a total of 200 chairs and 185 tables. Steve asked about getting the Beer Tent set up Thursday night and to leave the tables and chairs there. Per discussion, tables will increase to 200 and an additional 50 chairs will be rented. Paulette introduced and welcomed Eric Gordon, the newest committee member. Paulette stated that the State of Illinois will do the Cash and Dash program again this year. They will be in the government tent. Paulette stated that she has a signed contract from Carlos, Sanroman, who provides the maintenance for the festival. He signed on with the extended hours on Saturday and Sunday, with a scheduled start time of 12:30. Police: Mike Millett- Mike stated that Sergeant Christopher has idea for us to consider. He wishes to bring a smashed up car to the festival to have people to smash up for a fund raiser. The committee is not interested. In regards to the gang concerns for the festival, the Police will tap on the citizens academy, who are volunteer to check ID's. Park District: Terri Ebner— Teri introduced the Park District's intern, Cheryl, who will be helping her with the festival. Teri stated that the Buddy Baseball field is up and running. June 23 is the grand opening for the field at 10:00. She said that the climbing wall will not happen this year. She also said that Duke from the parks wants to know the layout for the rides. Parade: Joe Tenerelli/Ken Lazar - Joe stated that the nominees for the Grand Marshall have been selected. DeAnn will present the names to the Village Board for approval for the Grand Marshall. The Village Board makes the final decision. Joe said that he will have all his information for the newsletter by the end of the month. Mobile Com: Roger Remblake - Roger stated that he needs approval on the rental of the radios. He wants 20 radios for $800. A motion was made by Jim to approve the rental of the radios as Roger stated. Rhonda seconded the motion. A vote was taken and the motion was carried. Roger asked if Astro could have their misting tent available if the temperatures are high that weekend. Paulette will e-mail Sandi about providing it for the patrons. Roger asked about provisions of water for Mobil Com to stock. He was told it will be taken care of. Fun and Food: Rick Kahen/Mo Welborn - Rick stated that he is good to go. He said that Dominick's on Lake Cook Road. has new management, but he will still get the pop from them. Fire Department: George Michehl - George was not present. Public Works: Dave Haisma/Brett Robinson - Dave was not present. Trustee Liaison: DeAnn Glover— DeAnn reminded all committee members that the Village Board has final say regarding the Grand Marshall Chamber/Corporate Sponsorship: Scott Fishkin/Sharon Feld— Sharon stated that the restaurants are set up for the weekend. They have a few restaurants for Thursday night. The prices will be the same except for an increase allowed up to $5 for combo platters. The Business Fair has 16 booths rented presently and Paulette has one more inquiry about renting a booth. She gave it to Sharon. For the VIP party, they are beginning to ask for donations for food. If any committee member has ideas who might donate food, call Lynne at the Chamber. They continue to raise money in corporate sponsorship. Rick asked and was told that they have no shuttle sponsor yet. Sharon asked about getting pamphlets with the entire weekend's activities outlined to give out. JV requested that Publicity find out about the pamphlets and get a price. They are to ask for a price on 100, 200 and 300 pamphlets. Chamber has an intern this summer that can help with the newsletter and PR for the committee. Paulette asked about getting the logos for the ads. They are working on them. Karen stated that on Saturday night, she needs hotels rooms for Three Dog Night. She will need 8 rooms for 2 nights. Food Tent: Steve Schultz/Sandi Carothers - Steve asked for a copy of the restaurants for the food tent. The not-for-profits from last year are in for this year. The spaces are now full. They have told him what they will serve with the prices. Setup/Take down: Tom Johns — Steve states that he will be there. Arts and Crafts: Jim Pawlak/Joan Pawlak - Jim stated that they have 22 crafters signed up. He stated that 80% will sign up in June and July. He received an inquiry from animal rescue organization. They would be bringing rescued animals to the festival. He checked with Brian in the Health Department. There are some concerns that little kids would be sticking fingers where they do not belong. The idea was voted down. Jim stated that he needs a van for the weekend for transport. Paulette will talk to Enterprise about the van rental donation for the weekend for the crafters. Dessert Challenge: Jane Primack/Joan Pawlak - Jane stated that she has out 14 letters requesting donations for prizes. She has already received her first response from eSkape who donated a prize for the Junior contest. Chocolate Marvels has agreed to be the sponsor the contest again this year and Marie will be one of the judges. Jane has heard from Whole Foods who will not be supplying the cooking demonstration this year. She has contacted Trader Joe's of Arlington Heights who sounded interested over the phone. She has sent a letter out to them regarding the cooking demonstration. She has also sent a letter out to Sunset Foods who is the only area provider of North American Bison, the company who may do the cooking demo for the BBQ Challenge. She has confirmed 4 judges for the contest. She needs at least 6. Applications for the contest are at Village Hall, at Chocolate Marvels, and on the Village web site. The press release has been written and sent to both Dan and Lori. Grilling Challenge: Chuck Posniak/Ken Carothers Chuck stated that the applications are at Village Hall and on the Village web site. This year it will be open to village employees. Entrance fee is $5 with a $100 gift certificate for prizes in each category. A certified Kansas Barbeque Association member will serve as a judge. He is still working with the North American Bison Company to get them to do a cooking demonstration using bison. Carnival: Debra Jess/Penni Jess - Debra was not present. Entertainment: Karen Danenberg— Karen stated that everything is moving along well. Benny the Bull is coming and will be at the disability program. She has all the big bands booked and is working on the Teens Stage. There will be three new bar bands in the beer tent. She reminded the Chamber that she needs the hotel rooms for the big bands. She has a few outstanding contracts still out. Spider man will not be back this year. Audio/Visual: Doug Primack/Adam Moodhe— Doug stated that he has signed contracts for the stages and a deposit has been given to Super Stage. The contract is back from Diversified Audio, at $7,900, up from last year of$7,500. They provide the sound and manpower for the main stages. Andy's Music, who provides the back line for the Main Stage will provide them with a price soon. He has the wireless equipment for the Main Stage reserved from Rentcom. Publicity: Lori Hackett/Dan Olbur- Dan stated that the articles are starting to filter in. He has the report for Fun and Food. Dan needs a list of the food vendors, the Business Fair participants and the not-for-profits. He also needs to know if the carnival prices are the same. He has checked and the Village web site has the correct information about 2007 festival. Lori was instructed to e-mail Paulette about what she needs and Paulette will take care of it. Rick asked about getting PR for the Buddy Baseball program Sunday at 3:30 at the Miracle Park. Photography: Hal Norman/Jim Pawlak - Jim stated that he is working tonight taking pictures. Glow Necklaces: Lori Hackett- Lori stated that they will order 1000 necklaces again this year. VIP Party: Sara Ciolli/Arlene Kozemzak— Pam said that she has 3 guys lined up to cook for the VIP dinner. JV reminded everyone that if they know of a business that wants to donate food, contact Lynne at the Chamber to follow up with it. Information Booth: Ken Lazar— Ken was not present. BG Juniors:: Rhonda Norman Rhonda requested a list of walk arounds but Karen stated it is not completed yet. Village Liaison: Bill Brimm— Bill was not present. Your 2 Cents Worth: All committee members Jane stated that the roster is available at this meeting. When asked, JV stated that the vendor meeting will be on August 14 or 21. It is usually held the third week of the month. Steve made a motion to adjourn. Jane seconded the motion.
