2008-05-13 - Buffalo Grove Days Committee - Minutes Board or Commission: ❑ Buffalo Grove Days Committee Document Type: ❑Agenda 0 Minutes Meeting Date: 05/13/2008 Type of Meeting: ❑ Regular Meeting BG Days Committee Meeting May 13, 2008 Steve Antman, Karen Danenberg, Teri Ebner, Sharon Feld, Eric Gordon, Paulette Greenberg, Lori Hackett, Ron Hackett, Howard Hoffman, Debra Jess, Penni Jess, Ron Jess, Mike Millet, Rhonda Norman, Jim Pawlak, Joan Pawlak, Charles Posniak, Doug Primack, Jane Primack, JV Springman, Mo Welborn, The meeting was called to order at 7:10 PM. Chairman's Report: JV Springman/Paulette Greenberg Paulette stated that the time capsule will be buried on Monday at 2:30 in the gravel area between the front door and the arch of the entrance of Village Hall. The Pioneer Press and the Garden Club will place a brass plaque over it. Raceline Motors wants to come back. Paulette stated that we will put them on the grass in St. Mary's field this year. Paulette reported that a veteran's group wants to put old cars in the parade. She also stated that the Lawn Precision group will be coming back. Paulette reminded everyone that we need nominees for the parade marshal. We will not being taking food donations for the food pantry this year. It did not work out in past years. Police: Mike Millett- Mike stated that he talked to Sergeant Gretz, who works with Reaper, regarding the demonstration. Sergeant Gretz wants appear in the parade Park District: Terri Ebner— Teri stated that the BG Idol theme will be 50's flashback. The contest will be held on Saturday, August 30 at 1:30. Auditions will be held August 6rh Parade: Joe Tenerelli/Ken Lazar - Joe was not present. Karen has a suggestion to have all past Village Presidents as Grand Marshals and ride in a car in a parade. Mo suggested getting a float for $500, and finding someone from each of the 50 years that was born in Buffalo Grove and still lives in here. Karen suggested that people who have been married 50 years, and lived in the village when getting married and live here now should be Grand Marshal. Paulette put Mo in charge of the project. Mobile Com: Roger Remblake - Roger was not present but e-mailed his report to Jane. Mobile Com will be testing out some new rental radio equipment on May 2V. Depending on the testing results, they may propose to use a new vendor for rental radio equipment. This equipment is newer and has a couple more whistles and bells. Overall, the price would be the same as last year's at $800.00. Fun and Food: Rick Kahen/Mo Welborn - Rick was not present. Mo has no report. Fire Department: George Michehl - George was not present. Public Works: Dave Haisma/Brett Robinson - Dave was not present Trustee Liaison: DeAnn Glover— DeAnn was not present. She e-mailed her "no report"to Jane Chamber/Corporate Sponsorship: Scott Fishkin/Sharon Feld— Sharon reported that Culver's will be the sponsor for the hats for the Softball game. She asked if there was going to be a specific theme for the parade beyond the 50's theme. The answer was no. All the restaurants are set. There are a few changes in the menus. They have raised $18,400 so far. Harris bank is donating $4,000. They have 12 booths in the Business Fair. They are working on food for Thursday night. Food Tent: Steve Schultz/Sandi Carothers - Steve was not present and e-mailed his report to Jane. Steve stated that all but one not for profit vendor has responded. He has not heard from St. Mary's Respect for Life. He will call them. All responders indicated offering the same products as last year. He will be sending out the final applications later this week, which will be due back before the June meeting. Setup/Take down: Steve Antman— Steve stated that he ran into Steve Schultz, who said that the baton has been passed and he would get Steve Antman. "the book". Arts and Crafts: Jim Pawlak/Joan Pawlak - Jim stated that they have 17 crafters so far and are ahead of last year. Dessert Challenge: Jane Primack/Joan Pawlak - Chocolate Marvels has agreed to be sponsor the contest again this year. Marie, the owner, wants to be more involved with trophies, etc. Jane will be meeting with her next week about her concerns and ideas for the contest. Trader Joes will be providing the food demonstration again this year. Jane talked to Pat Chin, who did the demonstration last year. She is excited about returning again this year. Jane has sent out 34 letters requesting donations for prizes. Jane has received a number of donations including Michael's Red Hots (5) $5 certificates Buffalo Restaurant (3) $25 certificates Buffalo Grove Fitness Center (3) certificates for 2 month membership and (2) certificates for "going vertical) The Best Salon and Spa ( 1 )certificate $50 value for hair cut Received 1 certificate for free Family Funtastic Package, which is 2 hours of bowling, shoe rental and pitcher of soda for up to 6 people. Value is $64.00. Jane stated that she is still looking for Judges. She has sent out letter