SUBJECT: Annual Volunteer
Report Presentation
As part of the
comprehensive review of
the structure, task and
nature of the Village=s
volunteer committees,
commissions and boards,
each group is to prepare
an annual report for
submittal to the President
and Board of Trustees.
The assigned staff liaison
is to be responsible for
the preparation of this
report in partnership with
the volunteer body. When
completed, a meeting with
the President and Board of
Trustees is to be
scheduled whereby each
group can present their
report and discuss issues
face-to-face in an
informal manner.
The purpose of the
Workshop is twofold. The
first is to provide a
forum for the Village
Board to share with the
volunteer body any issues,
challenges and goals that
are anticipated to be
faced over the coming
year. The second would be
for the Board to discuss
with the volunteer body
its annual report along
with any specific concerns
that the volunteers may
have relative to their
duties, responsibilities
and objectives.
To that end, attached are
a series of reports from
all of the current
standing volunteer
committees, commissions
and boards with the
exception of the recently
created commissions
dealing with issues of the
fine arts, youth and civic
involvement. The
reporting generally covers
fiscal 2000 from May 1,
1999 into February, 2000.
The presentations will be
the sole subject of a
Committee of the Whole
scheduled for Monday,
March 27, 2000. Reports
are included from the
following:
Plan Commission
Zoning Board of
Appeals
Board of Fire and
Police Commissioners
Commission with
Citizens with
Disabilities
Joint Commission on
Aging
Board of Health
Blood Commission
Buffalo Grove Days
Committee
Police Pension Fund
Board
Firefighter=s
Pension Fund Board
Electrical
Commission
E.S.D.A.
The order of presentation
will begin with the Plan
Commission, followed by
the Zoning Board of
Appeals. The remaining
order will then follow the
preceding list. Those
invited to attend include
the membership of the
volunteer body as well as
the staff liaison. While
the Village Board will be
an active participant in
the presentation and
discussion, it is expected
that the Board liaisons
will also be in position
to assist in the
discussion on behalf of
their particular
assignment.
The output from the
meeting will be based on
the nature of the
discussion. Formal notes
will be prepared and
distributed and any action
plans suggested or agreed
upon will be evaluated and
initiated where
appropriate. If the
format is successful,
reporting will become an
annual project for each
volunteer committee,
commission or board as
well as the annual
meeting.
