Chairman's Report: JV Springman/Paulette Greenberg JV welcomed everyone. He asked that before he started, if anyone has any questions about what is ready or what is needed for the festival. JV stated that they will come in Wednesday morning and set up the tents. It takes them all day to set up the big tent, the Beer Tent, and the Business Fair tents. On Thursday, they will put up the VIP tent, and bring in tables and chairs. The power comes in on Tuesday and the Porta potties will come in on Thursday. The Main Stage and the Teen Stage will come in on Friday. The dressing room trailer for the Main Stage will come in on Friday. The sound people bring in their equipment on Friday at noon per Adam. JV stated that Wednesday night is the softball game across from Village Hall at 7:00. Thursday night will be Bingo and the carnival. The beer will be delivered on Thursday. Thursday bingo starts at 6:00 with four food vendors serving at the east end of the Food Tent. There will be beer in the Beer Tent for Bingo. JV noted that after Bingo, the area needs to be rearranged to the Food Tent format. Everyone will be there. JV reminded everyone to be to the Food Tent on Monday morning at 10:30 for the Fun and Food program. He said that it is extremely rewarding to see the kids and families come from the carnival and enjoy themselves with the food and music. Committee members are welcomed to dance with the kids. JV mentioned that Joe will need help with the parade on Sunday. Meet Joe at Bernard and Regent, just east of Arlington Heights Road. Joe needs at least 10 people for parade marshals. Golf carts will be available to get committee members to the location. JV also emphasized that if you have any problems, whether police, fire or any emergency, contact Mobile Com and they will contact the necessary personnel to help. Police: Mike Millett- Mike is on vacation but e-mailed his report to Jane. Sgt. Kristianson does not think he will be able to get"The Convincer" from the Chicago Police Department. He is trying to get one from the Joliet Police Department(this is a car crash simulator). He will ask to do the same DUI simulator as he did last year with the golf cart. This was done in front of the public works west building driveway and worked out well last year. The staffing is completed and all manpower is scheduled. All parking permits have been handed out. Mike will be back to work on Monday the 27rh and can be reached then. If there are any pressing questions or issues, please call Commander Newton. Mike will give Paulette, JV, Roger, and Dave his cell phone number when he checks out the phone at festival time. Paulette has the committee member parking permits. Park District: Terri Ebner— Teri has no report. Parade: Joe Tenerelli/Ken Lazar - Joe stated that he has 81 units and expects a few more. This includes lots of old cars. He has a sign up sheet for help during the parade. Joe needs about 10 people. Please meet at Regent and Bernard, which is a few blocks east of Arlington Heights Road at 11:00. Committee members who want to work the parade will be taken to the site by golf carts from the information booth. Mobile Com: Roger Remblake - Roger was not present. Adam stated that Roger will need 15 minutes at the beginning of the next meeting for radio protocol. Roger has another meeting right afterwards and will need to leave. Fun and Food Rick Kahen/1VIo Welborn - Rick stated that he is set to go. He asked Karen about setting up the Main Stage in the field and about keeping the gate open to the field for access for the handicapped shuttle through the gate and behind the stage area. Karen stated that she is working on it. Rick encouraged committee members to come out to the Buddy Baseball game on Sunday. The game begins at 3:00 at the new field, Kendregen Park. Rick still has room for "buddies"to help out. Parking will be at the Churchill Park across from the game site and at the golf dome and the skate park with shuttles to the field. Fire Department: George Michehl - George states that he is set. He has the 4 fire extinguishers for the Food Tent. Ken is getting the fire extinguishers for the stages. George will be at the Food Tent on Friday for a final check of the vendors before beginning serving. Brian and Peggy from the Health Department will also be there checking temperatures of food, both hot and cold. Public Works: Dave Haisma/Brett Robinson - Dave asked about any last minute sign issues. If anyone needs signs, tonight is the deadline to get them done. Two signs will be needed for the second van for the business fair/craft fair shuttle. Trustee Liaison: DeAnn Glover— DeAnn is not present due to family commitments. Chamber/Corporate Sponsorship: Scott Fishkin/Sharon Feld— Sharon stated that it was not announced at the food vendor meeting that committee members get tickets for free food. She asked that committee members be kind to the vendors. If there is a problem, come find her, Scott, or Mark. Food Tent: Steve Schultz/Sandi Carothers - Steve stated that he is ready to go. Setup/Take down: Steve Antman— Steve stated that he is charged and ready to go. Arts and Crafts: Jim Pawlak/Joan Pawlak - Jim stated that he is ready to go. He has 55 crafters. He said that he is still looking for van drivers. If anyone is interested, he will need a copy of the front and back of the driver's license. Dessert Challenge: Jane Primack/Joan Pawlak - Jane stated that she went out this weekend and bought two more