to the two high schools and three middle schools in the area and has had two refusals. Marie, the owner of Chocolate Marvels will be out of town but will send her assistant to judge. Jane saw Jeff Berman at the open house and when asked, he agreed to be a judge with Jeff Braiman, for the contest, if needed. Jane may ask Jan Sirabien to be judge. Jane requested that if anyone knows of someone that could be a judge, please let her know. The application for the Dessert Challenge has been completed and copies. Copies were provided for the April 27rh open house. It was also been placed on the web site and copies left in Village Hall. Jane has been receiving calls with questions regarding the contest. She has received three adult applications Jane stated that she plans on working on the recipes from the past years and hopes to get them made up into a"cookbook"to sell at the Dessert Challenge and from Village Hall. She has to look into the logistics of getting it copied and bound. JV stated that he could help with that. Grilling Challenge: Chuck Posniak/Ken Carothers Dorfler's will sponsor the Barbecue Contest again, this year. They will offer the same deal as last year. Those contestants cooking burgers can get their meat free. Those contestants cooking other meats can get them at Dorfler's cost. Chuck stated that he has 5 judges already. Carnival: Debra Jess/Penni Jess - Debra stated that they have the layout for the carnival, which is tentative. She will give copies to the Park District and the Fire Department to sign off on their approval. They have a new thrill ride this year called the Freakout. The Tilt a World is coming back. They will have one ticket booth this year that seats 4 people for selling tickets. They still have to discuss the prices with the Astro. Penni asked if they could use Karen's pop up tent for the wrist bands on Monday. Last year it worked well. Karen agreed. Entertainment: Karen Danenberg— Karen stated that the Main Stage is booked. Karen said that Sunday afternoon is usually a slow afternoon. She has decided that in honor of Buffalo Grove's Birthday, we will have a block party. The details of the party are still to be determined. It will run from 2 to 4. The Wheeling Jazz Band will perform at the Rotary Green on Sunday before the fireworks. Bennie the Bull and Stanley are booked. They will be at the meet and greet for the Block party. Karen plans on having a bunch of blow up attractions on the field for the party. The walk arounds will also be on the field during the party. Karen stated that she will have two entertainment groups at the Arts and Crafts on Monday from lto3. Chuck asked if he could have the Beer Tent stage on Saturday around 5 to 5:15 to announce the winners of the Barbecue Challenge. There is a band booked at that time. He stated that 5:30 is too late. Audio/Visual: Doug Primack/Adam Moodhe— Doug asked if the Jazz Band at the Rotary Green will bring their own PA system. Karen stated she has asked them to do so. Doug will tap in their system for the audio for the fireworks. Doug stated that they have reservations on all of the needed sound equipment. They are still waiting of the contract from Diversified Audio. Publicity: Lori Hackett/Dan Olbur Lori stated that they have looked at lots of photos and are on their way with brochure. They are almost done with the first draft. They are working on the biography of the village. Photography: Hal Norman/Jim Pawlak - Jim and Hal have no report. Glow Necklaces: Lori Hackett- Lori stated that they will be glowing. She will be ordering 1000 of the tri-colored necklaces this year. VIP Party: Sara Ciolli/Arlene Kozemzak— Arlene was not present. She e-mailed her "no report"to Jane. She states that she has not heard anything about the letters going out from the Chamber. She will be contacting Pam and Sara about the party and assumes it will follow the 50's them of the festival and year's celebration. Information Booth: Ken Lazar— Ken is not present. Iceman/Cell Phones: Ron Jess Home City Ice, also called Jefferson Ice, provided the ice last year. They have 22 pound bags of ice for $3.50 each bag with a minimum 165 bags ordered. There is a cost of$90 for the ice chest and $40 for the combined drop off and pick up of the chest. There is another vendor, Lang Ice, that has yet to get back to him. Ron will look into getting 2 phones for the information booth. BG Juniors: Rhonda Norman - Rhonda has no report. Village Liaison: Bill Brimm— Bill was not present. Your 2 Cents Worth: All committee members JV thanked everyone for helping with the open house April 27rh. He also wants to thank everyone for all the work they are putting in on the committee work. He said that it should be a great festival this year. He and Paulette will see you on June 10th Steve Antman asked Mike if the Police are running background checks on all the carnival workers. Mike confirmed this. Ron made a motion to adjourn JV seconded the motion. The meeting was adjourned at 7:57.
