Chairman's Report: JV Springman/Paulette Greenberg JV stated that it is August 7 and there are three weeks to go. Paulette stated the Daily Herald ad for the Dessert Challenge and BBQ Challenge will run three days this week and then three days in two weeks. She said that we pay for one week and get one week free. She said that we have the same deal with Pioneer Press. Paulette announced that the newsletter is done and will be in the residents' mailboxes next week. The brochure will be made up a in a tri fold format that can go in your packet. It includes a list of the entertainment, a map of the campus, and the bus routes. Paulette stated that she is having 1000 of them printed up. JV suggested every committee member keep some with them and hand them out when any festival goers have questions. Paulette also stated that the t-shirts are ordered and she has ordered extra shirts just in case they might be needed. JV reminded everyone that if you want a denim shirt or a jacket, to see Debra Jess. Police: Mike Millett- Mike stated that the department staffing is done. He posted the manpower schedule on Thursday. He said that he has another meeting next week and will be late for the Business Fair and food vendor meeting. He may have someone else cover for the vendor meeting. JV reminded the necessary people that the Business Fair meeting is at 6:00 and the food vendor meeting is at 7:00. Park District: Terri Ebner— Teri stated that the Park District has approved the layout for the carnival. She asked that if anything should change in the layout that the Park District is informed before the changes actually occur. Parade: Joe Tenerelli/Ken Lazar - Joe stated that things are moving slowly. He has had 52 applications returned. The deadline for applications for the parade is August 15. He has three high school bands, St. Mary's band, the Navy Band and a swing band. The swing band will not be walking. Karen reminded Joe that the canine team will be doing a demo about 4 times in the parade. Joe states that he needs 10 parade Marshals to keep everything moving. The parade marshals need to report to Regent and Bernard, about 2 to 3 block east of Arlington Heights Road, west of Alcott at 11:30 on Sunday morning. Joe also stated that he will have about 8 Model "T" Fords in the parade. Mobile Com: Roger Remblake - Roger was not present and he gave his "no report"to Mike. Fun and Food: Rick Kahen/Mo Welborn - Rick stated that he is pretty much set. He has set a rain date for the Buddy Baseball game of Monday, if needed. Rick stated that he will not need to pull anyone from the committee, for either the Sunday game or if he must use the rain date of Monday. Other than that, he is good to go. Doug reminded Rick to get the Park District to turn on the power at the field the day of the game. JV reminded everyone to be there on Monday morning around 11:00 wearing your tie died shirts. Fire Department: George Michehl - George was not present. Paulette stated that we are getting the misters from the fire department. They have 3 of them. Public Works: Dave Haisma/Brett Robinson - Dave stated that he is working on the signs and banners. JV stated that if anyone needs signs talk to Dave tonight. Trustee Liaison: DeAnn Glover— DeAnn stated that she will give a report at the August 20 Village Board meeting about the entire festival. Chamber/Corporate Sponsorship: Scott Fishkin/Sharon Feld— Sharon stated that they have 17 restaurants, with 3 for Thursday night. The Business Fair is full with a waiting list. They continue to raise money in Corporate Sponsorship. She wanted to clarify that if anyone wants to give to the Friends of the Fest, the check must be made out to Friends of the Fest and given to the Chamber. Food Tent: Steve Schultz/Sandi Carothers - Steve stated that he is on schedule. He has all the spots filled. There are 17 restaurants of food vendors and 9 not for profits. He gave Lynne a tentative layout for the Food Tent and it will be finalized before the meeting next week. Steve said that he will be on vacation next week but he will be at the vendor meeting. He confirmed that JV ordered 25 extra chairs and 15 extra tables. Setup/Take down: Steve Antman— Steve stated that nothing has changed. Systems are go. Arts and Crafts: Jim Pawlak/Joan Pawlak - Jim stated that currently the have 52 booths filled. He is waiting for a few stragglers. He wants to have 55 to 60 if possible. He is also soliciting drivers