first prizes for the adult category. She now has 4 first and second place prizes for the 4 adult categories and for the Junior group. She has the sliver spoon awards. As of tonight, with the new applications received, she has 5 Adults applicants and 5 junior applicants. She still needs more people. She will be accepting application up to the Friday August 31. Grilling Challenge: Chuck Posniak/Ken Carothers Chuck states that he now has 10 applicants. He stated that he could use more. He will also accept applications through the Friday August 31 Carnival: Debra Jess/Penni Jess - Debra stated that she has the tickets for presale, $20 for 30 tickets. She also has the sign up sheets for the ticket booths. Paulette stated that everyone is expected to do a shift in the ticket booth. Entertainment: Karen Danenberg— Karen stated that she is all ready. She said that she has put in an order for good weather with rain only after the fireworks. When asked by Dave, she said that the Park District is doing the BG Idol. Audio/Visual: Doug Primack/Adam Moodhe— Doug is not present but gave his report to Jane. Doug has talked to all the bands that he is going to for the Beer Tent and the Teen Stage bands. He has a list of their needs. Adam stated that everything else is set for the stages, sound and back line. They are good to go. When questioned by JV, Adam stated that they will need two people to help move gear on the night of the fire works. He said to come to the sound board at the Beer Tent about 5:00 on Sunday to help. Publicity: Lori Hackett/Dan Olbur Lori had no report. Photography: Hal Norman/Jim Pawlak - Hal deferred to Jim who said that they are all set. They are working on a schedule of the events and dividing them up so all are covered. After discussion, it was decided that the committee group picture will be after the next meeting on Tuesday August 28rh, at the party. Committee members are to wear their blue shirts. Glow Necklaces: Lori Hackett- Lori has no report. VIP Party: Sara Ciolli/Arlene Kozemzak— Arlene stated that things are moving along well. They have 21 donors for food with more coming in yet. Sara has been calling people for helium without luck. Karen stated that her Business Fair booth will provide the needed helium for the VIP party. She personally ordered the helium canister. Arlene also requested from entertainment that if they need food from the VIP party to feed the entertainers, to let her know in advance. Last year, the notice was too short and everyone was stretched to get all the food ready when needed. Karen stated that she will give a list of what she need and how much for the entertainers before the party. Information Booth: Ken Lazar— Ken states that he will be there. BG Juniors: Rhonda Norman - Rhonda states that she has more permission forms for the Juniors. She also has a list of openings and times available. Just let her know what the kids will do. She will call the parents and kids and have a meeting on her own with them. When questioned, she stated that she has 2 juniors so far. Village Liaison: Bill Brimm— Bill was not present. Your 2 Cents Worth: All committee members Joe reminded the committee that the Navy band will need to be fed and will need food tickets. They will be available at the information booth. There are 22 musicians in the band. Paulette stated that there was a glitch and the t-shirts will be ready at end of the week She has the food ticket ready for Ken. When a committee member comes to the festival, they sign in and will get their food tickets. The envelopes will not include carnival tickets. Since so few people need them, anyone needing carnival tickets for their own children, not for neighbors or relatives, are to see Debra. If you need more food tickets, you can get them. Paulette stated that the person writing the article on the festival for the Daily Herald is focusing on the committee members. She has some pictures of committee members working at the festival and they will be in the paper next week. The BG Days insert for the Daily Herald goes to press today. Paulette stated that there will be ads this week in the Daily Herald and the Pioneer Press. Paulette apologized that All Needs Communications was left off the insert and the newsletter. She stated that their name will be on the Big Board as contributors for the phones. Paulette states that she has the parking permits for committee members. JV was questioned as to who hands out the ice. JV stated that Paulette has the key for the ice trailer and the ice will be sold on a cash basis only with no tabs running. Debra asked Rick how many wrist band will he needed for the Boy Scouts on Monday. Rick requested about 20. A question came up as to whether anyone at the festival will be collecting funds for area charities. JV stated that the Interfaith Council will not be here this year. He said that the firemen usually have their boot to fill. Sara stated that the Chamber will have something at the beer tent to collect money. They are still working it out with Village Hall. JV stressed that there is NO SMOKING ON ST. MARY'S FIELD OR ON THE PARK DISTRICT PROPERTY AT ALL. This is a policy of St. Mary's and of the Park District. A discussion occurred about the current smoking laws in the Village. It was decided not to restrict smoking in further areas until the law goes into effect for the Village next January. Joe made a motion to adjourn. Pam seconded the motion. The meeting was adjourned at 8:00.