for the van for several hours on Saturday, Sunday, and Monday, both morning and evenings. He reminded everyone that morning means 8:00. If anyone is interested in driving the vans, Jim will need a copy of the front and back of their driver's license. Jim is allowing crafters in for a pre-set up on Friday evening around 5:30 to 6:00. Jim wanted to be assured that Raupp will be shut down early for this. JV and Paulette stated that it will be closed, since no official has a problem with shutting it down early. Dessert Challenge: Jane Primack/Joan Pawlak - Jane stated that the aprons are ordered as the "Silver Spoon" awards have also been ordered. She has lost one of her 5 judges and has found another to replace. She has a good line on a final judge. She has received no new applications since the last meeting. So far, she has 3 adults and 1 Junior. She will begin shopping for the final prizes she needs the next week. Grilling Challenge: Chuck Posniak/Ken Carothers Chuck stated that he is having the same issue of a lack of applications. Hopefully, the ad will bring them in. Carnival: Debra Jess/Penni Jess - Debra thanked the Park District for signing off on the carnival layout. She will bring the ticket booth sign up sheets next week. She also said that the ticket booths will be different this year. We will have two small booths instead of one big booth. They will sit side by side. They are still air conditioned. They will not be directly attached to the trailer. Debra stated that Astro had some concerns about the staging of the set up of the carnival last year. Raupp was closed off but cars kept sneaking down the street between the barriers and blocked them in setting up. Debra also said that Astro also needed the parking lot lights on for the set up. They bring in the equipment on Sunday night August 26rh. Sandi is asking if the parking lot can cleared as of that date. She is also asking that Raupp be blocked off t as of the same date, in the morning. They will start to actual set up of the carnival on Wednesday. JV stated that we will talk to Sandi next week when she attends the meeting about her concerns regarding the closure of Raupp and the set up of the carnival. Debra stated that the posters are in. It is the deluxe poster with better ink. The colors are not exactly what they expected. She said that in the past, we have always left the parade off the poster. Next year it will be added. Entertainment: Karen Danenberg— Karen told Dave that she wants to reserve a 20x20 foot square, south of the stage on the Lake Cook side, with signage for wheelchairs only. Karen stated that the entertainment is done. Audio/Visual: Doug Primack/Adam Moodhe— Doug stated that they have verified with rent.com for the wireless for the fireworks. The cost is about $400, the same as last year. Music for the fireworks will be transmitted out to the Rotary Green. Dave will give Doug a key for the power box at the Rotary Green so the lights can be turned off and so he will have access for power for the band. Publicity: Lori Hackett/Dan Olbur Lori and Dan were not present Photography: Hal Norman/Jim Pawlak - Hal stated that they will be there. They will set up a schedule to make sure everything is covered. Glow Necklaces: Lori Hackett- Lori was not present. VIP Party: Sara Ciolli/Arlene Kozemzak— Arlene was not present. Information Booth: Ken Lazar— Ken has no report. BG Juniors: Rhonda Norman - Rhonda stated that next week, she will have a stack of junior agreements for committee members to take home to family, friends and kids. Besides the agreement, it will include time slots of when the kids will be needed. She has requested that they e-mail her with their time slots. On August 14, she will have the kids committed and will work on the schedule. Village Liaison: Bill Brimm— Bill has no report. Your 2 Cents Worth: All committee members Rick will need some shuttle drivers on Sunday afternoon, between 2 and 6, during the Buddy Baseball game. Paulette stated that we will have the Raceline Motors at the festival. She wanted to clarify that it is entertainment not a business for the Business Fair. They will be open from 3:00 Saturday and Sunday until about 9:00 and on Monday from 11:00 to 4:00. It will be in front of the information booth. It is free to us and free to our people. JV wanted to thank everyone for their hard work. Steve made a motion to adjourn. Ron seconded the motion. The meeting was adjourned at 7:58.
